# How to prevent gate-crashers with a digital entry pass

Tie entry to a registered list, issue personal QR passes, set time windows and repeat-scan limits per function, and staff a calm lookup lane for exceptions.

**To prevent gate-crashers with a digital entry pass, tie entry to a registered list, give each person a personal QR pass inside the app, set a time window and a repeat-scan limit for each activity, and staff a quiet lookup lane for exceptions. The pass identifies people; the rules decide who enters.**

## What gate-crashing looks like at a corporate event

It is rarely dramatic. Someone’s cousin comes for the dinner. A vendor’s staff slip into the keynote. A former colleague walks in because the badge table was unattended. At a resort offsite, day guests from the next villa join the buffet. At a conclave, a person with no invitation is welcomed by a steward who assumes someone else checked.

The costs are real: catering counts that do not match, seats that run out, confidential sessions with outsiders in the room and a security story that nobody can tell afterwards. A digital pass does not make an event airtight, but it makes the default “no pass, no entry” and shows who was admitted.

## Step 1: start from a list, not from a pass

The pass is only as good as the list behind it. Build one guest list, with a row per person. Decide whether the list is a whitelist (only people on it can log in) or an approval model (people sign up and the organiser approves). For a corporate or dealer event, a whitelist is almost always right. A number that is not on the list should be refused at login, not welcomed and then fixed later.

If tickets are involved, a pass can require a valid ticket or an approved registration, so payment or approval is the entry condition.

## Step 2: give every person their own pass

A pass for the group is not a pass. Issue one per person, including staff, speakers, vendors and companions. Each person’s pass is shown on the Home screen of the app as an Entry Pass tile and can be pinched to zoom; the personal QR sits in Profile. They are not separate accounts, but contexts on one identity.

Android holds 93.89% of India’s mobile OS market ([StatCounter, 2026](https://gs.statcounter.com/os-market-share/mobile/india)), so check how the pass looks on a mid-range Android phone with the brightness set low. A pass that cannot be read in a dim lane is a pass that creates queues.

## Step 3: set rules per activity

Entry is not one door. Define activities for the things you want to control: the opening session, the gala dinner, the VIP lounge, the return coach. For each, decide the following:

| Rule | Question | Example |
| ------------------ | ------------------------- | -------------------------------------- |
| Time window | When is it open? | Gala from 7 pm to 9:30 pm |
| Group eligibility | Who may enter? | Delegates and speakers, not vendors |
| Ticket requirement | Is a valid ticket needed? | Yes for the paid workshop |
| Repeat-scan limit | How many times? | Once for the gala |
| Sequence | Must a step come first? | Check in at the hotel before the coach |

Scans outside the window are rejected and logged. A rejected scan is a signal, not a fight: the steward sends the person to the lookup lane.

## Step 4: shape the door

Treat the entrance as a small system. One lane for guests who scan quickly. One lookup lane for people whose phones have died or who have changed their number. One lane for VIPs who should not queue. Brief each steward on three phrases: how to scan, how to search a name and whom to call. A steward who says “one moment, I’ll check with the desk” keeps the line calm.

Place the lookup lane out of the main flow. A person who is being asked questions should not hold up forty others.

## Step 5: decide how to handle the awkward cases

Every event has them. Write the answers in advance:

- **A person who is not on the list.** Send to the desk. A named organiser decides, and the person is added with a note.
- **A person with a duplicate pass.** The second scan is flagged. Check identity and decide quietly.
- **A person who says they were invited.** Check the list, then the sender. If it is a sponsor’s guest, ask the sponsor.
- **A person who shows a screenshot.** The live pass in the app is the one that counts; a screenshot may be refused if you say so.

The principle: the steward does not judge, the rule does.

## Step 6: watch the numbers during the event

Compare the scan count against the expected head count by activity. A sudden jump in rejected scans suggests a problem: a wrong time window, a group not mapped or an attempt at entry. A count that stalls suggests a scanner has lost signal. Assign one person to watch the dashboard and radio the gates.

## Step 7: reconcile afterwards

After the event, review the scan attempts, the accepted entries and the exceptions you added. Use unique accepted attendance for the headline count. Note patterns for next time: which gate was busiest, which rule produced the most rejections, which exception recurred.

## What a digital pass does not do

It does not print badges or supply kiosk hardware; Sociana uses the QR entry pass, organiser scan and self check-in. It does not replace security staff for events with a genuine security need. And it does not stop someone lending their phone to a friend, although the repeat-scan limit will flag a second scan of the same code.

## How Sociana handles this

The [entry pass and personal QR](https://sociana.in/features/entry-pass-and-personal-qr/) shows the pass on Home and the personal QR in Profile, with a ticket requirement option; an invalid code is fixed by reopening it from Profile. [Guest lists and approvals](https://sociana.in/features/guest-lists-and-approvals/) provide the whitelist or approval model, [OTP login](https://sociana.in/features/otp-login/) checks the number, [QR attendance and activities](https://sociana.in/features/qr-attendance-and-activities/) gives each activity its window, eligibility and repeat limits, and [tickets and payments](https://sociana.in/features/tickets-and-payments/) link access to a valid ticket.

Unstoppable NAMI 2026 at Aamby Valley in April 2026 used the Event QR Code with Take Attendance, and surfaced document status on the attendance scan so the desk could chase missing IDs on the spot. ## Frequently asked questions

### Can someone share their pass?

A shared pass can be scanned once and flagged on the second scan if you set a repeat-scan limit. For events where this matters, pair the pass with a name check at the lane.

### What if a guest has no smartphone?

Add them to the list and let a steward find their name and mark them in. Keep the record complete.

### Do I need badges as well?

Sociana does not supply badge printing. If you need visible badges, arrange them separately and treat them as a complement to the pass.

### Can I restrict a session to ticket holders?

Yes, through a ticket requirement on the activity. Test with a paid and an unpaid number before the event.
