## How we calculate

Hours today

`guests × arrangement types × touches × minutes ÷ 60`

Every arrangement takes a few calls, WhatsApps or emails to collect and confirm.

Hours with Sociana

`(guests × types × 1 + guests × types × exception rate × 2) × minutes ÷ 60`

One structured request and a publish-back per arrangement; exceptions take two touches in the operations workspace.

Hours saved

`hours today − hours with Sociana`

Team-days returned = hours saved ÷ 8.

Completeness

`1 − exception rate × 0.5`

The share of required arrangements verified before arrival that you can expect to report.

### Assumptions

- A touch is one call, WhatsApp or email exchange about one arrangement.
- Guests answer their own requests in the app (flight, ID, room preference); the desk only chases what is missing.
- Half of exceptions are still open at arrival in a typical run, hence the 0.5 in completeness.
- Loaded hourly cost covers salary, overheads and overtime.

Prices as of 23 Oct 2026.

## Questions about this calculator

How many people do I need on a hospitality desk?

Divide today’s desk hours by working hours available. If the result is more than eight hours per person per day in the run-up, the desk is working late or arrangements are slipping.

What does hospitality completeness mean?

Verified arrangements divided by required arrangements across all guests, measured before arrival. It is the number we report after each occasion.

Does Sociana book hotels or flights?

No. We do not hold hotel or flight inventory. Your travel team or agency books; Sociana collects what each guest needs and publishes the final arrangement back to them in My Stay and My Flights.

What counts as an exception?

Anything that changes after it is confirmed: a missed flight, a missing PNR, a room swap, a late addition. These are handled as tickets in the operations workspace.
