# How to run a word cloud on the big screen

Run a live word cloud at a keynote or town hall: prompt design, QR entry, moderation, screen layout and how to read the result in front of a room.

**To run a word cloud on the big screen, write one short open prompt, let people answer in one or two words by scanning a QR code, moderate entries before they show, and read the result aloud with a comment.** The best prompts invite a feeling or a single idea, not a sentence.

## What a word cloud is good for

A word cloud turns a room of private thoughts into a shared picture within a minute. It suits moments when you want the audience to feel heard: the opening of a town hall, the close of a strategy session, or a launch where you ask what the brand means to them. It works because it is fast. Participants type a word; the display groups repeated answers and enlarges the commonest.

It is a poor fit when you need nuance, a decision or a count with precision. A word cloud shows themes, not percentages. If the leadership needs a binary answer, use a poll. If you need an in-depth view, use a feedback form.

## Write a prompt that produces good words

The prompt decides the quality of the cloud. A few guidelines:

- Ask for one or two words, and say so. “In one word, how are you feeling about the year ahead?”
- Ask about feeling, value or image, not facts.
- Avoid questions with an obvious single answer, which produce one giant word and nothing else.
- Avoid questions that invite complaints you are not ready to see on a large screen.
- Keep the prompt short enough to read at a glance.

| Weak prompt | Better prompt |
| ---------------------------------- | ------------------------------------------ |
| What do you think of the strategy? | One word for our next year |
| Any feedback? | One word that describes today so far |
| What is our company? | One word that makes you proud to work here |

Test the prompt with a few colleagues. If they hesitate, rewrite it.

## Decide how people join

A word cloud can accept answers from the branded app, from a no-login web page opened by QR code, or both. The QR route is quick for a big room, since it needs no sign-in. The app route suits participants who are already logged in and keeps points and identity. Offer both when you can, and show the QR prominently on the screen.

## Set moderation rules

Open text on a big screen carries risk. Someone will type something silly or rude. Decide beforehand whether entries pass a moderation step before they appear. For a large town hall, moderation is wise. Assign a moderator with a short list of rules: remove abusive words, remove personal names that could embarrass, and let neutral and negative but respectful words through. If you hide negative words, the cloud loses credibility; if you show them, be ready to respond. Agree with the leadership how to handle it.

Also set a length limit so that the cloud stays readable. Short phrases work, long sentences do not.

## Plan the screen layout

A word cloud on a large screen should be readable from the back. Use a high-contrast background, a clean font and a restrained palette that fits the event’s branding. Keep the prompt at the top and the QR code in a corner so late arrivals can still join. Check how the display handles dozens of words and hundreds of words, since the visual changes as numbers grow. Rehearse on the actual screen with the actual lighting.

## Run it in the room

Introduce the question, show the QR and set a short window, such as sixty to ninety seconds. Play light music while answers arrive. When the window closes, pause the display and read the largest words aloud. Say something about them: “Pride is the biggest word, and I am glad.” Then link to the agenda: what you will do with what you have learned.

If the result is surprising, treat it as information. A negative word at the top is a gift if you respond honestly.

## After the session

Capture a screenshot of the final cloud for the event record. Export the raw answers if you need them. Share the image in the follow-up message, with a line on what the leadership heard. If you plan another cloud, such as a repeat at the end of the day, keep the same prompt so you can compare.

## Common pitfalls

- **Prompt too long.** Participants type sentences and the cloud becomes a mess.
- **No moderation.** One rude entry can derail the moment.
- **Screen too small.** Words at the back are unreadable.
- **No reaction from the speaker.** The cloud becomes decoration.
- **Using it too often.** One or two moments per event is enough.

## Prompts for different moments of a programme

The same tool serves several purposes, and the prompt should change with the moment.

**At the opening.** “One word for how you are arriving today.” This sets a human tone and shows the leadership the mood of the room.

**After a strategy presentation.** “One word for what you heard.” The result tells the speaker whether the message landed, and whether the dominant word is the one they intended.

**Before a break.** “One word you want to take home.” A reflective close that people remember.

**At a product launch.** “One word that describes this product.” Watch for the words your marketing team hoped for and for the ones it did not.

**At the end of the programme.** Repeat the opening prompt and compare the two clouds on the same slide. The shift in words is a simple, vivid story of the day.

Do not run more than two or three clouds in a day, because novelty fades quickly. Space them so that each one feels like an event of its own.

## Reading the cloud responsibly

A word cloud is easy to misread. A large word means many people typed it, not that it is the best word. Typing habits matter: a room may agree on a theme but spell it three ways, so the cloud splits it into small pieces. Ask the moderator to merge obvious variants where the configuration allows, or read the pieces together when you speak. Do not claim more precision than the tool offers. Say “the most common words were” and avoid quoting percentages unless you have counted them.

Also notice what is missing. If the room is full of managers and the cloud has no words about customers, that is information. Use the cloud as the start of a conversation and not as the end of one.

## A short rehearsal checklist

- The prompt is on the slide and in the tool, with the same wording.
- The QR code is visible and tested from the back of the room.
- The moderator knows the rules and has a second person for breaks.
- The operator has the display open on the right screen.
- The manager with trigger rights can open and close the question from their phone.
- The speaker has a line ready for the likeliest result and for a surprising one.
- A fallback exists, such as a show of hands, if the network fails.

Run this list ten minutes before the session. It takes two minutes and catches most of the avoidable failures.

## How Sociana handles this

Sociana’s word clouds are the open-text member of the polls family: participants type one or two words, the display groups repeated answers and enlarges the commonest on a venue screen designed for projection. The organiser sets the prompt, chooses whether answers come from the app, from a no-login web page opened by QR code, or both, and decides whether entries pass a moderation step. The case for word clouds is lighter than for polls and quizzes, so Sociana describes them as a configuration built with the team for each occasion and not a self-serve toggle. Results join the same occasion as other [live polls and voting](https://sociana.in/features/live-polls-and-voting/).

Unstoppable NAMI, the NAM India Annual Strategy Meet 2026 at Aamby Valley, ran a Nippon Quiz and live polls and opened a line to leadership, and Lakshya 26 ran quizzes switched on live from the stage. ## Frequently asked questions

### How many people can answer at once?

A word cloud is a light interaction, so a large room can answer within a minute. Test on the venue network, and do not promise a specific concurrent figure without a load test.

### Can we hide inappropriate words?

Yes. Use a moderation step so entries appear only after approval, and set a short length limit for entries.

### Can it run without the app?

Yes. Participants can answer on a web page opened from a QR code, with no login, and the results join the same occasion.

### Should we publish the cloud afterwards?

Share it if the leadership is comfortable. A screenshot with a short comment shows that the audience was heard.
