# What is a good activation rate for an event app? How to define, read and lift it

Activation rate is signed-in invitees divided by eligible invitees. There is no verified benchmark, so here is how to define it, set a target and raise it.

**Activation rate is the number of unique eligible invited people who signed in and used the app, divided by the number of eligible invited people. There is no verified industry benchmark, so set your own target from the login model, the audience and your last event, then watch it daily.**

## Why we will not quote a benchmark

You will find numbers for “good” app adoption in vendor blogs. Most do not state the denominator, the audience or the date, and several define activation as downloads rather than sign-ins. A figure without those details is not a benchmark; it is a headline. Sociana’s own published event results must state the denominator and dates with every figure, and until we can publish enough verified, comparable events to give a range, we will not give one.

What you can do is define activation precisely, measure it consistently and compare it with your previous event. That is a better yardstick than any generic number.

## Step 1: write the definition

Use the glossary definition: unique eligible invited people who signed in and used the app, over eligible invited people, for one occasion. Three choices need a decision:

| Choice | Options | Our advice |
| ----------- | --------------------------------------------- | ---------------------------------------- |
| Numerator | Downloaded, signed in, or performed an action | Signed in and used the app at least once |
| Denominator | Everyone invited, or only those expected | Eligible invited, stated as a number |
| Window | Before the event, during, or by the last day | State the date of measurement |

Download counts overstate activation because a download is not a login. An invite list that includes people who cancelled understates it. Fix the list first.

## Step 2: understand the login model

Activation depends heavily on how a guest gets in. A registered-list model with OTP is simple for people with a working phone number: they type the number, receive a code and enter. A model that requires a new password, or an email address the person does not check, adds friction.

India had 1.03 billion internet users in October 2025 ([DataReportal, 2026](https://datareportal.com/reports/digital-2026-india)), and Android held 93.89% of the mobile OS market in September 2026 ([StatCounter, 2026](https://gs.statcounter.com/os-market-share/mobile/india)). Most guests can receive an SMS or WhatsApp message and install an Android app. The failures are mismatches: a number that is not on the list, a code that goes to a spouse’s phone, an email that lands in spam.

## Step 3: fix the list before you chase the people

The biggest lever is data quality. If 15 per cent of the numbers on the list are wrong, you can send as many reminders as you like and activation will not rise. Before launch:

1. Verify numbers with a short test: send a message to a sample.
2. De-duplicate rows and merge people who appear twice.
3. Add a second contact (email) for anyone whose phone is a shared line.
4. Decide what happens to a person who is not on the list: refuse, or send to the desk.

At the APMI conference, a number not on the registration list sees Access Not Available. That is the right behaviour for a members-only event, provided your desk has a way to add a late registrant.

## Step 4: set a target by group

A single target for the whole population hides the problem. Cut by group: speakers, sponsors, staff, delegates, international guests. Staff and speakers should be near-complete because they have a reason to be in the app. Delegates who registered months ago may lag. Set a target for each, and watch the lowest group.

Write the target before the event. Choose a number you would be pleased with, and one you would act on if you missed.

## Step 5: lift it with reasons, not reminders

People sign in when there is something waiting for them. Put the reasons in the app before launch:

- Their own details: room number, flight, pickup, table.
- The agenda in a form they can read on their phone.
- A reason that only the app can supply: a pass, a poll, a quiz, a gift.

Then tell them. Send a launch message through the channel they actually read, with a single instruction: open the app and log in with the number you registered. WhatsApp reached 3 billion monthly active users globally in May 2025 ([Wikipedia, 2025](https://en.wikipedia.org/wiki/WhatsApp)), so it is often the best channel for an invitation, though delivery status is the provider’s record and no rate is promised.

## Step 6: watch it daily and act on the gaps

Read the sign-in figure each morning in the week before the event. If it is 40 per cent three days out, ask: is it the list, the message or the reason? Check a sample of non-activated people by phone. A short call often uncovers a specific problem: a number change, a blocked SMS, an old handset.

On the day, use the desk. A steward who helps someone log in at registration lifts activation more than any message.

## Step 7: report it correctly

When you report, state the number with its denominator and date: “412 of 560 eligible invitees (74 per cent) signed in by 18:00 on Day 1.” Add the cuts by group. Do not mix activation with participation: someone who signed in but never answered a poll is activated, not participating.

## Pitfalls

**Counting downloads.** A download is not a sign-in.

**Letting the list drift.** If registrations continue, update the denominator or note the date.

**Comparing with someone else’s number.** A different audience and login model changes everything.

## A simple target-setting worksheet

Take your last comparable event and write down three numbers: the invited list size, the number who signed in and the date you measured. That is your baseline. Now set a target a few points above it for the groups you can influence, and a floor below which you will act, such as calling non-activated speakers personally. Review the figure at 7 days, 3 days and 1 day before the event, and at lunch on Day 1\. If this is your first event, there is no baseline; record this one carefully and let it become the baseline for the next. Keep the worksheet with the report so a successor can see the numbers and the choices behind them.

## How Sociana handles this

[OTP login](https://sociana.in/features/otp-login/) (SMS or email OTP, WhatsApp OTP where enabled) is configured per occasion, and an occasion can put a Privacy Policy in front of the code step. [Member imports](https://sociana.in/features/member-imports-and-profiles/) build the eligible list, so the denominator is clear. [Reports and exports](https://sociana.in/features/reports-and-exports/) give a member export with login status and first sign-in per member, which is the data behind activation rate. WhatsApp campaigns carry the invitation through the organisation’s provider account.

The APMI 3rd Annual Conference in Mumbai on 30 September 2026 used phone or email OTP against the registration list, with Access Not Available for unregistered numbers. The recorded lesson: keeping the registration list as the whitelist protects a members-only conference. See the [APMI case study](https://sociana.in/case-studies/apmi-annual-conference-2026/) and the [EEMA Connect case study](https://sociana.in/case-studies/eema-connect/) for a multi-occasion association app.

## Frequently asked questions

### Is there a standard activation rate for conferences?

No verified one. Define it, measure it, and compare with your own last event.

### Does activation include people who did not install the app?

No. The numerator is people who signed in and used the app; the denominator is eligible invitees.

### How do I raise activation quickly?

Fix the list, put the person’s own details in the app and send one clear instruction through the channel they read. Then help at the desk.

### Should I count staff?

Report staff separately. They are eligible but behave differently, and mixing them in can flatter the figure.
