# Event app by attendee count: what changes at 100, 500 and 2,000+ people

What to ask of an event app at 100, 500 and 2,000+ attendees: logins, scanning, groups, support desks and delivery, with Indian events as examples.

SSociana team·19 Oct 2026·6 min read

**The size of your event changes which problems you have, not just how many. At about 100 people the risk is thin content; at 500 it is groups, queues and support; at 2,000 or more it is throughput at the door, moderation and the peak-load question every vendor should answer with data. Sociana does not publish a verified peak-concurrency figure, so for very large audiences, ask us for a reference and a rehearsal, not a number.**

> **Disclosure.** We sell event apps and we name the limits of ours. The size bands below are working rules from how we scope Indian occasions, not statistics. Where we cite a case study, the headcount band is undisclosed unless stated.

## Why headcount alone is the wrong question

A 150-person executive conclave with travelling delegates and a 1,500-person local seminar are different jobs. The first is about arrangements; the second is about entry flow. So read these bands as a prompt, then correct for three things: how many people travel, how many groups need separate content, and how many things happen at once.

## Around 100 people: make it feel personal

At this size, an app can look like overkill, and often a light set-up is right; see our post on [whether you need an event app](https://sociana.in/blog/do-you-need-an-event-app/). If you do build one, aim at what a small room misses.

**What matters.**

- A personal touch: a name, a room, a pickup, a table.
- One or two shared moments, such as a quiz or a live poll, so the room feels connected.
- A memories gallery afterwards.

The GCOO Conclave in Jaipur on 9 to 11 October 2026 is a leadership event where each delegate saw their own My Stay and My Journey cards, with a help desk and a networking card ([case study](https://sociana.in/case-studies/gcoo-conclave-2026/)). At this scale, personalisation beats features.

**What you can skip.** Heavy gamification, tiers of points and reward stores. A hundred people do not need a unified leaderboard, and a thin one looks sad.

## Around 500 people: groups, queues and a help desk

This is where most Indian partner meets, annual conferences and association events sit, and where unmanaged complexity starts to cost you.

**What matters.**

1. **Group scoping.** Different delegations, zones or categories see different content. At the HCCB Partners Meet in Goa in July 2026, content was scoped separately for partners and employees ([case study](https://sociana.in/case-studies/hccb-partners-meet-2026/)). Use [groups and cohorts](https://sociana.in/features/groups-and-cohorts/) from day one; retrofitting groups after launch is painful.
2. **Entry flow.** One scanner at 500 people means a queue. Plan scanners per entrance and keep a manual lookup. See [entry pass and personal QR](https://sociana.in/features/entry-pass-and-personal-qr/).
3. **Trigger control.** Polls, quizzes and notifications should be started by a manager from a phone while the speaker is still on stage, not left for people to find.
4. **A help desk.** Requests multiply: wrong room, missed pickup, dietary needs. A request queue with a status is better than a WhatsApp thread; see [help desk, SOS and phrasebook](https://sociana.in/features/help-desk-sos-and-phrasebook/).
5. **Exports.** You will be asked for a report by someone you have not met yet. Check [reports and exports](https://sociana.in/features/reports-and-exports/) before you sign.

**What to watch.** Fairness. At this size a few people can dominate points; design the leaderboard before the event, not during.

## 2,000+ people: throughput, moderation and proof of load

Above roughly 2,000, the work is operational. India’s internet use is deep enough for the phones: 1.03 billion internet users in October 2025 ([DataReportal, 2026](https://datareportal.com/reports/digital-2026-india)). The risk is the venue network and the door.

**What matters.**

- **Door throughput.** Entry should rely on pre-issued QR passes, delivered by WhatsApp or app, not on-site sign-in. Run scanning lanes and rehearse. If your venue wants printed badges, note that Sociana does not print badges on site; bring a print partner.
- **Venue screens and no-login voting.** At this scale, the room cannot depend on everyone installing the app. A live poll on a venue screen with a QR code scales the audience beyond the installed base.
- **Moderation.** A social wall or open feed needs a moderator and a queue before anything appears on a screen.
- **Exhibitors.** If you have stalls, lead capture has to be consented and exportable. At the Bengaluru Wedding Fraternity Meet Up 4.0, every exhibitor had a My Stall dashboard for scanning visitors and capturing leads ([case study](https://sociana.in/case-studies/bengaluru-wedding-fraternity-meet-up-4/)). Sociana does not offer an interactive floor plan.
- **Load data.** We have not published a verified peak-concurrency number, and some competitors publish caps for very large live audiences. For a stadium-scale audience, ask any vendor for a reference at your size, a rehearsal plan and a fallback for when the network fails. We will tell you the largest audiences we have run and where we have not run at your scale.

**What to simplify.** Fewer simultaneous features, not more. At scale, every extra tile is another support question.

## What stays constant at every size

- A named owner for content, with a backup.
- A single guest list as the source of truth.
- A fallback for people who will not install: QR plus web.
- A plan for the first hour, because the first hour sets the tone.
- A delivery timeline you can believe. Sociana’s illustrative pattern is configuration on days 1 to 3 and content and launch on days 4 to 10, with store submission inside it. Bigger events need more rehearsal, not necessarily more days of build.

## How to use this

Take your number and write three more: how many travel, how many groups, how many parallel sessions. If the second and third are low, a smaller-band approach may serve a larger room. If they are high, treat a 300-person event as a 500-person one.

## FAQ

### How many attendees can the Sociana app handle?

We have not published a verified peak-concurrency figure and will not quote one without load-test data. The events we have run reach conclave and partner-meet scale. For larger events, ask for a reference at your size and a rehearsal plan.

### Is an event app worth it for under 100 people?

Sometimes. If delegates travel or you want a record of participation, a light app is worth it; for a local one-evening gathering, QR and WhatsApp usually suffice.

### What matters most at 500 attendees?

Group scoping, entry flow and a help desk. These are the three things that cause event-day problems at that size, and they are cheaper to set up before launch than to fix on the day.

### Does attendee count change the price?

It can, along with features and occasions. Sociana quotes per occasion by scope and does not publish a price list; share headcount, travel, groups and parallel sessions to get a proposal.
