Approach comparison

Excel vs hospitality management software for events: flights, rooms, pickups

Excel works until three versions circulate. Compare spreadsheets with event hospitality software for flights, rooms and pickups at 100, 500 and 2,000 guests.

Short answer. Excel is fine for a few dozen guests and one coordinator. Past that, the damage comes from version drift: the sheet the travel desk edits is not the sheet the hotel holds or the sheet a delegate was promised. Hospitality software gives one record per guest, states for each task, and publishes each person’s own arrangements back to them.

Disclosure. Sociana publishes this page and sells an event app, so we have an interest in approach two. We say where the other approach wins, use no statistic without a dated source, and last reviewed it on 19 Oct 2026.

What each approach is

Excel or Google Sheets

A workbook, or a shared Google Sheet, with one row per guest and columns for flight, PNR, hotel, room, pickup and notes. Coordinators filter, colour and email extracts to hotels and drivers.

Hospitality management software

A workspace where each guest’s details are collected, tracked from requested through provided to verified, reconciled against arrivals and published to the guest as personal cards, with exceptions handled when a flight changes.

Decision table: cost, effort, data, risk and scale

Dimension Excel or Google Sheets Hospitality management software
Cost. Cost as guests grow from 100 to 2,000 No licence; coordinator time and error cost rise steeply, and a second person editing means conflicts Licence or service fee; the per-guest cost of handling changes stays low
Effort. Effort to set up and run Minutes to start; constant manual merging and extract creation Setup of fields and import; daily work is exceptions, not copy-paste
Data. Data you keep Whatever the latest copy says; history is lost on overwrite States, timestamps and exports for reconciliation and audit
Risk. Risk Three versions, wrong extract sent to a hotel, passport scans in email, no guest-facing view Data protection duties for IDs and PNRs; the vendor must handle sensitive data carefully
Scale. Scale Strains beyond one editor and one hotel Designed for delegates split across hotels and arrivals

When Excel or Google Sheets is enough

  • A small group with one coordinator and one hotel.
  • One-off trips where a spreadsheet is already the working file.
  • You need a quick pivot table, not a workflow.

When hospitality management software wins

  • Delegates arrive on many flights and trains.
  • Several people edit the same list.
  • Guests must see their own room and pickup in a trusted place.
  • ID documents and PNRs need controlled handling and audit.

How Sociana fits

Sociana’s hospitality requests collect ID, PNR, flight, room and pickup details in the app and publish each guest’s arrangements back as My Stay, My Flights and My Journey cards. The operations workspace gives the hospitality team one sheet showing each guest as requested, provided or verified, with PNR reconciliation. We do not hold hotel or air inventory; the hotel and travel desk still book, and Sociana records and publishes.

Features involved: Live operations workspace & exception handling, Hospitality requests & My Stay, Help desk, SOS, emergency contacts & phrasebook.

Worked example: GCOO Conclave 2026

At the GCOO Conclave in Jaipur (9 to 11 October 2026), senior delegates judged the event by whether car, room and return flight were right. The app opened on My Stay and View My Journey, with PNR and arrival reconciliation behind it and a Help Desk one tap away. The case lesson is that arrival-day questions drop when every delegate sees their own journey before travelling.

What to keep when you switch

Keep Excel for pivots, rooming-list handover to the hotel and the final reconciliation export. Move collection and the guest-facing view into the software, and import the existing sheet as the starting data.

FAQ

Can Excel handle 500 delegates?

Yes with discipline, but conflicts and stale copies become the real problem, not capacity.

Does hospitality software book hotels?

Some tools hold inventory; Sociana does not. It collects, tracks and publishes arrangements, while booking stays with your travel desk or DMC.

How are passport scans protected?

Ask where documents are stored, who can see them and when they are deleted. Our trust pages describe data handling and retention.

When should I switch from Excel?

When more than one person edits the sheet, when guests ask for their own details, or when changes arrive after you have sent extracts.
