# How to manage dinner and bus check-ins at an offsite with sub-activities

Use sub-activities to check guests into dinner, each coach and the return trip at an offsite, with time windows, repeat limits and live counts.

**To manage dinner and bus check-ins at an offsite, create the day as one activity with sub-activities: arrival, gala dinner, each coach and the return trip. Give each a time window, eligible groups and a scan limit. Scan guests on and off, and read live counts of who is on board, at dinner and still missing.**

## Who this guide is for

You are running an offsite, incentive trip or cultural retreat with movement: coaches to a dinner venue, tables at a gala, a late return to the hotel. The question that matters at 11 pm is “Is anyone still out there?” You want to answer it with a count, not a hunch.

## Why offsite movement needs more than an entry scan

An entry scan at the hotel tells you who arrived. It does not tell you who boarded the coach to the dinner, who sat down, who took the last bus back and who is still at the venue. At an offsite, the risk sits in the transitions: a guest left behind, a coach overloaded, a table short. Each transition is an attendance question, and each can be answered with a scan.

In Sociana, attendance is modelled as activities with optional sub-activities, for example Day 1 entry, gala dinner and the return bus. This is the structure that maps to a night out.

## A day expressed as activities

| Activity | Sub-activity | Window | Eligible | Repeat |
| ----------------- | ---------------- | -------------- | -------- | ------ |
| Evening programme | Outbound coach 1 | 17:30 to 18:00 | Group A | One |
| Evening programme | Outbound coach 2 | 17:45 to 18:15 | Group B | One |
| Evening programme | Gala dinner | 19:00 to 21:30 | All | One |
| Evening programme | Return coach 1 | 22:00 to 22:30 | Group A | One |
| Evening programme | Return coach 2 | 22:30 to 23:00 | Group B | One |

This is a shape, not a recommendation; set windows from your own transport plan.

## Step by step

### Step 1: Draw the evening as a timeline

Write down each point where people move: boarding, arrival, seating, departure, return. For each, note who is responsible and what you need to know. The [offsite team-building checklist](https://sociana.in/templates/offsite-team-building-checklist/) and the [incentive trip checklist](https://sociana.in/templates/incentive-trip-checklist/) cover the rest of the evening.

### Step 2: Create the parent activity and its sub-activities

One parent for the evening and one sub-activity per scan point. Name them as the team will say them: “Coach 2 out”, “Coach 2 back”, “Dinner, hall B”. Short and unambiguous names reduce errors at the bus door.

**Do it in Sociana:** [QR attendance and activities](https://sociana.in/features/qr-attendance-and-activities/).

### Step 3: Set the rules for each sub-activity

Time windows reject scans outside the plan; group eligibility restricts a coach to its group; repeat limits prevent a guest being counted twice. Where a step must follow another, for example boarding before dinner, step order can enforce it. See [attendance rules](https://sociana.in/glossary/attendance-rule/) and [repeat scan limit](https://sociana.in/glossary/repeat-scan-limit/).

### Step 4: Assign scanners per door

One Manager at each coach door and one at each dinner entrance. Rehearse once with real phones. Make sure each scanner knows which sub-activity is open; a scan into the wrong sub-activity is the commonest error.

### Step 5: Brief guests in the app

Send a scheduled announcement an hour before: “Coach 2 boards at 5:45 pm from the main lobby. Have your QR ready.” Keep it short. See [scheduled announcements](https://sociana.in/features/scheduled-announcements/).

### Step 6: Scan on, scan off

Scan each guest as they board and as they return. The live view shows who is on board and who has not boarded. If a coach is full, the lead sees it and redirects.

### Step 7: Use the return scan as the safety net

At the end of the night, the difference between those scanned out and those scanned back is your list of people still out. The liaison team calls them first. The YEC 2024 team used a Helpdesk with Alerts and Helpline contacts and SOS routes for this kind of situation; make sure the number is on every card.

### Step 8: Reconcile and export

After the return, reconcile the lists: planned, boarded, seated, returned. Export the sub-activity attendance and the scan attempts log for your report.

## Handling the unexpected

Three situations come up at almost every offsite. A coach breaks down: the lead re-assigns that group to the next coach, the scanner at the door allows the group into the new sub-activity by manual add, and the desk logs the change. A guest decides to skip the dinner and walk back: they tell the liaison officer, who records it, so the return count is not a false alarm. A late arrival turns up after the last coach has left: the desk arranges a car and logs the exception.

Plan each situation in advance and give the lead authority to decide. The count is only useful if the people holding it can act on it.

## Checklist for the evening

- Each coach and each dinner door has a named scanner with the right sub-activity open.
- Windows include a margin and are set from the transport plan.
- Guests have received a short reminder with the boarding time and place.
- A lead holds the live counts and decides when to release a coach.
- The helpdesk and liaison numbers are on every guest card.
- A manual add route exists for dead phones and last-minute changes.
- A hotel desk contact is ready for the return count.
- The reconciliation lists are ready: planned, boarded, seated, returned.

A calm evening is mostly preparation. If a coach scanner has rehearsed once, the night usually takes care of itself.

## Pitfalls

1. **Scanning only at dinner.** The risk is in the coaches.
2. **A window that ends before the coach does.** Keep a margin.
3. **Wrong sub-activity selected.** Label clearly and brief scanners.
4. **No manual route.** A dead phone should not strand a guest.
5. **Counting people twice.** Use repeat limits.

## India and SAARC notes

India logged over 303 crore domestic tourist visits in the latest year IBEF reports ([IBEF, 2025](https://www.ibef.org/industry/tourism-hospitality-india)), and offsites are moving to resorts and heritage properties beyond the metros. These venues are often an hour or more from the hotel; the return trip at the end of a long evening is where headcount matters most. Dinner timing in India runs late, and families and companions often travel with the guest, so decide whether companions are scanned and how. For trips abroad, a coach scan at the airport matters as much as one at the dinner. Use 24-hour times in operations and 12-hour times in guest copy.

## How Sociana handles this

Each activity carries rules: when it is open, which groups are eligible, whether a ticket is required, whether repeat scans are allowed or limited and whether steps must be completed in order. Organisers scan the participant’s QR or add them manually; attempts, scanner and time are recorded; and completion can award points with reversal. The result is unique accepted attendance per activity. The [YEC 2024 case study](https://sociana.in/case-studies/yec-2024/), an incentive programme for a journey to Dubai, shows attendance per session or activity beside a step challenge, team chat, a helpdesk and trip agenda. Try the [QR attendance scanner demo](https://sociana.in/demos/qr-attendance-scanner/). For the general method, read [configuring attendance rules and points](https://sociana.in/guides/configure-attendance-rules-and-points/).

## FAQ

### What is a sub-activity?

A sub-activity is a scan point beneath a parent activity, such as the gala dinner or the return bus beneath the evening programme. It has its own window and rules.

### Can we limit a coach to one group?

Yes. Group eligibility means only the listed groups can be checked in to that sub-activity.

### How do we find out who is missing at the end of the night?

Compare who was scanned out with who was scanned back. The difference is the list to call. The scan attempts log gives the times.

### What if a guest’s phone is dead?

Add them manually by email or mobile, and note it. Keep a printed list at the hotel desk.
