Sociana + Airtable

Sociana connects an occasion to Airtable so records such as registrations, scans or hospitality rows can flow into the client's own base. It is set up with the Sociana team per occasion, not self-serve, and there is no public API or Airtable marketplace listing. The base and its permissions stay with the client.

What it does inside Sociana

Airtable suits organisers who want filtered views, forms and relational tables around an occasion. Integration tools in the admin panel connect an occasion to a base; webhooks and Sheets are the neighbouring routes. Treat it as an export and hand-off tool, not a replacement for the admin panel.

What the organiser configures

  • Base and table that receive records
  • Field mapping and linked records
  • Direction and refresh rhythm
  • Who owns the Airtable workspace
  • Which views are shared with vendors

Data protection (DPDP)

The organiser is the Data Fiduciary and Sociana acts as processor. Ask us for the hosting region and retention period that apply to your occasion; the sub-processor list is on the Sub-processors and integrations page. We do not state a region or retention period on this page.

Security notes

  • Airtable is another place where personal data is held, under your account.
  • Ask us how credentials are handled; we answer in writing.

  5. Plan archiving after the occasion.

Questions people ask

Can Airtable replace the admin panel?

No. The admin panel stays the source for configuration and participation. Airtable is for views, hand-offs and reporting that you already run in your own workspace.

Is there an Airtable app listing?

No. There is no marketplace listing and no public API. The connection is set up for you per occasion.

Who owns the data in Airtable?

You do. The base lives in your workspace and your permissions decide who sees it.
