Glossary
Event-technology glossary, A to Z
Plain-language definitions of the terms organisers meet when they plan an event app, with how each one works in Sociana.
T
"This is me" confirmation
A This-is-me confirmation is a first-login step in which a participant confirms that a pre-loaded profile belongs to them before editing or using the app.
Team leaderboard
A team leaderboard ranks groups rather than individuals, by combined or average points or steps, so people compete for their team while the unified leaderboard remains individual.
Team target
A team target is a combined or average goal that a team of participants works toward over a programme, such as total steps or a points threshold, shown against current progress.
Ticket-linked access
Ticket-linked access is a rule under which buying a ticket creates a member and grants entry, chat or activity rights limited to holders of particular ticket types.
Tier
A tier is a level a participant reaches by crossing a points or steps threshold, usually carrying its own badge and sometimes its own rewards or access.
Tournament
A tournament is a container for a series of contests run over a period in a recurring programme, with its own leaderboard and rules for how contest results combine.
Townhall
A townhall is an open internal meeting where leadership addresses employees and answers their questions, run in person, hybrid or at several sites at once.
Travel desk
A travel desk is the team or counter that coordinates participants' flights, transfers and itineraries; in Sociana it works from the hospitality workspace but does not book travel.
Treasure hunt
A treasure hunt is a clue-based game across a venue or city in which participants solve clues and verify progress through QR scans, image scans or typed answers.
A
Activation rate
Activation rate is the number of unique eligible invited people who signed in and used the app, divided by the number of eligible invited people, for one occasion.

An AGM, or annual general meeting, is the yearly meeting at which a company's or association's members review accounts, elect office-bearers and vote on resolutions, under statutory timelines.
AI session summary
An AI session summary is a recap of a session drafted by AI and published to participants only after the organiser approves it, so a human always signs off.

An airport transfer is the organised pickup that takes a participant from an airport or station to the hotel or venue, assigned against their arrival details and published to their app.
Allowed email domain
An allowed email domain is a rule that admits anyone whose verified email address ends in a listed company domain, so employees can join without being individually listed.
Approval-based registration
Approval-based registration is a flow in which a person's request to join an occasion is reviewed and approved or rejected by the organiser, with a message sent to the applicant.
AR marker
An AR marker is a printed card or image that triggers an augmented-reality reveal or game when scanned in the app, linking a physical object to digital content.

Attendance rule
An attendance rule is a condition governing check-in to an activity, such as a time window, group eligibility, ticket requirement, repeat limit or required sequence of steps.
Attendee code
An attendee code is a unique code issued to one person that identifies them and admits only them, used where phone or email cannot be relied on to establish identity.

Boost
A boost is a time-limited multiplier or bonus applied to qualifying activity, such as steps or points, used to lift participation at a chosen point in a programme.
Branded app
A branded app is the iOS and Android installation carrying a client's own name, icon and splash screen that exposes one occasion, or several, to participants.
Breakout session
A breakout session is one of several parallel sessions running at the same time, letting delegates choose a topic or smaller group instead of attending the main plenary.
C
Check-in kiosk
A check-in kiosk is a staffed or unstaffed terminal at a venue where arriving participants check in or scan in; Sociana uses QR scan and self check-in, not kiosk hardware.
Competition
A competition is a registration-based activity in which members sign up, subject to group eligibility and capacity limits, and may withdraw under the organiser's rules.
Conclave
A conclave is a premium, invitation-led gathering of senior delegates for discussion and networking, run by a company, chamber or association, often across two or three days.

D
Dealer meet
A dealer meet is a company's annual or launch gathering of dealers and distributors, combining product announcements, scheme details, awards and hospitality, usually at a resort or overseas destination.

Delegate ID and PIN is a login pair issued through official channels so delegates sign in without personal phone numbers or emails, common at government, defence and protocol events.
Delegation
A delegation is a group of delegates under a lead — by zone, company, country or ministry — given its own view, communications and reporting inside an occasion.
Destination conclave
A destination conclave is an invitation-led executive or association gathering held away from the home city, usually at a resort or heritage venue, where travel and stay are part of the programme.

Download control
Download control is a rule that decides which members or groups can save photos and videos from the app, protecting sensitive content and brand assets.
E
Employee-code login
Employee-code login is a sign-in method that uses an employee ID with a password or OTP, matched against an imported staff list, instead of relying on personal contact details.
Engagement score
An engagement score is a weighted composite that combines an occasion's participation signals — sign-ins, polls, check-ins, feedback and posts — into one comparable number defined by the organiser.
Event (session)
An event, in Sociana's model, is a single session inside an occasion's agenda — a keynote, dinner, workshop or bus departure — that can carry its own timing, attendance, feedback and reminders.
Event gamification
Event gamification is the application of points, leaderboards, badges and games to an occasion so attendance, networking and content participation are visibly scored and rewarded.

Exhibitor lead
An exhibitor lead is a visitor's contact record captured at an exhibitor's stall, typically by scanning the visitor's QR, along with any notes the exhibitor adds.
F
Fam trip

Feature switch
A feature switch is the per-occasion setting that turns a module on, off or not-included, letting organisers choose exactly which capabilities participants see.
Features, Rules and Look & layout
Features, Rules and Look & layout are the three configuration layers of a Sociana occasion: what is switched on, how each module behaves and how the app looks.
Fraternity meet
A fraternity meet is a social or professional gathering of a community or industry body, such as a trade fraternity or alumni group, where members meet peers, often in a recurring series.
Future Self
Future Self is an AI activation in which a participant converses with a persona representing their future self, used in leadership programmes to prompt reflection and commitment.

H
Hashtag collection
Hashtag collection is the gathering of public posts carrying a chosen hashtag or from chosen profiles into an occasion's feed or social wall, subject to organiser approval.
Health Connect and Apple Health
Health Connect and Apple Health are the Android and iOS health-data stores from which Sociana reads daily step counts, with the participant's permission, for step challenges.
Hospitality completeness
Hospitality completeness is the number of people with every applicable critical hospitality field verified, divided by the number of people needing arrangements, measured per group and per item.
Hospitality status states
Hospitality status states are the three stages of a hospitality field — pending when not yet given, provided when the participant supplies it, and verified when the organiser confirms it.
I
I-Am-Attending poster
An I-Am-Attending poster is a personalised, shareable graphic generated in the app that announces a participant's attendance, turning registrants into promoters before the occasion.

An image scan is a game mechanic in which the app recognises a designated picture through the camera, unlocking a clue, points or an AR reveal.
Incentive travel
Incentive travel is a reward trip earned by top performers, such as dealers or sales staff who meet targets, usually organised as a multi-day journey to a domestic or overseas destination.
L
Leaderboard points
Leaderboard points are the points that determine a participant's rank on the unified leaderboard and that cannot be spent, so redeeming rewards never changes position.
Liaison officer

Live poll
A live poll is a question pushed to participants during a session with results visible in real time, answered in the app or by web link, and optionally shown on a big screen.
Live quiz
A live quiz is a timed, scored question set run during a session, with answers collected from participants and results feeding the occasion's leaderboard.

Member
A member is a person who belongs to an occasion with a defined role — guest, visitor, owner, manager or partner — and a profile that determines what they see and may do.
Member import
A member import loads people into an occasion from a CSV or sheet, mapping columns to profile fields, roles and groups so members exist before they ever open the app.

Memory Matrix is a memory game in which participants match pairs or recall patterns, used as a light activation and, in some builds, linked to image-scan or AR reveals.
MICE

Occasion code
An occasion code is a short code that lets a participant find and join a specific occasion inside a multi-event app, typed in or scanned as a QR.
Occasion template
An occasion template is a saved configuration of features, rules, look and content that an organisation reuses to start a new occasion from a known, tested pattern.
Occasion vs Event
In Sociana an occasion is the whole gathering, while an event is one session on its agenda; marketing copy still uses event in the everyday sense of an event app.
Offsite
An offsite is a team or leadership gathering held away from the workplace, usually residential, combining planning, team building and recreation over one to three days.
Organisation
An organisation is the client account in Sociana that owns one or more occasions, along with their members, internal team, templates and organisation-level operations.

Participation points
Participation points are leaderboard points awarded for taking part in an activity — answering a poll, attending a session, giving feedback — regardless of whether the answer was right or the participant won.
Participation rate
Participation rate is the number of unique eligible people who completed an agreed meaningful action, divided by the relevant eligible population, within a stated period.
Partner meet
A partner meet is a gathering of a company's trade partners, such as dealers, distributors, franchisees or suppliers, used to align on strategy, recognise performers and strengthen relationships.

Photobooth
A photobooth, in Sociana, is a software-based selfie and photo-frame experience inside the app or at a stand, producing branded images participants can share to the timeline.
Plenary session
A plenary session is a session attended by all delegates together, typically opening or closing a conference, as distinct from parallel breakout sessions.
Plus-one
A plus-one is a guest attached to a primary member, such as a spouse or companion, who has their own hospitality details and activity eligibility but joins through the member.
PNR
A PNR, or passenger name record, is the alphanumeric booking reference an airline or railway assigns to a reservation, collected by organisers to identify and meet each traveller.
PNR reconciliation
PNR reconciliation is the check that matches booking references collected from participants against actual arrival manifests, catching mismatches and changes before pickups are dispatched.
Prompt Perfect
Prompt Perfect is a two-player AI image challenge in which participants write prompts to recreate a target image, and results are compared to decide a winner.
Public post link
A public post link is a web link that exposes one post outside the app and can be switched off by the organiser at any time, making sharing reversible.
Public web flow
A public web flow is a Sociana web page that participants use without installing the app — ticket checkout, no-login polls and voting, public leaderboards or shared post links.
Q
QR entry pass
A QR entry pass is a participant's personal QR code, shown in the app, that organisers scan at the venue to admit them under the occasion's access rules.

R
Reel
A reel is a short vertical video posted to an occasion's timeline, which participants can like and comment on and organisers can feature as highlights.
Registration review
Registration review is the admin queue where pending registrations are approved, rejected or messaged, giving organisers a checkpoint before anyone becomes a member.
Repeat-scan limit
A repeat-scan limit is an attendance rule that allows or blocks multiple check-ins by the same person at one activity, preventing duplicate entries and double redemptions.
Request-and-publish workflow
The request-and-publish workflow is the hospitality flow in which an organiser requests information from participants, verifies it, and publishes individual arrangements back to each person's app.
Responser API
The Responser API is Sociana's app-facing response format, flagged with responser=true, through which attendee and organiser apps exchange data with the Sociana Engine; it is not a public developer API.
Reward redemption
Reward redemption is the act of exchanging wallet points for an item in the reward store, confirmed when staff scan the participant's redemption QR at a counter.
Reward store
A reward store is the in-app catalogue where participants spend wallet points on items, each with a points price, stock quantity and optional per-person limit.
Rewards and recognition
Rewards and recognition, or R&R, is the HR practice of acknowledging employee or partner achievement through awards, points, public celebration and rewards, in programmes or at annual events.
Room block
A room block is a set of hotel rooms reserved by an organiser for an occasion at agreed rates and dates, from which guests are allocated; Sociana records allocation but does not hold inventory.
Rooming list
A rooming list is the document that assigns each guest to a hotel room, with check-in and check-out dates and sharing details, which Sociana imports and publishes per person.
Rule
A rule is a behaviour setting attached to a feature, such as who may post, who may download photos, which email domains are whitelisted or whether chat requires a ticket.
Run of show
A run of show is the minute-by-minute schedule of an event, listing every cue, speaker, screen and handover so the production team and stage manager work from one script.
S
Self check-in
Self check-in lets a participant mark their own attendance at an activity by scanning a venue QR or tapping in the app, under the same rules staff scanning would apply.
Session feedback
Session feedback is a short rating form tied to one agenda item and shown at or near the session's end, capturing how participants found that specific session.
Show Flow
Show Flow is a themed name for an occasion's agenda, used in Sociana to present sessions by day with Live and Up Next badges as a cinematic programme.
SKO (sales kickoff)
An SKO, or sales kickoff, is the annual meeting that launches the sales year, typically in April or May, covering targets, product training, strategy and motivation for the sales force.
Smart Lens
Smart Lens is Sociana's facial-recognition photo finder: after an opt-in selfie, a participant sees the official event photos they appear in, collected in one place.
Social wall
A social wall is a live display of approved posts, collected from the event app and from chosen hashtags or profiles, shown on venue screens or the web.
Step cap
A step cap is the maximum number of steps counted for a single day in a challenge, set to limit outliers and keep competition fair across participants.

A streak is the count of consecutive days on which a participant completes a qualifying action, such as syncing a minimum number of steps or posting to the timeline.
Sub-activity
A sub-activity is a child attendance point under an activity, such as a specific return bus under a transfers activity, letting organisers track detail without cluttering the main list.
Submission
A submission is an entry a participant files to a contest or KPI programme — text, photo, form or quantity — that a reviewer can approve, count and score by day or quantity.
Super Admin
Super Admin is the highest Sociana role, able to manage organisations, occasions, panel admins and platform-wide settings across every occasion the platform runs.
Surface
A surface is one of the places a Sociana occasion appears — attendee app, admin panel, public web flow, venue screen, partner web or mobile dashboard — each tuned to a different audience.
U
Unified leaderboard
A unified leaderboard is one ranking that combines leaderboard points earned from social activity, polls, games, attendance, steps, scans, feedback and hospitality answers across an occasion.
Unique accepted attendance
Unique accepted attendance is the count of distinct people whose check-in at an activity passed every rule, excluding rejected attempts, repeat scans and ineligible scans.
Unique-code login
Unique-code login is a sign-in method in which each person receives a distinct code that fixes their identity without requiring phone or email, used in cohort-style programmes.
Unusual-day flag
An unusual-day flag is an automatic marker placed on a day whose step count looks implausible, queuing it for organiser review before it counts toward rankings.
W
Wallet points
Wallet points are spendable points held in a participant's wallet, separate from leaderboard points, and used to redeem items from the occasion's reward store.
Wallet points vs leaderboard points
Wallet points are spendable and held in a wallet; leaderboard points set rank and cannot be spent — two separate balances so rewards never change a participant's ranking.
Weekly pace
Weekly pace is the number of steps per week a participant or team needs from now on to reach the programme goal by the end date, recalculated as progress changes.
Whitelist
A whitelist is a rule that admits only people on a pre-loaded list — by phone, email or code — to join or sign in to an occasion, blocking everyone else.
Who Am I game
A Who Am I game is a networking activity in which participants are assigned identities and guess them through conversation and app prompts, encouraging mingling across groups.
Word cloud
A word cloud is a live visual built from short participant answers, in which frequently repeated words appear larger, usually shown on a venue screen as the room responds.
