# How to manage a dealer meet with an app: a T-90 to T+7 operating plan

An operating plan for an Indian dealer or distributor meet: lists and groups, invitations, travel, entry, awards, polls, feedback and the follow-up report.

**To manage a dealer meet with an app, work backwards from the day: map partners and staff to groups at T-90, collect travel and invitations by T-30, run entry, polls, awards and feedback on the day, and export attendance and responses by T+7\. Sociana puts the lists, travel, scanning and scoring in one branded app.**

## Who this guide is for

You are in channel marketing, trade marketing or sales operations, or you are the agency that organises the meet for them. The audience is dealers, distributors, stockists or suppliers, usually from many cities, often travelling and sometimes accompanied by family. Leadership wants recognition and scheme announcements to land; finance wants to know the money was well spent.

## What a dealer meet has to achieve

A dealer meet is a business event dressed as a celebration. It has to announce the scheme and the targets, recognise the performers, give the channel a reason to feel part of the brand and leave the sales team with a clean record of who was there. India’s MICE sector is largely domestic: the Ministry of Tourism’s study found that about 78% of the market is domestic and roughly 22% international ([PIB explainer, 2019 study](https://static.pib.gov.in/WriteReadData/specificdocs/documents/2023/sep/doc2023922254801.pdf)). Most dealer meets sit inside that domestic majority, which means pan-India travel, regional languages and a late-changing list.

## Step by step

### Step 1: Define the audiences and what each should see

Dealers and employees see different things. Decide this on day one. The [group-scoped feed guide](https://sociana.in/guides/design-a-group-scoped-feed/) shows how, and it is the single decision most likely to avoid an awkward moment on stage.

### Step 2: Build the list in waves, with a freeze date

Partners are usually registered through regional sales managers, so the list is not final until the day before. Import in waves, publish a freeze date, and agree who approves additions after it. Use approval-based registration for late names.

### Step 3: Send invitations on the channel dealers actually read

WhatsApp is where dealers are. Plan a four-message sequence: invitation, reminder with travel request, travel confirmation, final logistics. See [bulk WhatsApp event invitations](https://sociana.in/guides/send-bulk-whatsapp-event-invitations/). Dealers who are “not app people” can still log in by SMS or email OTP (WhatsApp OTP where enabled) or a unique code.

### Step 4: Collect travel and publish arrangements back

Many dealers are first-time flyers asking where the pickup is, which hotel and what the room number is. Collect the flight or train details, publish My Flights and Accommodation per guest and include a liaison contact. The HCCB Partners Meet 2026 showed flights and accommodation per partner, marked Pending until confirmed. See [collecting travel and ID documents](https://sociana.in/guides/collect-travel-and-id-documents-from-delegates/).

### Step 5: Plan entry, sessions and dinner as activities

Entry, each session, the gala dinner and the return coach are separate activities in the attendance module. Scan each; export at the end. See [configure attendance rules](https://sociana.in/guides/configure-attendance-rules-and-points/).

### Step 6: Make recognition visible

Awards need clear categories, transparent criteria and a winner reveal that matches the stage. In the HCCB app, nominees appeared with selection criteria and winners were shown as announced. Keep the screen and the app in step, and never publish a winner before the announcement. See [awards and nominations](https://sociana.in/features/awards-and-nominations/).

### Step 7: Use the room, not just the stage

Run no-login polls on the LED wall (see the [no-login poll guide](https://sociana.in/guides/run-a-no-login-poll-on-a-venue-screen/)), a few light games between sessions and a feedback form after each major session. Bingo, trivia and Who Am I are comfortable formats; Indian rooms also enjoy housie and KBC-style quizzes.

### Step 8: Run the day with managers who can act

Give Managers Trigger Notifications, polls and attendance on their phones. Keep the helpdesk number on Home. Last-minute changes should flow as scheduled announcements to the group they affect.

### Step 9: Report within a week

Export attendance per activity, poll responses by group, feedback scores and hospitality completeness. Send the sales head a one-page summary and the detail file. The [dealer meet checklist](https://sociana.in/templates/dealer-meet-checklist/) and the [event outcome report](https://sociana.in/templates/event-outcome-report/) provide the skeleton.

## Roles on the day

A dealer meet runs smoothly when four roles are named. The **channel lead** owns the programme and the stage. The **hospitality desk** owns arrivals, rooms, pickups and companions. The **registration lead** owns entry, attendance and the manual lane. The **app lead** owns the Managers’ phones: notifications, polls and the awards reveal. Put each name and number on Home as the helpdesk contact for that area, and make sure each of them has Manager rights where their job needs them.

Hold a ten-minute huddle at the start of each day. Review the Upcoming notifications, the polls prepared for release and any late changes to the group list. Close each day with a five-minute review of what the numbers say: attendance at the evening, poll participation and open hospitality exceptions. The same huddle format works for a three-hundred-person meet and a three-thousand-person one.

## Pitfalls

1. **Treating dealers and employees as one audience.** Scope content by group.
2. **No freeze date for the list.** The master list will otherwise change at the door.
3. **A scheme announced on stage and nowhere else.** Publish the document in the app the same minute.
4. **Ignoring companions.** Spouses need an information channel; model them in hospitality.
5. **Over-scheduling the games.** Dealers value networking time; keep games short.

## India and SAARC notes

The vocabulary varies by sector: dealer meet, distributor meet, stockist meet, channel partner meet, supplier meet or “annual business conference” in Bangladesh and Pakistan. Name the occasion the way your channel does. Awards and felicitation are central; felicitation of dignitaries and top performers is part of the form. Meets are often held in a resort in a tier-two city or abroad, so plan hotel and transfer logistics early and, where the meet leaves India, check payment and OTP routes for the host country. Dhaka, Colombo and Kathmandu each have their own payment rails; Razorpay does not settle there. Keep regional-language content on information pages and the phrasebook for foreign hosts.

## How Sociana handles this

The [HCCB Partners Meet 2026](https://sociana.in/case-studies/hccb-partners-meet-2026/) is the reference: a destination partner meet in Goa in July 2026, themed as a film premiere, with a Show Flow agenda, flights and accommodation per partner, awards, a Smart Lens photo finder, polls, Bingo, trivia and Who Am I, and Partners and Employees groups seeing different content. Sociana’s [groups](https://sociana.in/features/groups-and-cohorts/), [hospitality](https://sociana.in/features/hospitality-requests-and-my-stay/), [attendance](https://sociana.in/features/qr-attendance-and-activities/) and [polls](https://sociana.in/features/live-polls-and-voting/) are the building blocks. See the [group-scoped feed demo](https://sociana.in/demos/group-scoped-feed/).

## FAQ

### How early should we start?

About 90 days for a destination meet, 45 to 60 for a one-day city meet. The timeline above shrinks, but the sequence does not change.

### Do dealers need to install the app?

For the full experience, yes. For polls and some flows, the no-login web route works, so non-installers are not shut out of the room.

### Can we run awards in the app?

Yes. Nominees, criteria and winners can be shown in the app, with winners appearing as they are announced.

### How do we measure success?

Confirmations, accepted attendance per activity, participation in polls and games, feedback response and hospitality completeness. Define the denominators before the meet.
