Points & rewards economy sheet

A worksheet for designing a points economy that does not inflate: earning actions with caps, a conversion to rewards, and ceilings per person. Twenty-six lines cover earn rules, spend rules and the guardrails an HR or events lead should write down before launch.

Who it is for

  • HR and L&D leads running recognition or engagement programmes
  • Corporate event managers adding a leaderboard to an annual meet
  • Programme owners who must justify reward budgets to finance

How to use it

  1. Estimate your participants and the length of the programme; these two numbers drive every cap.
  2. Fill the Earn rows first, with a per-person cap for each, then add the maximum a person can reach.
  3. Set reward tiers so that the top tier needs about 70 to 80 percent of that maximum, not all of it.
  4. Run the sheet past one sceptical colleague and fix any action that can be repeated for easy points.

Where it has been used

Built from patterns in recurring employee programmes where a leaderboard ran across weeks and rewards were redeemed in a catalogue.

Questions people ask

How do I stop one action from dominating?

Give every earning action a cap per person and per day, and keep the cap for the easiest action lowest. If an activity can be repeated, the cap is what stops it deciding the winner.

How many points should a top reward cost?

Work back from the maximum a keen participant can earn. Aim for roughly three quarters of it, so effort is rewarded but nobody is locked out by a single missed week.

Can points expire?

Yes, and it is worth stating clearly in the rules. If points expire at programme end, say so on the first screen and in the FAQ, and decide what happens to unredeemed balances.
