Field notes

Wedding apps are hospitality apps

A founder's view: a destination wedding guest app succeeds by collecting travel and ID details and publishing each guest's arrangements back.

A destination wedding guest app is a hospitality app first and a celebration app second: its main job is to collect each guest’s travel and ID details and publish their flights, hotel and transport back to them. Games, wishes and photo albums are what guests enjoy. Logistics are what the family loses sleep over. This is my view as a founder, written while one wedding app is still in its pre-event build, so it is a position and not a results report. We will state outcomes only when the family approves them.

Why do I say hospitality first?

Look at what actually goes wrong at an Indian wedding. A guest lands in the wrong city, a room is allotted twice, a cousin from abroad needs a visa document nobody collected, an elder is not told which car will collect them. These are hospitality failures. A beautiful invitation does nothing about them.

The scale of the occasion explains why this is hard. The Confederation of All India Traders projected 46 lakh weddings between 1 November and 14 December 2025, a 45-day season. And the calendar is lumpy: Drik Panchang lists 59 shubh vivah muhurat dates for 2026, none in January, August, September or October, with the winter window opening on 21 November 2026. When a planner, a venue and a family are all working to the same few dates, the margin for a missed arrival is small.

The brief I would write for any family is short: every guest knows the plan, finds the pickup and leaves a wish, in that order.

What does the hospitality loop look like for a wedding?

It is the same loop as a corporate conclave, with warmer words. In the Pune wedding app, guests see Your Hospitality tabs on Home, each asking one question at a time: answer, upload a ticket, save. Me holds Travel Details cards for outbound flight, return flight, hotel reservation and transportation. Organisers, in this case family members and planners, publish what each guest needs back to that guest.

The sequence is short:

  1. Collect. Travel plans, ID documents and preferences, asked in small steps.
  2. Reconcile. The hospitality desk matches answers to the guest master and the bookings.
  3. Publish. Each guest sees only their own cards.
  4. Correct. When a detail changes, the desk updates it, and the guest sees the change.
  5. Escalate. When something can no longer be changed, guests are asked to contact the desk.

The platform’s hospitality workspace tracks each request as pending, provided or verified, so the planner can see gaps before travel. If you want the mechanics, read how we reconcile PNRs in the last 72 hours.

Where do games and wishes fit?

They matter, and they come second. The Pune app runs a 75-day engagement calendar that starts with a welcome video, an app reveal, profile completion and RSVP for first points, and continues through rapid-fire prompts, Mad Libs, memory drops, a couple crossword, riddles, predictions and quiz battles. Two days out, a Wedding Mode switches the home navigation to live-day verbs. The idea is that the celebration starts long before anyone lands.

This works because the app has already earned a place on the guest’s phone. A guest who opened the app to upload a ticket will come back for the quiz. A guest who was asked to play before they were told where to go will not. Sequence matters.

Groups give the games shape. The bride’s side and the groom’s side are groups, used for side-specific notifications and a friendly team contest. See the groups feature for how scoping works, and note that it is configured and tested module by module.

What are the three decisions every family should make?

The Pune documentation names three things to settle before the app goes live publicly. They apply to any wedding.

  • Moderation. Who approves wishes and memories before they appear? A wedding wall without moderation can embarrass the family.
  • Group visibility. What may each side, and each generation, see? Be explicit about who can see guest lists and contact details.
  • Document retention. What happens to uploaded IDs and tickets after the wedding? Decide a retention period, say who has access in the meantime, and plan deletion. Guests can delete their accounts, and the family should agree the policy with their planner and counsel.

Guests are private individuals. This is why our case study on the Pune wedding does not show guest names, posts, wishes or document details, and why I would ask any vendor to show you the privacy handling before they show you the confetti.

What should a planner ask any wedding app vendor?

Question Why
Can each guest see only their own travel and stay? Core hospitality
Can we mark a request pending, provided and verified? You need to see gaps
How do ID documents get stored and deleted? Privacy and retention
Who moderates wishes and photos? Reputation
What happens for guests abroad who cannot receive an Indian OTP? Email sign-in for guests abroad
Do you hold hotel inventory or book travel? Sociana does not; it collects and publishes
Who answers a guest at 23:40? A named hospitality desk

On the sixth row I want to be clear. We do not hold hotel inventory and we do not book travel. We collect information, reconcile it with the bookings your planner or the guests hold, and publish the arrangements.

What about photos and memories?

After the wedding, the shared album matters most. The app can help guests find their own photos, with a consent step if face matching is used, and wishes and memories remain. Think of it as the thank-you journey. For the finer points on matching and consent, read consent-first facial recognition.

Where I stand

I believe a wedding is the most demanding hospitality brief any of us will run: guests who owe you nothing, emotional stakes, a hard date, and nobody to blame but family. That is why the best wedding apps behave like a calm hospitality desk, not a party game. The structure we use is set out on the weddings occasion page.

If you are planning a destination wedding and want one place for travel, stay and memories, start a conversation on WhatsApp. Bring the guest count, the cities guests travel from and the dates, and we will show you the first screen.

Planning an event of your own?

Tell us what you are planning. We will show you the app as your guests would see it, then send an itemised quote.
