Hospitality status states in detail
A simple vocabulary prevents arguments. Every field the organiser requests, whether an ID document, a PNR, a flight date, a room preference or a pickup point, sits in one of three states. Pending means the participant has not given it. Provided means they have, but nobody has checked. Verified means the organiser has confirmed it is right and usable. The states drive almost everything else: reminders go to people with pending items, the desk reviews provided items, and only verified items count toward hospitality completeness. They also guard against over-promising publication; a published arrangement should rest on verified data. Reports by state and group give a clear view of the work remaining, and filters let the desk work the queue in priority order. The most common mistake is treating provided as done, which hides errors until arrival day. Define verification criteria per field before launch and give reviewers a short checklist.
How Sociana uses it
States are shown per field and per person in the operations workspace and used by reminders, filters and the completeness metric.
Example
An executive conclave tracked each delegate's travel fields through the three states before publishing.
