# How to run a treasure hunt at a corporate event

Plan a corporate treasure hunt: theme and story, mixed teams, clue design, safety, scoring and a debrief that turns it into team connection.

**To run a corporate treasure hunt, choose a story tied to the venue, form mixed teams, write clues that need teamwork rather than trivia, place QR or AR markers along a safe route, score each find once, and finish with a debrief.** The hunt is a team-building tool first and a game second.

## Decide what the hunt is for

A hunt can serve three different goals, and each one changes the design. If the goal is connection between departments, build clues that require different skills in each team. If the goal is exploring a new property, route the markers through the places you want guests to see. If the goal is energy at a dull moment, keep it short and light. Ask the sponsor of the offsite which of the three matters most, and write that sentence on the brief.

Corporate groups differ from friends on a weekend. They include seniors who are wary of looking silly and juniors who hesitate to lead. A good hunt gives everyone a role.

## Pick a story, not just a list of clues

A narrative gives the clues a spine. At a palace property, the story might be a lost royal diary. At a beach resort, a missing ship’s map. At a company’s own campus, a founder’s lost notebook. Keep the story short enough to say in thirty seconds from the stage, and let the final clue pay it off. Use local flavour, since regional references in the clues make participants feel the place and not only the activity.

## Form teams and roles

Teams of five to eight work well. Mix departments and seniority. Give each team a name and a captain. Consider light roles such as navigator, photographer, puzzle-solver and timekeeper, which help quieter members find a place. Share teams in the app before arrival, so the first thing guests do is meet their team.

## Design the clues

Good clues are solvable in a few minutes and reward collaboration. A balanced set mixes types:

| Clue type | Example | What it rewards |
| --------------- | -------------------------------------------- | ---------------- |
| Riddle | A line about a landmark | Lateral thinking |
| Observation | Count the arches in the courtyard | Attention |
| Local knowledge | A question answered by asking a staff member | Conversation |
| Photo task | A team picture in a particular pose | Fun and memory |
| Puzzle | Rearrange letters for the next location | Logic |

Avoid clues that rely on specialist knowledge, sports trivia or cultural references that exclude some participants. Test every clue with someone who has not seen the property.

## Plan the route and the safety

Walk the route yourself, at the time of day of the hunt. Check lighting, uneven ground, crowded areas and restricted zones. Keep the hunt within public areas of the venue and tell the hotel’s staff beforehand. Mark any out-of-bounds places in the app and on the briefing. Provide a contact number for the hunt desk, and equip each team captain with it.

Consider weather. In Indian summers or monsoons, an outdoor hunt may need an early start, shade and water points, or an indoor version.

## Choose the scoring rules

Keep scoring simple and fair. Typical rules: points for each marker, a bonus for completing the whole hunt, a time bonus for finishing early, and a cap on attempts for puzzle questions. Score each marker once per team, so repeated scans do not earn more points. Decide whether the order matters. Ordered hunts feel like a story; unordered hunts spread teams across the venue and avoid crowds at a single marker.

## Run the event

On the day, brief for five minutes: story, rules, boundaries, time limit and the contact number. Start teams at staggered intervals if the route is narrow. Station helpers at the start and finish. As teams return, show the leaderboard on a screen and play background music. The atmosphere at the finish is part of the reward.

## Debrief

Spend ten minutes asking what happened. Which clue was the hardest? Who surprised the team? What did people learn about colleagues? The debrief converts a game into a conversation, and it is where the team-building value lives. End by announcing winners and giving a small recognition to every team, such as the funniest photograph or the best team name.

## Common pitfalls

- **Too long.** Forty-five to ninety minutes is usually enough.
- **Too many markers.** More than a dozen can feel like a chore.
- **Hidden clues that staff move.** Tell housekeeping about the markers.
- **No fallback.** If a marker is missing, have a hunt-desk code to unlock the next clue.
- **Ignoring accessibility.** Offer a route that avoids stairs and long distances for those who need it.

## A 75-minute run sheet

Use this as a template, then adjust to the agenda.

| Time | What happens | Who leads |
| ------------ | ------------------------------------------------------------ | ------------------------ |
| 0 to 10 min | Story from the stage, rules, boundaries, contact number | Emcee |
| 10 to 15 min | Teams meet, captains confirm, first clue opens | Team captains |
| 15 to 55 min | Teams move through markers; hunt desk monitors the standings | Hunt desk |
| 55 to 65 min | Teams return, final photo task, leaderboard on screen | Emcee and hunt desk |
| 65 to 75 min | Debrief, prizes and small recognitions | Senior sponsor and emcee |

Keep two staff members free to roam, one at the busiest marker and one near the entrance, because that is where confusion collects. Give the hunt desk a radio or a dedicated phone line, since signal at some properties is patchy.

## Adapting the hunt to different corporate audiences

A sales force that spends its year competing will relish a fast, competitive hunt with a visible leaderboard. A finance or compliance group may prefer a collaborative format with puzzles that reward careful reading. A leadership team might respond best to a hunt with a purpose, such as clues that surface the company’s values, with the debrief tied to a business theme. A family day needs short routes, simple clues and prizes that children enjoy. In each case, adjust three levers: the difficulty of the clues, the intensity of competition and the weight given to the debrief.

If a group includes people with mobility needs, plan a seated or indoor team role, such as clue reader or photographer, and keep one marker cluster reachable by a ramp or lift. Inclusion is easier to arrange before the event than to repair during it.

## What to prepare in the content hand-over

The client supplies the story, the clues, the answers, the images and the prize list. Ask for these at least a week ahead. For each clue, send the text, the correct answer, an acceptable alternative spelling, the points and the marker it belongs to. For puzzle clues, send a hint that the hunt desk can reveal. Everything the participant will read should be proofed by someone outside the team that wrote it. A typo in a clue costs more time on the day than it saved in preparation.

## How Sociana handles this

Sociana’s [treasure hunts with QR and AR](https://sociana.in/features/treasure-hunts-qr-and-ar/) connect physical markers to the app. A team scans a code at a location, opens a clue, a question or an AR reveal, and the scan is recorded with time and participant. The organiser decides the order, how many scans each marker accepts and what a completed hunt is worth. Pair it with the [games library](https://sociana.in/features/games-library/) for puzzles between stops. Sociana runs QR and AR hunts and offline games; it does not run GPS-based outdoor missions, and printing and placing the cards is agreed as a delivery task with the client.

At the Jharokha Sangam in Jaipur, the team offsite combined a Lukka-Chippi AR card hunt with themed puzzles, medallions and a selfie booth. Once-only checkpoint scoring and attempt limits stopped points being farmed. See the [case study](https://sociana.in/case-studies/the-jharokha-sangam/). ## Frequently asked questions

### How long should a corporate treasure hunt last?

Between forty-five and ninety minutes suits most corporate groups. Shorter is better for events with a packed agenda, and longer for a dedicated team-building afternoon.

### How many people can take part?

The platform can handle large groups, but the physical route sets the limit. Split big groups into waves, or give teams different routes, so markers do not become crowded.

### Do we need to print anything?

Yes, if you use QR or AR cards. Printing and placing them is a preparation task agreed in advance. Laminate cards used outdoors.

### Can the hunt run without internet?

Some content can be cached, but scans and live scores need a connection. Test the route on the venue network and tell participants which stops need signal.
