# How to keep attendees engaged during a 3-day conference

A day-by-day engagement plan for a three-day conference: a Day 1 hook, a Day 2 slump fix, a Day 3 finish, with polls, quizzes, games and notices paced by group.

**To keep attendees engaged during a three-day conference, give each day a different job: hook them on Day 1 with a poll and a leaderboard, refresh them on Day 2 with a quiz and a game when energy dips, and close on Day 3 with a result and a reason to stay in touch. Pace messages by group.**

## Engagement is a rhythm, not a feature

Most conferences open with energy and lose it by the second afternoon. The first morning is novel; the second is a slog; the third is half-empty by lunch. The solution is not more activities but better-timed ones. Think of the three days as a rhythm: arrival and curiosity, depth and fatigue, then closure.

The wider picture is a worrying one. Gallup found that only 23% of Indian employees were engaged in 2025, with 59% not engaged and 18% actively disengaged ([Gallup, 2026](https://www.gallup.com/workplace/713372/rebuilding-indian-workplaces-for-the-future-report.aspx)). Your delegates may be bringing that fatigue with them. A conference that lets them participate, not just sit, has a head start.

## Step 1: set one measurable participation goal

Pick a measure you can read at the end: share of registered delegates who answered at least one poll, or who took part in at least two activities. Write it down with a denominator. A target such as “two thirds of registered delegates answer a poll on Day 1” gives you something to watch and adjust.

Avoid vague goals like “high engagement”. They cannot be checked, and nobody feels responsible for them.

## Step 2: build Day 1, the hook

On the first day, you have attention. Use it to teach delegates what the app is for.

- **A welcome poll** in the opening plenary: “Which topic brings you here?” Results on the screen within a minute. This shows that the app responds.
- **A first leaderboard point** for answering. Explain how to earn more.
- **A pinned notice and a countdown** to the first session, so the Home screen is useful.
- **A networking prompt** at the tea break: scan a new person’s code.

Keep the first day light. If a delegate has a good experience of the app on Day 1, they will open it on Day 2.

## Step 3: plan Day 2, the slump

Day 2 is where attention drops. Plan it as a deliberate counter-programme.

| Time | Activity | Purpose |
| -------------- | ------------------------------- | --------------------------------- |
| Mid-morning | A quiz tied to the last session | Retrieval, a break from listening |
| After lunch | A short game or a bingo card | Energy in the post-lunch dip |
| Late afternoon | A poll on the day’s debates | Voice, closure |
| Evening | Leaderboard update | Keep competitors invested |

A quiz written in advance can be loaded with visibility off and switched on from the stage, so a Manager controls the timing. A game with a play window, such as an interval between sessions, fits without disrupting the programme.

## Step 4: finish Day 3 with purpose

By Day 3 people are thinking about their flights. Give them a reason to stay and a reason to come back.

- Move the most valuable content to the morning.
- Run the final quiz or poll before the closing session, not after.
- Announce the leaderboard winners at the close, with a small recognition.
- Open the feedback form in the last session, and thank people for completing it.
- Tell delegates where the photos and summaries will be, and when.

The close is what people remember. A rushed finale undoes two good days.

## Step 5: use notices, not noise

A steady cadence beats a flood. The top of Home is the cheapest channel: a countdown, a pinned notice, a NOW LIVE strip. Reserve push for what cannot wait. Scope messages by group so that speakers, sponsors and delegates each get what concerns them. Three to five messages a day is a workable starting budget, not a benchmark.

## Step 6: include the quiet people

Not everyone wants to join a game. Offer low-pressure ways to take part: a poll vote, a reaction, a feedback form, a photo in the gallery. If the poll is no-login, those who have not installed the app can still take part by scanning a QR. Make sure that the Manager reads out the results, so the quiet people see that their vote counted.

## Step 7: watch the numbers and adjust

Each evening, read the participation figures. Which poll had the best response, and which the worst? Did the quiz attract more at 10:30 or at 3 pm? Use the answers to adjust Day 2 and Day 3\. A conference is a live experiment; you are allowed to change your mind.

## Step 8: close the loop

After the event, report the participation rate with its denominator and thank everyone. Share a highlight: the funniest poll answer, the quiz winner, the photo of the day. The memory of the engagement is as valuable as the engagement itself.

## What not to do

**Overload Day 1.** Save some novelty for Day 2.

**Run a game with no explanation.** Show how it works in thirty seconds.

**Schedule an activity against a keynote.** Respect the programme.

**Let the leaderboard go stale.** Update it daily and tell people.

## A one-line plan for each day

Day 1: show people what the app does, and make the first interaction easy. Day 2: break up the listening with a quiz, a game and a poll, and give the leaderboard a mid-point update. Day 3: bring the best content forward, close the loop on the polls and give people a reason to return. Write the plan on one page and share it with the organising team and the Managers. When something changes during the event, such as a session running over, edit the plan and tell the team. A plan that is visible and short gets used; a plan that is long and hidden does not.

## How Sociana handles this

[Live polls and voting](https://sociana.in/features/live-polls-and-voting/) run in the app or on a public no-login page, with results on a venue screen, group polling and Manager triggers. [Quizzes and live trivia](https://sociana.in/features/live-quizzes/) are controlled from the attendee app with Visible ON or OFF per question. The [unified leaderboard](https://sociana.in/features/unified-leaderboard/) turns participation into rank, the [games library](https://sociana.in/features/games-library/) supplies play windows and points per result, and [notices, banners and countdown](https://sociana.in/features/notices-banners-and-countdown/) steer Home.

The APMI 3rd Annual Conference in Mumbai on 30 September 2026 ran live polls, networking chats, a feed and an event picture gallery, alongside meeting-room booking. EEMA Connect combined activities and games, a NOW LIVE banner, an awards section and AI-drafted summaries approved by organisers. ## Frequently asked questions

### What if only a few people use the app?

Check the list and the login first, then give delegates a reason to open it: a poll, a pass, their own details. Report participation with its denominator.

### Can non-app users join a poll?

If you use a no-login live poll, yes: they scan a QR and vote on a web page.

### How many activities per day is right?

Three or four is a sensible start. Fewer, better-timed activities work better than a crowded schedule.

### Who runs the quizzes live?

Owners and Managers, from their phones, using the Trigger Quiz screen. Rehearse before Day 1.
