# How to do lead retrieval at a trade show without renting scanners

Run trade-show lead retrieval from visitors' phones and exhibitors' phones: what to replace, how scans become leads and how to export for follow-up.

**You can do trade-show lead retrieval without renting scanners by using the phones people already carry. Each visitor has a personal QR in the show app; the exhibitor scans it from their own phone, adds a note and the lead lands in the stall’s scan log. Sociana exports leads, notes and scans per stall for follow-up.**

## Who this guide is for

You are an exhibitor marketing manager deciding how to capture leads at a show, or the organiser deciding what lead service to offer exhibitors. The default is a rented scanner device collected from a booth counter. You want to know what the app route replaces, what it does not and how to run it on the floor.

## The scanner-rental model and its limits

Renting a scanner is simple: pick up a device, scan badges, return it, receive a file. The costs are the rental, the queue at the desk, a device that works only with the organiser’s badge format and a file that arrives after the show. It also ties lead capture to the stall booking rather than to the exhibitor’s team: one device for a stall with six people.

Meanwhile, the card-in-a-bowl method persists at many Indian shows, and many exhibitors lose a large share of those cards before anyone follows up. Both methods give the exhibitor a name; neither captures why the visitor stopped.

For scale, globally exhibitions have been estimated to involve about 32,000 shows, 4.5 million exhibitors and 300 million visitors a year, contributing about US$325 billion to the economy (2018 figures cited by PIB, [Ministry of Tourism MICE explainer](https://static.pib.gov.in/WriteReadData/specificdocs/documents/2023/sep/doc2023922254801.pdf)). Lead capture is where that traffic becomes revenue for an exhibitor.

## Three ways to capture leads

| Method | Hardware | Who holds the data | Notes | Timing of the lead file |
| ---------------------------------------- | --------------- | ------------------------- | -------------------- | ----------------------- |
| Visiting card in a bowl | None | Exhibitor | Manual typing | After the show |
| Rented scanner | Rented device | Organiser, then exhibitor | Badge format fixed | After the show |
| Phone scan of visitor QR in the show app | Existing phones | Exhibitor via My Stall | Visitor must show QR | During the show |

The phone method does not require extra hardware; it does require every exhibitor to have a phone with the app and each visitor to carry the QR.

## Step by step

### Step 1: Give every visitor one QR

Registration or ticket purchase creates a membership; the member’s Profile holds a personal QR that doubles as the entry pass. At BWF Meet Up 4.0 the same QR worked at the gate and at stalls. See [entry pass and personal QR](https://sociana.in/features/entry-pass-and-personal-qr/).

### Step 2: Set up each stall as a record

Name, category, logo, description and the team. Each stall has a lead and members; staff appear as individuals so the scan log shows who scanned. The My Stall dashboard is visible only to people assigned to a stall.

### Step 3: Teach the one-sentence script

“Can I scan your QR?” The visitor opens Profile and shows the QR; the exhibitor taps Scan a Visitor and points the phone. The visitor chooses to share, which is the consent. Do not scan badges or screenshots you were not shown.

### Step 4: Write a three-word note on every scan

A scan without a note is a name. A note such as “quote, 20 units, June” is a lead. Agree three tags in advance with the exhibitor team so notes are comparable. The [lead qualification form template](https://sociana.in/templates/lead-qualification-form-template/) lists questions.

### Step 5: Watch the live numbers

The dashboard opens with stall scans, unique visitors, leads captured and unique leads. Check it at lunch: a stall with many scans and few leads needs a better note habit; a stall with few scans needs a nudge.

### Step 6: Let visitors scan back

Visitors can scan a stall to log a visit and see it later under My Scans, bookmark stalls and message them. This gives a second record, on the visitor’s side, of who they met. See [exhibitor My Stall and lead capture](https://sociana.in/features/exhibitor-my-stall-and-lead-capture/).

### Step 7: Export per stall, within a day

At close, export each stall’s leads, notes and scan log. Connect Sheets, Airtable or webhooks if the exhibitor’s CRM needs the file. The [exhibitor lead value calculator](https://sociana.in/calculators/exhibitor-lead-value/) helps exhibitors work out what the list is worth.

### Step 8: Give exhibitors a follow-up window

Send a short message the morning after: “Your lead file is ready. Follow up within 48 hours.” Calling while the show is still fresh in the visitor’s mind is simply good practice; agree the window with each exhibitor.

## What the organiser should provide

If you organise the show, the exhibitors’ lead experience reflects on you. Provide a stall template with the fields exhibitors need, a one-page brief and a briefing session a week before. Name a lead-capture contact on the floor who can fix a login in two minutes. Make sure stall pages are complete before the doors open, because visitors judge a stall by its page.

Give exhibitors their file quickly: a same-day or next-morning export is a selling point for next year’s bookings. Agree in the exhibitor terms what the organiser does with the aggregated, non-personal figures, such as stall scans and unique visitors, and what stays with the exhibitor. Clear terms avoid disputes about who owns a lead.

## Pitfalls

1. **Scanning without being shown the QR.** It breaks the consent logic.
2. **One phone for the whole stall.** Add members.
3. **Expecting a CRM sync.** Sociana does not offer native Salesforce or HubSpot sync or lead scoring; it exports leads, notes and scans.
4. **Venue signal.** Test scanning on the floor, near the dense stall rows.
5. **Skipping the briefing.** A 15-minute walk-through beats a PDF.

## India and SAARC notes

Indian expos are crowded, tier-two venues are common and many visitors will not install an app for a one-day show. Use the web route for visitor registration and keep the app on the exhibitor side if needed. IEIA lists 400+ organisers, venues, service providers and trade bodies in India ([IEIA, 2026](https://www.ieia.in/)), so exhibitors often attend several shows a year and compare lead quality across them. For ticketed shows, GST invoices matter to B2B visitors; see [tickets and payments](https://sociana.in/features/tickets-and-payments/). Keep names and categories in the terms your trade uses; the BWF app used 17 business categories for the wedding industry.

## How Sociana handles this

Every visitor carries one personal QR; every stall has a My Stall dashboard with Scan a Visitor, a Scan Log, stall chats, members and edit rights; and the visitor side offers search, bookmarks, Scan Stall, reviews, resources and chat. Leads, notes and the scan log export through Sheets or webhooks. The [Bengaluru Wedding Fraternity Meet Up 4.0 case study](https://sociana.in/case-studies/bengaluru-wedding-fraternity-meet-up-4/) documents the My Stall dashboard, delegate networking, tickets and invoices. Sociana does not offer an interactive floor plan or badge printing. ## FAQ

### Do exhibitors need to rent anything?

No hardware is required: a phone with the app is enough. Organisers may still choose to provide devices if they want one per stall.

### How are leads kept consented?

A lead is captured by scanning the QR that the visitor opens from their own Profile. The visitor’s choice to show it is the act of sharing.

### Can visitors without the app be scanned?

They need an identity and QR from the show’s registration. If they have no app, the web registration route or a manual process is needed; agree it with the organiser.

### Where does the data go?

To the stall’s My Stall dashboard and the organiser’s export. Agree retention and sharing terms in the exhibitor manual.
