How we calculate

Couple rooms
(guests − VIPs) × couple share ÷ 2, rounded up

Two people, one room.

Single and twin rooms
singles = the rest × single share; twin rooms = remaining sharers ÷ 2, rounded up

An odd sharer gets a twin room alone.

Rooms to block
VIPs + couple + single + twin + crew rooms (crew ÷ 2) + spares

Spares = allocated rooms × spare share, rounded up.

Hotel cost
rooms to block × nights × rate × (1 + hotel GST)

Hotel GST is 5% up to ₹7,500 a night and 18% above.

Assumptions

  • Everyone stays every night in one hotel. Staggered arrivals lower room-nights; run each night separately if they differ a lot.
  • Sociana does not book hotels or hold inventory. Your travel team or hotel books; Sociana collects room preferences and publishes each guest’s My Stay.
  • Hotel GST of 5% (no input credit) up to ₹7,500 a night and 18% above applies from 22 Sep 2025. This is not tax advice; check with your CA.
  • Hold 5–8% spare rooms for late additions and swaps; release them by the hotel’s cut-off date.

Prices as of 23 Oct 2026.

Questions about this calculator

How do I calculate how many hotel rooms to block?

Count rooms by type: VIPs alone, couples together, the people who asked for single occupancy, everyone else two to a twin room, plus crew. Add 5–8% spares and check the total against what the hotel can give you.

How many spare rooms should I hold?

About 5% for corporate trips and up to 8–10% for weddings, where late additions are common. Agree the release date with the hotel so unused spares are not billed.

What GST applies to hotel rooms?

From 22 Sep 2025, rooms up to ₹7,500 a night carry 5% GST without input credit and rooms above ₹7,500 carry 18%. Check with your CA for your case.

Does Sociana allocate rooms?

Sociana collects each guest’s room preference and companions in the app, and your desk publishes the final room back to the guest as My Stay. The booking stays with your hotel or travel partner.
