# How to send bulk WhatsApp invitations for a corporate or partner event

Send event invitations on WhatsApp with approved templates, group segments, delivery logs and a four-message sequence that ends with a QR entry link.

**To send bulk WhatsApp event invitations the right way, use your own provider account and approved templates, not broadcast lists. Segment the list by group, send a four-message sequence (invitation, reminder, travel request, logistics), keep a QR or app link in each and read the provider’s delivery log afterwards. Sociana connects to your account.**

## Who this guide is for

You manage invitations for a corporate meet, partner meet or association event with a few hundred to a few thousand invitees. Today the list lives in a spreadsheet, the invitation is a graphic that your team forwards from phones and confirmations arrive by reply, call and email. You need one sender, one list and a record.

## Broadcast lists versus the business route

A phone’s broadcast list sends to contacts who have saved your number, so people who have not saved it never receive the message. It is capped by the phone, carries no template approval and leaves no delivery record. The business route sends template messages through a WhatsApp provider’s account, to numbers you hold with consent, and records each message’s status.

| Question | Phone broadcast list | Provider account with approved templates |
| ------------------ | --------------------------------------- | ---------------------------------------- |
| Who receives it | Contacts who saved your number | Opted-in numbers on your list |
| Personalisation | Manual | Variables such as name and event |
| Record of delivery | None | Provider’s delivery and read status |
| Approval | None | Template approved before use |
| Scale | Small, manual | Hundreds to thousands |
| Risk | Blocks and reports on a personal number | Quality tracked on the business sender |

## The four-message sequence

| Message | Send | Goal | Link goes to |
| ------------------ | ---------------------------------- | ------------------------ | --------------------------- |
| 1\. Invitation | Six to four weeks out | Confirm intent to attend | App link or RSVP page |
| 2\. Reminder | Two weeks later, to non-responders | Lift confirmations | Same link |
| 3\. Travel request | After confirmation | Collect travel and ID | Hospitality task in the app |
| 4\. Logistics | One to two days before | Entry, venue, helpdesk | QR entry and agenda |

Send message 2 only to people who have not responded. Send message 3 only to people who confirmed. This is where group segments earn their keep.

## Step by step

### Step 1: Build a list you are allowed to message

Columns: name, WhatsApp number, group, company, city. Remove duplicates, unreachable numbers and anyone who has opted out. Agree who owns the list and the cut-off date for additions.

### Step 2: Set up the sender once

Messages are sent through the organisation’s own provider account with a sender configuration and a fallback setting. Pick a provider, such as AISensy, Brevo or Twilio, whose terms you accept; charges and delivery terms are in that contract. See WhatsApp campaigns.

### Step 3: Write four templates, not forty

One template per message, with variables for the name and event. Draft them in plain Indian English, lead with the event and date and give a single action. The WhatsApp message pack and the WhatsApp event invitation templates are starting points. Read [how to get a template approved](https://sociana.in/guides/whatsapp-template-approval-for-events/) first.

### Step 4: Link the invitation to something that works

The link should open the app or a web page where the guest can sign in with the invited number and see a personal QR. The QR then serves at the door. For JITO Chennai Plus, a Grand Finale at ITC Grand Chola on 20 September 2026, the work centred on QR invitations and WhatsApp templates; the pattern generalises to any invitation-only meet.

### Step 5: Segment by group

Send different wording to different groups: partners, employees, speakers, international guests. Use the groups defined in the app so the invitation matches what the guest sees after login. See the guide on [group-scoped feeds](https://sociana.in/guides/design-a-group-scoped-feed/).

### Step 6: Schedule, send in batches and watch the first hour

Send a small test batch, check delivery and wording on three different phones, then send the rest in batches. Watch replies for the first hour; someone will always ask a question the template did not answer.

### Step 7: Read the delivery log, then follow up

Delivery status is the provider’s own record. Export failed and unread sets, and call or email them. Update the list.

### Step 8: Close the loop inside the app

As guests sign in, move confirmed guests onto the next message. After the event, a thank-you template can point to photos and feedback.

## What to put in the four templates

The invitation names the event, the date, the city and the host, and carries one link. The reminder repeats the date and adds a deadline, “Please confirm by Friday”, and the same link. The travel request says what you need and why: “To arrange your pickup and room, please add your flight details here by Thursday.” The logistics message is the shortest of the four: venue, reporting time, the helpdesk number and a line telling guests to keep their QR ready.

Each template should work on its own for a guest who skipped the previous one. Avoid starting with a variable, avoid more than three variables and avoid anything that reads like an offer. If a guest replies with a question, a named person should answer within the hour; a template that invites replies creates a duty to answer them.

## Pitfalls

1. **Sending to numbers you hold without consent.** It risks reports against your sender.
2. **A marketing-sounding invitation.** Keep it informational.
3. **Sending message 2 to everyone.** Confirmed guests will mute you.
4. **No human reply path.** Staff the number, or name a helpdesk in the message.
5. **Counting “sent” as “received”.** Report delivered and read, and call the rest.

## India and SAARC notes

Indian buyers approve creatives and guest lists on WhatsApp and expect an invitation there; they ask for a WhatsApp number, not a form. WhatsApp reached 3 billion monthly active users globally in May 2025 ([Wikipedia, 2025](https://en.wikipedia.org/wiki/WhatsApp)). For corporate meets, add the company’s name in the sender profile so recipients recognise it. Include Hindi or the regional language on the card for partners outside metros. For Bangladesh, Pakistan, Sri Lanka and Nepal audiences, confirm that WhatsApp is the channel your invitees actually use before committing, and keep email as a second route. Check data-handling norms with the client’s counsel, since India’s data protection law is being brought into force in phases.

## How Sociana handles this

Sociana supports organisation-level WhatsApp provider accounts, approved templates, configurable OTP, ticket and invoice messages, sender configuration and a fallback setting. Reminders and day-of changes follow in the app through [scheduled announcements](https://sociana.in/features/scheduled-announcements/), and delivery to email and SMS is logged in email, SMS and delivery logs. The [HCCB Partners Meet 2026](https://sociana.in/case-studies/hccb-partners-meet-2026/) matched its invitation journey to its groups: partners signed in by mobile OTP against the partner list, international guests by email OTP, and unmapped numbers saw a message pointing to the helpdesk. ## FAQ

### Can Sociana send WhatsApp messages by itself?

Messages go through your organisation’s provider account, which you set up with a WhatsApp provider. Sociana connects the account, templates and sender configuration to the occasion.

### Do invitations need a template?

Business-initiated messages are template-based and approved before use. Check the exact rule with your provider.

### Can we attach the QR entry pass?

The invitation links to the app or a page where the guest sees their personal QR. Whether an image can be attached depends on the template category and provider.

### What if a guest has no WhatsApp?

Use the fallback configured for the organisation, or email and phone. Keep a manual path in the guest list.
