How we calculate
- Days needed
content delay + (approval rounds − 1) + build days (top of range) + hospitality import + store review + rehearsal + invite windowEach step waits for the one before it, so the days add up.
- Fastest possible
build days (bottom of range) + store review + rehearsalEverything ready on day one, one approval round, invites on go-live day.
- Time in hand
days until event − days neededA week or more is comfortable; under a week is tight; below zero needs a faster path.
- Rush fee
+15% under 14 days, +25% under 7 daysCounted from the event date.
Assumptions
- Build times: Launch 7–10 days, Event & Hospitality 10–14, Participation & Rewards 14–21, a recurring programme 21–30 to the first cycle.
- Content: ready adds nothing, partly ready adds 3 days, not started adds 7.
- Store review: about 3 days for Apple and Google together; occasionally longer.
- Hospitality data (flights, rooms, pickups) adds about 3 days to import and check.

Questions about this calculator
How long does it take to build an event app?
7–10 days on a templated layout and 10–21 days on a custom layout, once content is in. Store review and a week of invites come on top, so plan to start 4–6 weeks out.
Can you launch an app in under two weeks?
Often, yes, if content is ready and approvals are quick. A rush fee of 15% applies under 14 days and 25% under 7 days. Below the store minimum, a web app or a shared Sociana app joined by code still works.
Why does the app need to be live a week before the event?
People need time to install and log in. A week of invites on WhatsApp and email gets most of them in before the day, which keeps the registration desk short.
What slows a launch down most?
Late content and extra approval rounds. Each additional round adds about a day; an agenda that changes after build adds more.
