# What a hospitality-heavy conclave really needs from its app

A founder's view from a three-day Jaipur conclave: lead with My Stay and My Journey, reconcile PNRs early and keep a help desk one tap away.

**A hospitality-heavy conclave needs an app whose first screen is the delegate’s own stay and journey, not the agenda.** When senior leaders are spread across two hotels and arrive on different flights and trains, the question in their head is “is my car coming and is my room ready”, and an app that answers it earns the right to be opened for everything else. This is my view, written after the GCOO Conclave 2026 in Jaipur (9 to 11 October 2026), and it is a point of view rather than a results report. The client has not released figures for that conclave, so I will not quote any.

## Why does the agenda come second?

Conference apps are usually designed by people who imagine the agenda as the heart of the event. For a conclave of executives, the programme is the reason they come and the logistics are the reason they stay calm. Senior delegates judge an event by whether their car, room and return flight are right. A missing pickup is remembered longer than a brilliant keynote.

So the Jaipur app opened on the two cards that matter first: [My Stay](https://sociana.in/features/hospitality-requests-and-my-stay/), showing hotel, room and check-in, and View My Journey, showing arrival first and return second, with flight, timings and pickup as shared by the travel desk. The social layer (Moments, Connect, People, polls, programme) was there, and it came after. Login was by mobile number only, because for this audience a simple, known route beats a clever one.

I would defend the ordering to any organiser. The agenda is the same for everyone and can be read on a printed card. The stay and the journey are different for every person, and they change. That is exactly where an app earns its place.

## What does the team do before the delegates arrive?

The app is a window. The work behind it is a loop: collect an arrival, reconcile it, assign an arrangement, show it to the right person and manage the exception when it changes. A spreadsheet export is not the outcome. The outcome is a delegate who reads the right card.

In Jaipur the operations team worked room arrangements across the Fairmont and the Leela, kept arrival and departure records and reconciled PNRs. Each delegate’s stay and journey were published from the source sheet. The discipline we try to hold is to trace one itinerary all the way from identity match, to import, to what the delegate actually reads back, and to keep four states apart: pending, not applicable, provided and verified. People who mix “provided” with “verified” discover the difference at the airport.

That is why I care about [hospitality completeness](https://sociana.in/glossary/hospitality-completeness/): the share of people needing arrangements whose applicable critical fields are verified. It is a number a travel desk can act on, because it tells you who is still missing, by group, days before arrival. If you want the timing detail, I have written up [how we run the reconciliation in the last 72 hours](https://sociana.in/blog/how-we-reconcile-pnrs-in-72-hours/).

## What should a help desk be in a conclave app?

A help desk with a call button, liaison contacts and a tracked request form turns anxious WhatsApp threads into something you can see. In the Jaipur app the Help Desk was one of nine tiles on Home, with a venue map by area, emergency information and safety briefings alongside.

Two cautions, which I would rather state than hide. The older dedicated SOS route is marked as unused by current apps, so an emergency page or a request form is information and a route to a human, not an emergency dispatch service. And a help desk is only as good as the people answering it. The tile is the easy part.

## How much of the app should be open on day one?

Less than you think. In Jaipur, the Programme and Engage areas stayed locked until they were ready, and the Engage tab carried a Coming Soon note until the floor opened. A Priority Update card on Home carried the one message that mattered at that moment, and a countdown kept the arrival day in view.

I am wary of apps that open every feature on the first day. First impressions stick. If the first visit shows half-built sections, you have taught delegates not to return. Staging the launch, which the platform supports through feature on, off and not-included switches, is a design decision, not a limitation.

## What about privacy for senior delegates?

Two details from the Jaipur configuration are worth copying. First-time users gave a full name and a confidential health answer, either nothing to declare or a short note for the team, and the app stayed closed until that answer was saved. That answer was visible only to the organising team. And delegates could later edit it, block or unblock people, and delete their account.

If you collect anything sensitive, say who sees it, show that on the screen where you ask, and give the delegate a way to change it. Privacy statements belong in the flow, not only in a policy page. Regulatory requirements vary by organisation, and your own counsel should review wording and retention.

## What would I ask any vendor before a conclave?

Here is the short list I would take into a meeting:

| Question | What a good answer sounds like |
| -------------------------------------------------- | -------------------------------------------------------------------------------- |
| Does each delegate see only their own arrangement? | Yes, shown on a live screen, with a changed hotel reaching only the right guests |
| What are the states of an arrangement? | Pending, provided and verified, kept distinct |
| When do I see gaps? | A completeness view by group before arrival day |
| Who answers the help desk? | A named team with hours, not a tile |
| What opens on day one? | A staged launch, with a plan for what stays locked |
| How is sensitive data handled? | Who sees it, how long it is kept, how it is deleted |

## What did Jaipur teach me?

The lesson I would pass to another organiser is simple. Arrival-day questions drop when every delegate sees their own journey before travelling, and the accuracy of a few personal cards matters more to senior delegates than a long feature list. The [GCOO case study](https://sociana.in/case-studies/gcoo-conclave-2026/) has the scope and the operations behind it.
