What is “Rooming list”?

A rooming list is the document that assigns each guest to a hotel room, with check-in and check-out dates and sharing details, which Sociana imports and publishes per person.

Also called: room allocation list, room chart

Rooming list in detail

Hotels need a rooming list; guests need to know which room is theirs. The two are the same data viewed differently. The list normally originates with the organiser or travel partner: names, dates, room types, who shares with whom, special requests. In Sociana the practical route is to import it by CSV or sheet into the hospitality module, match rows to members and publish each person's own line to their My Stay page. Sociana does not sync with hotel property systems or hold inventory, so the list is a data input rather than a live feed. Changes, which are constant, are made in the operations workspace and republished to the affected guests only. Because shares and companions complicate rooming, the list should be reconciled with plus-one records and checked against arrival times, as an early arrival may need a room held. Treat the master sheet as a controlled document with one owner and a version history.

How Sociana uses it

Rooming lists enter through CSV or Sheets import into the hospitality module. Per-person lines are published to My Stay, and updates are managed in the operations workspace.

Example

A multi-hotel conclave published each delegate's room details from an imported allocation sheet.
