# Hidden costs of event software: twelve line items to ask about before you sign

Twelve costs that rarely appear on an event software quote in India: messaging, payments, store submission, services, audience caps, exports and your own time.

SSociana team·19 Oct 2026·6 min read

**The licence line on an event software quote is rarely the whole bill. The costs that surprise Indian organisers are per-message fees for WhatsApp and SMS, payment-gateway charges, audience and admin caps, services priced separately, store submission, data export and, above all, your own team’s time. Ask for each of the twelve items below in writing before you sign, from us as much as from anyone else.**

> **Disclosure.** Sociana sells event software and quotes per occasion by scope; we do not publish a price list, and this post contains no rupee figures for that reason. We apply the same twelve questions to ourselves in the last section.

## How to read a quote

Quotes come in three common shapes: a per-event fee, an annual licence with seats or audience tiers, or a package that bundles services. Each hides costs in a different place. A per-event fee hides the second event. An annual licence hides the cap. A bundle hides what is outside the bundle. So compare on one realistic year, not on the headline line.

Write down before you ask: how many events, how many people per event, how many admins, which channels you will use and what you expect the vendor’s team to do for you. Then check each item below.

## The twelve line items

### Seats and admins

Some vendors price by the number of admin logins. VirtualPro, for example, publishes tiers of 15,000 dollars a year for one admin and 1,000 audience, 50,000 for four admins and 4,000 audience, and 125,000 for ten admins and 10,000 audience, with services priced separately ([VirtualPro pricing, checked 19 Oct 2026](https://www.virtualpro.com/pricing)). If your secretariat has six people who need access, a tier that includes four may force an upgrade. Ask how many logins are included and how roles are limited.

### Audience caps and overage

A cap on attendees is a price in disguise. Ask what happens at the cap: a block, a surcharge, or a forced tier change. Check whether the cap counts invited, registered or active people, and whether staff and exhibitors count.

### Messaging: WhatsApp, SMS and email

WhatsApp business messages are priced per message by the messaging provider and by category, and SMS OTPs cost per send. For a 1,500-person partner meet with a four-message invitation sequence, reminders and OTPs, the total is a real line. Ask whether messaging is included, passed through at cost or marked up, and whether template approval is handled for you. See WhatsApp campaigns and email, SMS and delivery logs. At JITO Chennai Plus on 20 September 2026, the invitation layer was WhatsApp utility templates and QR scanning at the door (case study).

### Payment-gateway fees and commission

If you take payments, there are gateway fees, and some platforms add a commission. Sociana processes tickets and payments through the gateway, and states gateway fees on actuals. APMI’s conference on 30 September 2026 collected payment for meeting-room slots through Razorpay ([case study](https://sociana.in/case-studies/apmi-annual-conference-2026/)). Ask for the fee per transaction, any platform commission, the settlement timeline and who issues invoices. See [tickets and payments](https://sociana.in/features/tickets-and-payments/).

### Services outside the licence

Production, onsite staff, content loading, custom builds and training are often extra. VirtualPro lists pre-recorded segments from 10,000 dollars, run of show at 7,500 dollars a day and full production from 25,000 dollars as separate services (same source, 19 Oct 2026). Ask what the vendor’s team does and what you must do yourself.

### Custom builds

A branded game, a special registration flow or a new report is usually priced as custom work. Sociana labels such things Custom on its capability list: built per occasion, with past examples listed. Ask for the cost, the timeline and whether the result is reusable next time.

### App store submission

A branded app means a store listing, developer accounts and review cycles. Some vendors use container apps with instant publishing; others, including Sociana, submit per app, and that sits inside the delivery timeline. Ask who owns the store account, who pays for it and how long review typically adds. A multi-occasion app reduces repeat submissions; see [multi-event and agency apps](https://sociana.in/features/multi-event-and-agency-apps/).

### Data export and exit

Ask what you can export, in what format and at what cost. A fee to retrieve your own attendee data is a cost you will meet at the worst moment. Sociana’s illustrative delivery includes exports for every module. Ask the same of everyone, and also ask what is deleted on exit and when. India’s Digital Personal Data Protection Act, 2023 is being phased in, with further provisions from 13 November 2026 ([Act summary, 2025](https://en.wikipedia.org/wiki/Digital%5FPersonal%5FData%5FProtection%5FAct,%5F2023)), so exit terms are a compliance question too.

### Integrations

“Integrates with everything” needs a list. Sociana offers webhooks and Sheets or Airtable connectors, not a public API or native CRM sync, so a CRM push is a spreadsheet or webhook job. Other vendors charge for API access or marketplace connectors. Ask what each integration costs, who builds it and who maintains it.

### Support hours and escalation

Support is a cost whether or not it is on the quote. Check hours against IST, response times and who answers at 11 pm on event night. Overseas support is cheap until your event is at 9 am IST.

### Renewal and escalators

Multi-year terms often carry annual increases. Ask for the renewal price in writing, and the notice period for cancelling. A low first-year price followed by a steep renewal is the oldest hidden cost.

### Your own team’s time

This is the largest and the least visible. Content has to be written, speakers chased, guest lists cleaned and approvals given. An app with stale content is worse than a PDF, and a managed service still needs your decisions. Budget hours, not just money: who owns content, who approves, who answers the help desk. In Sociana’s illustrative pattern, configuration takes days 1 to 3 and content and launch days 4 to 10, which assumes your content arrives on time.

Fill it for each vendor on one realistic year. The cheapest headline is rarely the cheapest column total.

## Our answers, honestly

On the twelve items: we quote per occasion by scope and give no public price list; we do not sell a self-serve plan; messaging and gateway fees depend on actuals; store submission is in the timeline; custom work is labelled Custom; exports exist for every module; integration is webhooks and Sheets or Airtable; and we do not offer SAML or a public API. Ask us for a written proposal with these items listed, and hold us to it.

## FAQ

### What is the biggest hidden cost in event software?

Usually your own team’s time, followed by messaging and payment fees that scale with volume. Services priced outside the licence are the most surprising line in a quote.

### Does Sociana publish its pricing?

No. Sociana quotes per occasion by scope and offers a proposal within one business day of a request. It does not offer a self-serve free tier.

### Are WhatsApp messages free?

No. Business messages are charged per message, by category, by the messaging provider. Ask whether your vendor passes the cost through, marks it up or includes it, and who handles template approval.

### Should I choose the cheapest vendor?

Choose on one realistic year across all twelve items, including what the vendor’s team does for you. The lowest headline price often moves cost to services, caps or your own staff.
