Photo & facial-recognition consent notice
A clause-by-clause consent notice for wedding photos and optional face-based photo finding. Twenty-two clauses cover what is photographed, how face matching works, who sees what, retention and how a guest says no. Adapt the wording with your family or planner; it is a drafting aid, not legal advice.
No sign-up needed.
Who it is for
- Wedding planners and families who share photos through a guest app
- Photographers who need guests to agree before faces are matched
- Organisers who want a clear opt-in before launching a photo finder
How to use it
- Read each clause and edit the Your wording column for the family, the photographer and the city.
- Show the notice on first login and again on the photo finder screen, before any selfie is taken.
- Make opting out of face matching as easy as opting in, and keep general photos available either way.
- Have a lawyer or the family adviser read the final text, particularly the retention and contact clauses.
The contents
| Clause | Suggested wording | Why it is there |
|---|---|---|
| 1 Who we are | These photos are managed by the families of the couple and their wedding planner. | Names a responsible party |
| 2 What we photograph | Professional photographers and guests may photograph the ceremonies and celebrations. | Sets scope |
| 3 Where photos appear | Photos appear in the private wedding app, visible only to invited guests. | Limits audience |
| 4 General albums | You can view and download group photos without sharing anything about yourself. | Separates albums from matching |
| 5 Optional photo finder | If you wish, you can find photos you appear in by taking a selfie. | Makes matching optional |
| 6 How matching works | Your selfie is converted into a numeric pattern that is compared with faces in the albums. | Plain explanation |
| 7 What we store | We store the pattern and the matched photo list, not an additional copy of the selfie. | Data minimisation |
| 8 Who sees matches | Only you see your matched photos. Others see only photos already shared in albums. | Privacy |
| 9 Consent | Taking the selfie means you agree to the photo finder. You can say no and still use the app. | Voluntary choice |
| 10 Children | Parents or guardians decide for guests under 18; we do not match faces of minors without their consent. | Protects minors |
| 11 Opting out later | Tap Remove my face data in settings and your pattern is deleted. | Easy withdrawal |
| 12 Deletion timeline | Face patterns are deleted within 30 days of the wedding or when you remove them. | Clear retention |
| 13 Photo retention | Albums stay available for 12 months, then are archived by the family. | States duration |
| 14 Downloads | Guests can download photos for personal use only. | Sets use rule |
| 15 Sharing outside the app | Please do not post photos of other guests without asking them. | Guest etiquette |
| 16 Takedown | Ask us to hide or remove a photo of you by writing to the contact below. | Takedown route |
| 17 Response time | We respond to takedown requests within 3 working days. | Commitment |
| 18 Photographer rights | The photographer keeps copyright in photos as per the family's contract. | Clarifies ownership |
| 19 Security | Access needs a login; face data is kept separate from the albums. | Basic assurance |
| 20 No sale | We do not sell your photos or face data. | Plain commitment |
| 21 Contact | Questions or requests: name, phone and email of a family contact. | Gives a human |
| 22 Updates | If this notice changes, you will see it in the app before it applies. | Handles change |
Where it has been used
The structure follows how a wedding app offers optional photo finding to guests alongside ordinary albums, with guests choosing whether to take part.
Questions people ask
Must face matching be opt-in?
Treat it as opt-in. A guest should be able to browse albums and download shared photos without ever giving a selfie, and should be able to withdraw the selfie and its match later.
What should the notice say about retention?
State a date. For example: selfies deleted thirty days after the wedding, albums kept for a year. A clear date is more reassuring than a phrase like as long as necessary.
Is this notice enough on its own?
No. It is a draft for you to adapt and have reviewed. Local law, the venue and your photographer contract may add requirements, particularly for minors, so ask a qualified adviser.
