What is “Attendance activity”?

An attendance activity is a trackable point — entry, a session, dinner or a bus — against which participants are checked in, with its own rules, scanners and records.

Also called: check-in activity, trackable attendance point

Attendance activity in detail

Headcount at the door tells you little; attendance at each thing that matters tells you a lot. Sociana lets an organiser define activities such as the gala dinner, the day-two workshop, the return coach or the stall visit. Each has its own rules, discussed in attendance rules, and its own record of who checked in, who scanned them and when, including rejected attempts. Activities can have sub-activities, so a transfer activity can hold separate departures. Check-in happens by organiser scan, manual add or self check-in, depending on configuration, and completion can award points or satisfy a prerequisite for another activity. The output is unique accepted attendance per activity, a figure that separates real presence from raw scans. Planning matters: name activities after decisions they inform, such as meal counts or sponsor reports, and avoid creating dozens of tiny ones that burden volunteers without improving any decision.

How Sociana uses it

Activities are configured under attendance and access, with rules, groups and ticket requirements per activity. Records show attempts, scanner and time for each check-in.

Example

A workshop set up activities for entry, dinner and return buses, and counted unique accepted attendance for each.
