Short answer. Use SMS where reach to any phone matters and for login codes, and WhatsApp where richer content, QR tickets and conversation matter. For most Indian audiences WhatsApp is the better invitation and reminder channel, with SMS as the fallback. Whichever you choose, the message must be approved, targeted and logged.
Disclosure. Sociana publishes this page and sells an event app, so we have an interest in approach two. We say where the other approach wins, use no statistic without a dated source, and last reviewed it on 19 Oct 2026.
What each approach is
SMS
Text messages sent through a registered sender and approved templates. They reach any mobile phone without an app, but carry plain text, short links and per-message costs.
WhatsApp messages sent through a business provider with approved templates. They support richer formats, images, QR tickets and replies, and reach people who use the app, which in India is a very large share of smartphone users.
Decision table: cost, effort, data, risk and scale
| Dimension | SMS | |
|---|---|---|
| Cost. Cost as audience grows from 100 to 2,000 | Per-message charges plus registration overhead; predictable | Per-message provider charges by category; KonfHub, for example, lists a per-message charge for WhatsApp or SMS, so check each provider |
| Effort. Effort to set up and run | Sender and template registration under Indian telecom rules; strict content approval | Business account, provider onboarding and template approval; ongoing opt-in management |
| Data. Data you keep | Delivery reports from the SMS gateway | Delivery and read status from the provider, linked to the guest record where integrated |
| Risk. Risk | Low engagement on long messages, link trust issues, spam filters | Policy limits on promotional content, template rejections, provider outages |
| Scale. Scale | Reaches everyone with a phone number | Reaches WhatsApp users; ask what your audience uses |

How Sociana fits
Sociana sends WhatsApp campaigns and transactional messages through the organisation’s own WhatsApp provider account, using approved templates, and sends login codes by SMS or email with delivery logs. Organisers can check what was sent and fall back to SMS or email.
Features involved: WhatsApp campaigns, templates & delivery logs, Email, SMS OTP & delivery logs, Phone, email & WhatsApp OTP login, Push & scheduled announcements by group.
Worked example: JITO Chennai Plus Grand Finale
For the JITO Chennai Plus Grand Finale on 20 September 2026 at ITC Grand Chola, Chennai, Sociana provided the invitation and entry layer without a branded app: personalised QR invitations, WhatsApp utility-template messages approved for transactional delivery and door scanning, with delivery logs from the provider. For a gala, the invitation and the door scan are the whole product.
What to keep when you switch
Keep SMS as the OTP and fallback channel. Move invitations, tickets and reminders to WhatsApp and clean up consent first.
FAQ

Policies limit promotional messages and require opt-in. Use utility templates for tickets, entry and reminders and check your provider’s rules.
Is WhatsApp reach really higher in India?
WhatsApp reached 3 billion monthly users globally in May 2025 (Wikipedia), and India is its largest market, though Meta publishes no official country figure. Check your own audience.
Who registers templates?
Your provider submits them; plan time for approval before the invitation date.
Can we prove delivery?
Ask for delivery and read logs from the provider, as with the JITO build.
