Sociana + WhatsApp Business API

Sociana sends WhatsApp campaigns, OTPs, tickets and invoices through the organisation's own WhatsApp Business API provider account, using templates WhatsApp has approved. Invitations, reminders and arrangements can each have a message. Delivery status comes from the provider; no delivery rate is promised.

What it does inside Sociana

WhatsApp is where Indian guests already are, so Sociana connects to it rather than competing with it. Sociana supports organisation-level provider accounts, approved templates, configurable OTP, ticket and invoice messages, sender configuration and a fallback setting. JITO Chennai Plus used utility-template messages alongside personalised QR invitations, and wedding apps pair WhatsApp invitations with the guest app. The route into the WhatsApp Business API is a business solution provider (BSP); AiSensy, Twilio and Brevo have been discussed.

What the organiser configures

  • The organisation's WhatsApp Business account and provider (BSP) account
  • Message templates for invitation, reminder, OTP, ticket, invoice and arrangement, each submitted for WhatsApp approval
  • Sender configuration and a fallback channel if a message cannot be delivered
  • Audiences by group, so the right people get the right message
  • Delivery logs read from the provider

Data protection (DPDP)

The organiser is the Data Fiduciary and Sociana acts as processor. Ask us for the hosting region and retention period that apply to your occasion; the sub-processor list is on the Sub-processors and integrations page. We do not state a region or retention period on this page.

Security notes

  • Phone numbers and template variables leave Sociana for the BSP and Meta; both appear on the sub-processor list once it is published.
  • Provider tokens are entered at set-up; ask us about storage and rotation.
  • Messages carry only the variables the organiser maps to the template.

Set-up checklist

  1. Check the organisation can open a WhatsApp Business account and has a verified business profile.
  2. Choose a BSP and sign the provider contract; Sociana does not resell WhatsApp access.
  3. Write templates early and submit them for approval. WhatsApp reviews utility and marketing templates before use.
  4. Load the audience, set sender configuration and the fallback, and send to an internal test group.
  5. Watch the delivery log during the first send and agree who handles replies.

Limits, stated plainly

  • Template approval and delivery depend on WhatsApp and the provider. Sociana cannot guarantee either.
  • Marketing messages need opt-in; the organiser is responsible for a lawful basis for each audience.
  • Which BSP an occasion uses, its charges and its guarantees are set in the provider contract.
  • Two-way conversation handling is not a Sociana inbox; replies go to the provider's inbox.

Not offered yet

  • Two-way WhatsApp inbox inside the admin panel
  • Delivery-rate guarantees

Pricing note

Indicative figures (ex-GST, on actuals): marketing messages about ₹1.10 each, with bundles of 5,000 for ₹5,750, 25,000 for ₹26,250 and 1,00,000 for ₹99,000; utility messages about ₹0.25. Meta and the provider set the real rates, and we re-price when Meta does.

Indicative figures are not a quote. Pricing explains how scope moves the price.

Questions people ask

Do we need our own WhatsApp Business account?

Yes. Sociana sends through the organisation's own provider account, with templates approved on that account. That keeps the sender identity, the opt-in record and the provider contract with the organiser.

Can Sociana guarantee WhatsApp delivery?

No. WhatsApp and the provider decide approval and delivery. Sociana shows the provider's delivery status in the log and offers a configurable fallback, but it does not promise a delivery rate.

What does a WhatsApp message cost?

The provider and Meta charge for messages. On our price sheet, marketing messages are about ₹1.10 each on actuals and utility messages (OTP, reminders, arrangements) about ₹0.25, plus GST; rates move whenever Meta changes them.
