# How to do self check-in at a conference without staff at the door

Let delegates check themselves in at a conference: when self check-in fits, how to set rules, what to keep staffed and how to catch misuse.

**To do self check-in at a conference without staff, switch on self check-in for the activities where you trust it, such as breakout sessions and workshops, and set a time window, group eligibility and a repeat limit. Keep staffed scanning for entry and anything with a ticket or a safety need. Every self check-in is recorded with its time.**

## Who this guide is for

You run a conference with several parallel sessions and not enough hands to put a scanner at every door. You want delegates to mark their own attendance in the sessions they join, so you can report session-level numbers without a volunteer at each room. You also want to know what you give up when nobody is standing there.

## Staffed, unstaffed, or a mix

A staffed scan is trustworthy and slow to scale. A self check-in scales and relies on the honesty of the room. Neither is right for every activity.

| Activity | Staffed scan | Self check-in | Why |
| --------------------------- | --------------------------- | --------------------- | ------------------------ |
| Main entry | Best | Not advised | Security, ticket control |
| Plenary | Staffed at the door or self | Either | Large, visible room |
| Breakout session | Rarely staffed | Good fit | Many rooms, few staff |
| Workshop with limited seats | Staffed | With a cap | Capacity matters |
| Meal | Staffed | Not advised | Cost per head |
| Sponsor stall visit | Exhibitor scan | Visitor scan of stall | Both exist |

Use self check-in where the cost of a false check-in is low and the value of session-level data is high.

## Step by step

### Step 1: Decide which activities qualify

Make a short list: breakouts, workshops, poster sessions, fringe events. Exclude anything where a false check-in has a cost: meals, paid sessions and capped rooms. Align with the [attendance activity plan](https://sociana.in/templates/attendance-activity-plan/).

### Step 2: Create the activities and switch on self check-in

Create each session as an activity or a sub-activity under a day. Enable self check-in on the ones you selected. Attendees can then check themselves in to eligible activities. See [QR attendance and activities](https://sociana.in/features/qr-attendance-and-activities/).

### Step 3: Set the window tightly

A self check-in that is open all day can be done from the hotel bed. Open the window from five minutes before the session to a point within it, and close it. Scans outside the window are rejected and logged.

### Step 4: Restrict by group

Only listed groups can check in. For a members-only workshop, limit it to members; for a sponsor session, to sponsor staff. Check the group assignments before the event.

### Step 5: Set a repeat limit

One check-in per person per session. Repeat attempts are rejected and logged, which prevents inflated counts.

### Step 6: Put the instruction in the room

A sign at the door, a line on the slide and a reminder in the app: “Open the app, tap Attendance, check in.” Make it a ten-second job. Test on a phone that has just signed in.

### Step 7: Keep a spot-check

Ask one volunteer per floor to walk through two or three sessions and compare the room count with the live count. A large gap means the instruction or the window needs work. This is a sample, not a policing exercise.

### Step 8: Read the logs after the day

The record shows attempts, the scanner or self-check-in source and the time. Look for patterns: many check-ins in a minute from one corner, or check-ins before the session. Fix the setup, not the people.

## Writing the room instruction

The instruction decides whether self check-in works. Put it on the door, on the first slide and in the app. Keep it to three actions: “Open the app. Tap Attendance. Tap Check in.” If the activity has a window, add it: “Opens five minutes before the session.” If it is restricted to a group, say so.

Ask the session chair to say it aloud once at the start. Do not leave the explanation to the volunteers, who are busy. After the first session of the day, check the live count against the room and adjust the wording if people are missing the step.

## Checklist before the doors open

- Every self check-in activity has a window, a group restriction and a repeat limit.
- Staffed scanning is confirmed at the main entry, meals and any capped or paid session.
- The room instruction is on the door, on the first slide and in the app.
- A volunteer is assigned to spot-check two or three sessions per floor.
- A manual add route exists at the helpdesk for guests whose phones fail.
- The export format is agreed with whoever will use the session numbers, such as the secretariat or a sponsor.
- You have tested the flow on a phone that has just signed in for the first time, because that is the first-session experience for many delegates.

Decide, too, what you will do with the numbers. If session-level attendance is only for your own planning, a modest gap between the live count and the room is acceptable. If it will be shown to a sponsor or used for credit, tighten the windows and staff the doors for those sessions.

## Pitfalls

1. **Self check-in at the main gate.** Keep staff there.
2. **All-day windows.** Close them.
3. **No instruction in the room.** People will ask.
4. **Expecting perfect data.** It is session-level data, not an audit.
5. **No manual route.** A dead phone should not block a person.

## India and SAARC notes

India had 1.03 billion internet users in October 2025 ([DataReportal, Digital 2026](https://datareportal.com/reports/digital-2026-india)), so most delegates carry a connected phone. Senior delegates may leave phones with assistants; allow the assistant to check in only if your policy permits it. In Indian association conferences, session attendance often matters for continuing-education or sponsor reporting; if so, keep staffed scanning for the sessions that count and use self check-in for the rest. Sociana does not print badges or provide kiosk hardware; if you want a physical check-in kiosk, use a partner or the venue’s own.

## How Sociana handles this

Attendance is modelled as activities with sub-activities and rules: when open, which groups, whether a ticket is needed and how many repeat scans. Organisers scan a participant’s QR or add the person manually, and attendees can self check-in where allowed. Attempts, scanner and time are recorded. The same identity carries the entry pass, contact card and activity QR. [Nirvaan](https://sociana.in/case-studies/nirvaan/), the lightest multi-occasion app, shows the baseline: occasion list, join by code or QR and an Attendance tile with categories, QR scan and manual add. For a conference with sessions, see how [QR check-in works step by step](https://sociana.in/guides/qr-code-event-check-in-step-by-step/), and try the [QR attendance scanner demo](https://sociana.in/demos/qr-attendance-scanner/).

## FAQ

### Does self check-in replace the door scan?

No. Use it for sessions where a false check-in has little cost. Keep staffed scanning for entry, meals and paid or capped sessions.

### How do we stop people checking in from outside the room?

Tighten the time window, restrict by group and spot-check. Self check-in does not verify location; use the window and the spot-check.

### Can we give points for self check-in?

Yes. Completion can award leaderboard points, reversed automatically if the check-in is undone.

### What if a delegate cannot check in?

Add them manually by email or mobile, and note it in the log.
