# How many push notifications are too many at an event?

A practical notification budget for conferences: three tiers, a daily ceiling per audience, quiet hours and a review loop so push stays worth opening.

SSociana team·19 Oct 2026·6 min read

**For most one to three day conferences, three to five push notifications a day per person is a workable ceiling, with only one or two of them interruptive. Treat that as a starting budget, not a benchmark: group them by tier, avoid quiet hours and review what people actually open.**

## Be honest about the data

There is no published, verified Indian benchmark for notification frequency at events, and we are not going to invent one. What follows is a working budget, drawn from how organisers run apps in practice and from the notification screens of Sociana apps. Test it against your own audience, and revise it after day one.

What we can say with confidence is that organisers have more channels than ever. India had 1.03 billion internet users in October 2025 ([DataReportal, 2026](https://datareportal.com/reports/digital-2026-india)), and WhatsApp reached 3 billion monthly active users globally in May 2025 ([Wikipedia, 2025](https://en.wikipedia.org/wiki/WhatsApp)). Your delegates are already receiving notifications from every direction. Yours has to earn its place.

## Step 1: sort every message into one of three tiers

Before you schedule anything, list every message you might send and label it:

| Tier | Definition | Example | Channel |
| ------------ | ------------------------------------------ | ------------------------------------- | -------------------------- |
| Must-know | Changes what someone does in the next hour | Coach leaves at 8:15 am; hall changed | Push, plus a pinned notice |
| Should-know | Helps in the next few hours | Lunch is open; poll is live | Push or in-app card |
| Nice-to-know | Interesting, can wait | Photos are up; leaderboard update | Feed post, no push |

Most organisers find that two thirds of what they wanted to push is really nice-to-know. Move it to the feed.

## Step 2: set a daily budget per audience

Write a number on a page and agree it with the organising team. A reasonable starting budget for a conference day:

- **One** morning message that sets the day (agenda live, where to start).
- **One to two** just-in-time messages tied to sessions or logistics.
- **One** evening message (dinner, tomorrow’s start, a thank-you).
- **Reserve** one slot for the unexpected.

That is the three to five. On arrival day, and on a day with a changed plan, you may go higher. On a quiet day, go lower. If the budget is breached, ask whose message is the exception and why.

## Step 3: respect quiet hours

Delegates are in hotels, sleeping or at dinner. Set an earliest and latest time for push, for example 7:30 am to 9:30 pm, and make an explicit exception only for safety. Schedule notifications with a date and time, so that a late-night draft does not go out the moment you save it.

## Step 4: send to the people it matters to

Group targeting is the best frequency control, because a message that reaches fewer people reaches them more precisely. A notice about a zone’s coach goes to that zone. A reminder for speakers goes to speakers. Sending to everyone is a choice, not a default.

If your conference has delegates, speakers, sponsors and staff, build the groups before you build the notification calendar.

## Step 5: use the cheaper channels first

Not every message needs a buzz. The top of Home is the cheapest channel an organiser has: a countdown in the days before, a pinned notice, a NOW LIVE strip or a priority card when plans change. A pinned notice sits above the feed until you remove it, which means people see it the next time they open the app without being interrupted. Reserve push for messages that cannot wait.

If you also use WhatsApp, treat it as its own budget. A message sent on both push and WhatsApp is two interruptions, not one.

## Step 6: write for the lock screen

Many people read only the first line on the lock screen. Put the action first: “Hall B, 11 am: Panel on market structure” beats “Reminder about the upcoming panel discussion.” Keep the title short and the message under a phone-screen. Include a time, a place and, if needed, one action.

Avoid shouting, repeated exclamation marks and anything that reads like a campaign. The delegates are guests, not leads.

## Step 7: review and adjust each night

At the end of each day, open the Triggered tab and read your notifications as a delegate would. Ask four questions: which one would I not miss, which ones were redundant, which should have been a feed post and which important message was not sent. Delete or edit tomorrow’s Upcoming items accordingly.

A push that is also stored in the Updates tab can be read later, so a delegate who missed the buzz does not miss the message. That is another reason to hold back: the message is not lost if it is not shouted.

## Pitfalls

**Letting every team send.** If six people can trigger pushes, you will exceed the budget by lunch. Restrict who has trigger rights.

**Pushing the schedule.** The agenda is already in the app. Push only changes and session reminders that matter.

**Using push for sponsors.** A sponsor message belongs on a sponsor page or in the feed, unless it is a time-bound offer your delegates asked for.

## A sample budget for a two-day conference

| Time | Tier | Audience | Message |
| --------------- | ------------ | ------------- | -------------------------------------------- |
| Day 1, 7:45 am | Should-know | Everyone | Agenda is live; first session starts at 9:30 |
| Day 1, 12:50 pm | Should-know | Everyone | Lunch open; afternoon tracks start 2 pm |
| Day 1, 6:30 pm | Must-know | Dinner guests | Coaches leave the lobby at 7 pm |
| Day 2, 8 am | Should-know | Everyone | Day 2 agenda and the feedback form |
| Day 2, 4:45 pm | Nice-to-know | Everyone | Thank-you and where to find the photos |

Four messages a day, two of them tied to logistics. Anything beyond this goes into the feed or the pinned notice unless it is a change that affects what people do in the next hour.

## How Sociana handles this

[Push and scheduled announcements](https://sociana.in/features/scheduled-announcements/) give Owners and Managers a Trigger Notifications screen with Upcoming and Triggered tabs, a Date and Time per item, and Send To All or Select Group. Each push is also stored in the Updates tab. [Pinned notices, banners and countdown](https://sociana.in/features/notices-banners-and-countdown/) provide the lower-interruption channel at the top of Home. WhatsApp campaigns run through the organisation’s provider account with approved templates, and [groups](https://sociana.in/features/groups-and-cohorts/) control who receives what.

At the APMI 3rd Annual Conference on 30 September 2026 in Mumbai, the app’s countdown ran to 9:00 am and Take Attendance and Trigger Notifications were organiser tools. EEMA Connect used a NOW LIVE strip for what was running. ## Frequently asked questions

### Is there an official limit on notifications?

No. The phone’s own settings let delegates mute an app, so the practical limit is the delegate’s patience. Set a budget and review it.

### Should I send the same message on WhatsApp and push?

Rarely. Pick the channel that fits the tier and keep the second channel for must-know changes. Delivery on WhatsApp is the provider’s record, and no delivery rate is promised.

### How do I send fewer without missing people?

Use group targeting, pinned notices and the Updates tab, and keep push for time-critical items.

### Who should be allowed to trigger notifications?

A small named group: the event lead, one or two Managers and a duty officer. Give them the budget and the quiet hours in writing.
