How a Sociana conclave runs
Before
- We load delegates and their travel; each one signs in with a code on their phone.
- Documents, dietary needs and health notes are collected privately in the app.
- PNRs and transfer timings go out to each delegate as they are confirmed.
On the day
- Delegates open My Journey, the hotel map and the day’s plan.
- Travel updates reach only the people they concern.
- The help desk and control room answer requests from the app.
After
- Feedback is collected while the conclave is fresh.
- You get attendance by day and the feedback as exports.
- The app stays live for follow-ups and photos.

Questions about executive conclaves
Our delegates are senior. Will they use an app?
They open it for one reason: their own travel. The app leads with My Journey, the hotel and the help desk, so the first screen answers the question they would otherwise call about.
Can it handle more than one hotel?
Yes. GCOO Conclave 2026 ran across two hotels in Jaipur, each with its own map and directions in the app.
Who sees delegates’ health and passport details?
Only the organisers you name. Delegates share them privately; they are never shown to other delegates.
Can the agency and the client both run it?
Yes. At GCOO Conclave 2026 the help desk had groups for the organising committee, the control centre, logistics and the event agency’s team. HSBC’s YEC was delivered with the agency STCH.
