What is “Member import”?

A member import loads people into an occasion from a CSV or sheet, mapping columns to profile fields, roles and groups so members exist before they ever open the app.

Also called: CSV upload, guest list import

Member import in detail

Most occasions begin with a spreadsheet: a guest list, an HR file, a ticket export, a delegate list. The member import is how that spreadsheet becomes the occasion's member list. The organiser uploads a CSV, maps columns to Sociana fields such as name, phone, email, employee code, city, zone and category, and assigns groups and roles from the data. Because groups can come straight from imported columns, group-scoped content works from day one without manual tagging. Imports power login models too: whitelists, employee codes and delegate IDs all depend on the file. Quality matters more than speed; duplicated phone numbers, inconsistent spellings of zones and missing groups are the usual causes of day-of problems. Do a trial import in a test occasion, review the unmatched rows, and keep the master file under version control. Updates can be re-imported for joiners and corrections, with a note of what changed.

How Sociana uses it

Imports are run from the admin panel's member area, with field mapping and group assignment. Delivery typically does this in the first days of configuration.

Example

A corporate meet imported employees with city and zone fields to drive regional agenda and poll scoping.

Questions

What file formats can I import?

CSV or sheet data, with columns mapped to profile fields, roles and groups during the import. The organiser uploads a CSV, maps columns to Sociana fields such as name, phone, email, employee code, city, zone and category, and assigns groups and roles from the data.

Can imports create groups?

Yes. Group assignment can come from imported columns such as zone or category, so scoping works from the start. What usually goes wrong?

Duplicate phone numbers, inconsistent spellings and missing group fields. Trial the import in a test occasion and review unmatched rows first. Quality matters more than speed; duplicated phone numbers, inconsistent spellings of zones and missing groups are the usual causes of day-of problems.
