## How we calculate

Per person per day

`logistics notices + prompts + sessions × reminder share ÷ tracks`

Session reminders go only to the group following that track.

Spacing

`programme hours × 60 ÷ pushes per person per day`

Less than an hour apart starts to feel like noise.

Merged briefs

`min(logistics, 2) + prompts + reminders per person`

A morning and an afternoon brief carry the logistics.

Pre-event timing

`T − round(pre-event days × (1 − k ÷ pre-event pushes))`

Spread evenly from the first message to the day before.

Non-installers on WhatsApp

`people without the app × pushes per person × ₹0.25`

Push is free but reaches only people with the app and notifications on.

### Assumptions

- A ceiling of six pushes per person per event day is a planning rule of thumb, not a measured limit; raise it for weddings and multi-day programmes where people expect more.
- Scheduled announcements can go to everyone or to selected groups and also stay in the app’s updates tab.
- WhatsApp utility at ₹0.25 per message ex-GST, from the price list dated 23 Oct 2026.
- App adoption of 55–65% is common for invited corporate audiences; weddings run lower.

## Questions about this calculator

How many push notifications should an event app send?

About six per person per event day for a conference, fewer before the event. Send by group so each person gets only what applies to them, and merge logistics into a morning and an afternoon brief.

When should pre-event notifications go out?

Spread them from the first invite to the day before: install and log in, agenda live, travel and arrangements, and a “see you tomorrow” with the venue and first session.

Do people without the app miss announcements?

Yes, push reaches only installed apps. Send anything essential, such as bus times or venue changes, on WhatsApp or SMS to them as well.

Can announcements be scheduled in advance?

Yes. Owners and managers set the title, message, date and time and the audience (everyone or chosen groups), and can edit or delete them until they send.
