# What is “Exception handling”?

Exception handling is the organised process of resolving departures from the plan — a missed flight, changed room, extra guest — through the operations workspace with recorded owners and outcomes.

Also called: hospitality exceptions, last-minute changes

## Exception handling in detail

However good the plan, event day produces exceptions: a delayed flight, a guest who needs a different room, a companion who appears unannounced, a driver stuck in traffic. Exception handling is the discipline of treating those as routine work rather than emergencies. In Sociana's operations workspace the hospitality team sees requests and records live, with team-sheet access for people on shift. An exception is raised, assigned, resolved and, where the participant is affected, republished to their app, so the change is both fixed and visible. Help-desk requests from participants arrive in the same flow. Recording each exception with who handled it and when also feeds the after-event report: how many arose, which categories dominated, how fast they were closed. That data improves the next occasion's templates. Good practice is a small, named escalation tree, a standard set of answers and an end-of-day reconciliation, so the desk repeats a method rather than reinventing one nightly.

## How Sociana uses it

Exceptions are handled in the live operations workspace, with participant-facing updates published to My Stay, My Flights or My Journey, and help-desk requests as an input.

## Example

A destination conclave handled late changes through a hospitality desk rather than group chats, republishing updates to affected delegates.

## Questions

What counts as an exception?

Any departure from plan, such as a missed or delayed flight, a changed room, an unannounced companion or a driver problem. Exception handling is the organised process of resolving departures from the plan — a missed flight, changed room, extra guest — through the operations workspace with recorded owners and outcomes.

How are exceptions recorded?

In the operations workspace with an owner and outcome, and affected participants see the correction published on their own page. Exceptions are handled in the live operations workspace, with participant-facing updates published to My Stay, My Flights or My Journey, and help-desk requests as an input.

Why log them?

The log feeds the post-event report and shows which categories recur, improving templates and staffing for the next occasion. Recording each exception with who handled it and when also feeds the after-event report: how many arose, which categories dominated, how fast they were closed.
