What is “Hospitality completeness”?

Hospitality completeness is the number of people with every applicable critical hospitality field verified, divided by the number of people needing arrangements, measured per group and per item.

Also called: hospitality completion rate

Hospitality completeness in detail

Guests do not remember the lanyard; they remember whether anyone was waiting at arrivals. Hospitality completeness turns that feeling into a number. The numerator is people for whom every applicable critical field, such as ID, PNR, flight, room and pickup, has reached the verified state. The denominator is people who need arrangements at all, which excludes, for instance, local attendees who need no room or transfer. Computed per group and per field, it shows where the gap is: perhaps rooms are complete for one delegation but pickups lag for another. Because Sociana tracks each request as pending, provided or verified, the figure can be read live in the operations workspace in the days before travel and then reported afterwards. It is one of the measures Sociana reports, and a more useful pre-event signal than registration counts. Teams commonly set a daily target in the final week and chase the lowest group first.

How Sociana uses it

Hospitality completeness is computed from request states in the operations workspace and cut by group, delegation and item. It reports verified fields, not merely provided ones.

Example

An executive conclave reconciled arrivals and published each delegate's stay and journey before travel began.

Questions

How is hospitality completeness calculated?

People with every applicable critical hospitality field verified, divided by people needing arrangements, usually reported per group and per item. Hospitality completeness is computed from request states in the operations workspace and cut by group, delegation and item. The numerator is people for whom every applicable critical field, such as ID, PNR, flight, room and pickup, has reached the verified state.

Why verified rather than provided?

Provided means the participant gave information. Verified means the organiser confirmed it, so only verified fields prove a pickup or room will actually work. Because Sociana tracks each request as pending, provided or verified, the figure can be read live in the operations workspace in the days before travel and then reported afterwards.

When should I check it?

Daily in the final week before travel, starting with the lowest-completeness group, so gaps are closed before arrival day rather than at the airport. An executive conclave reconciled arrivals and published each delegate's stay and journey before travel began. Hospitality completeness turns that feeling into a number.
