# How to manage airport pickups for 300 delegates

Plan airport pickups for 300 delegates: collect flight details, build an arrival manifest, assign vehicles and liaison, publish pickup cards, log exceptions.

**To manage airport pickups for 300 delegates, collect flight or train details through a form, build one arrival manifest sorted by time, assign vehicles to time blocks, publish each person’s pickup to their phone and keep an exception log.** The manifest is the source of truth; the delegate’s card is its published view.

## Why 300 is the point where spreadsheets break

For fifty guests, a travel coordinator can manage pickups with a spreadsheet and a few WhatsApp messages. At 300, the arrivals spread over a day or two, flights change, a few people take the train instead, some bring companions and a few arrive without telling you. The spreadsheet grows long, versions multiply and the desk answers the same question repeatedly: “Who is picking me up?”

The risk is practical. A delegate who lands in a strange city and cannot find a driver loses confidence in the organiser. A senior guest left waiting is a story that is told for years. The aim is to make every arrival boring.

## Step 1: collect the data you need

Define the fields once. For pickups, you generally need the delegate’s name, mobile number, arrival mode (flight, train or road), flight or train number, arrival date and time, arrival airport or station, number of travellers and any special needs. Add return details if you also manage drop-offs.

Collect the data in the same place as the rest of the registration, with a clear deadline. Use choices and date pickers rather than free text to reduce errors. Make it easy to attach a ticket or PNR. Send reminders to those who have not responded. Track completion by group, so that you can chase the groups that lag.

## Step 2: build the arrival manifest

Merge the responses into one sheet sorted by arrival time. Add columns for the terminal, the pickup point, the vehicle, the driver and the status. Reconcile each record against the flight information: does the declared time match the airline’s schedule? Does the PNR match the name? Mark records as pending, provided or verified, so that you can see which are still unconfirmed.

Group delegates who arrive close together. A time block of thirty to sixty minutes is a useful unit for assigning vehicles.

| Time block | Arrivals | Vehicles | Drivers | Meeting point |
| ------------- | -------- | -------------- | ------- | ------------- |
| Early morning | Group A | Assign by size | Named | Terminal exit |
| Late morning | Group B | Assign by size | Named | Terminal exit |
| Afternoon | Group C | Assign by size | Named | Terminal exit |

Leave a buffer for delays. A pickup that is scheduled too tightly breaks with the first late flight.

## Step 3: assign vehicles and people

Match vehicle capacity to the block. Pair each vehicle with a driver and a greeter where you can. Brief greeters on the delegate names and the meeting point. For senior guests, name a liaison officer who stays with them from the airport to the hotel. Give drivers a one-page list for their block with names, phone numbers and the hotel.

If delegates are split across hotels, add the hotel to the manifest so that each vehicle goes to the right place.

## Step 4: publish each delegate’s pickup

The best way to cut calls is to tell each delegate, in advance, who is picking them up. A pickup card in the app should show the time, the meeting point, the driver’s name and number, the vehicle number and, if relevant, the liaison officer. Publish the card only when the record is verified, so that delegates do not receive wrong information. Notify them when the card is ready and again on the day of travel.

## Step 5: run the arrival desk

On arrival days, staff a control desk with the manifest on a screen. A desk of two or three people can handle changes: a flight delayed, a delegate who has landed early, a driver who cannot find a guest. Equip greeters with the live manifest on their phones. Keep a spare vehicle for surprises.

Track each pickup as it happens: waiting, picked up, at hotel. A simple status lets the desk see where problems lie without calling every driver.

## Step 6: manage exceptions

Exceptions are where the work is. Typical cases and responses:

- **Delayed flight.** Update the arrival time, notify the driver and the delegate, and shift the vehicle.
- **Missed flight.** Mark the record, cancel or reschedule the pickup and tell the hotel.
- **No response.** Call the delegate and use the form as a log.
- **Companion added late.** Check vehicle capacity and the room plan.
- **Different airport.** Reassign to the nearest block and notify.

Keep an exception log with the time, reason and action. It is a useful record for the debrief.

## Step 7: debrief and learn

After the arrivals, review the log. Which time blocks were hardest? Which hotel was slow? How many pickups needed a call from the desk? Use the answers to improve the next event’s plan.

## A sample timeline for the week before arrival

**Seven days out.** Close the data collection. Chase the remaining delegates by phone, and record anyone who confirms they will make their own way. Freeze the first version of the manifest.

**Five days out.** Share the manifest with the transport partner and the hotels. Agree the vehicle plan and the greeters. Brief the liaison officers for senior guests.

**Three days out.** Publish pickup details to delegates whose records are verified. Send a message that explains what the card shows and what to do if the details look wrong.

**Day before.** Reconcile against the latest flight information. Confirm each driver has the day’s list on paper and on phone. Brief the control desk and run a test call to each driver.

**Arrival day.** Open the control desk early. Track each pickup status. Update the manifest as changes arrive. End the day with a quick review, then prepare the next day’s list.

## Safety, comfort and etiquette

Greet delegates by name and offer water. Hold a sign with the event name and a delegate’s name where appropriate, so that people feel expected. Make sure drivers know the hotel and the route. For overnight arrivals, check that the hotel’s night desk is briefed. Remember that arrivals often include tired travellers with luggage and, sometimes, elderly guests; allow extra time and choose vehicles accordingly.

For women travelling alone and for late-night arrivals, share driver details with the delegate in advance, and consider a female greeter or a liaison officer where the guest wishes. These are small gestures that build trust.

## Data handling

Flight details, PNRs and phone numbers are personal data. Collect only what you need, restrict access to the hospitality team, share with the transport partner only what the driver needs for the pickup and delete the records after the event according to your retention policy. Tell delegates what you collect and why. Keep exports in a protected folder and avoid circulating the full manifest on open chat groups.

## How Sociana handles this

Sociana’s [hospitality requests and My Stay](https://sociana.in/features/hospitality-requests-and-my-stay/) let organisers create requests, including flight details, PNR and pickups, and publish each participant’s own arrangements back as My Flights, My Journey, cab and liaison-officer cards. The [operations workspace](https://sociana.in/features/operations-workspace/) lists each requested and provided field as pending, provided or verified, supports team sheet access so a transport lead sees their slice, and flags exceptions. When a record changes, the delegate’s card updates and a notification can follow. Sociana is a hospitality desk and delegate self-service; it does not book travel or hold hotel inventory.

At the GCOO Conclave in Jaipur, delegates split across two hotels, and the workspace was used for PNR and arrival reconciliation. Its lesson: arrival-day questions drop when every delegate sees their own journey before travelling. Read the [case study](https://sociana.in/case-studies/gcoo-conclave-2026/). ## Frequently asked questions

### How early should we collect flight details?

As early as registration allows, then chase gaps weekly. Flights are often booked late, so allow updates until a few days before arrival.

### Can the app book the cabs?

No. Sociana is a hospitality desk and delegate self-service, not a travel booking tool. You arrange vehicles with your transport partner, and the app publishes the details to delegates.

### What if a delegate’s flight changes on the day?

Update the record, and the delegate’s card changes. A notification can follow. The desk also informs the driver directly.

### Do we need a card for each delegate?

Yes, because each delegate should see only their own details. Cards reduce calls to the desk and give delegates confidence.
