Short answer. Use a WhatsApp group when the event is small, one-day and among people who already know each other. Use an event app when guests need their own schedule, travel details or different information from each other, and when you need a record of who did what. Many organisers keep WhatsApp for reach and add an app for everything WhatsApp cannot hold.
Disclosure. Sociana publishes this page and sells an event app, so we have an interest in approach two. We say where the other approach wins, use no statistic without a dated source, and last reviewed it on 19 Oct 2026.
What each approach is
WhatsApp group
A group, or a community of groups, that the organiser creates and members join by invite link. Messages, polls, photos and documents live in one chat stream. It costs nothing and almost every guest already has it: WhatsApp reached 3 billion monthly users worldwide in May 2025 (Wikipedia, WhatsApp article), and India had 1.03 billion internet users in October 2025 (DataReportal Digital 2026).
Event app
An installable app, usually branded to the event, where each person logs in as themselves. It holds the agenda, personal arrangements, polls, games, photo gallery and attendance, and it can send targeted announcements. The organiser configures it in an admin panel and can export who took part.
Decision table: cost, effort, data, risk and scale
| Dimension | WhatsApp group | Event app |
|---|---|---|
| Cost. Cost as guests grow from 100 to 500 to 2,000 | Software is free at every size; the cost is organiser hours moderating, re-posting and answering the same questions, which grows with headcount | A fixed project cost by scope, with support included in managed offers; extra guests change effort little, so cost per guest falls as you grow |
| Effort. Effort to set up and run | Minutes to start; daily admin to keep the chat usable | Days of configuration and content upfront; fewer repeat questions on the day |
| Data. Data you keep | A chat export at best; no structured record of attendance, RSVPs or preferences | Member records, attendance by activity, poll results and exports you can analyse |
| Risk. Risk | Messages scroll away; members see each other’s numbers; anyone can leave with the group history; no per-person content | Guests must install and log in; a poor first screen costs activation; you depend on a vendor |
| Scale. Scale | Works for a family or a team; breaks when different audiences need different information | Built for several audiences in one occasion, with scoped content, polls and notifications |
When a WhatsApp group is enough
- The gathering is a one-evening reunion, a small team lunch or a family function.
- Everyone is already in each other’s phone book and nothing needs to be private or personal.
- You need an answer in five minutes and have no budget.
- Messages are the whole point: no agenda, no records, no per-person information.
When an event app wins
- Guests need personal information: flights, room numbers, pickups, seat or table.
- Different groups, such as partners and employees or two families, must see different content.
- You need proof of attendance, poll results or a points leaderboard.
- Guest phone numbers should not be shared with every other guest.
- Announcements must be timed, targeted and logged.
How Sociana fits
Sociana is WhatsApp-native and an app at once: guests log in with an OTP, organisers send WhatsApp templates through their own provider account, and scheduled announcements go to selected groups as push and in-app messages. The rule of thumb we use is WhatsApp for reach, the app for everything else.
Features involved: Push & scheduled announcements by group, Groups & cohorts (group-scoped content), WhatsApp campaigns, templates & delivery logs, Phone, email & WhatsApp OTP login.
Worked example: HCCB Partners Meet 2026
HCCB’s partners meet in Goa (July 2026) put two audiences in one room: business partners and company staff. Sociana scoped content by group so partners saw their own flights and accommodation while employees saw employee content, and the app carried Show Flow with Live and Up Next badges, awards and games. The case study’s own lesson is that scoping by group is cheaper than running two apps, which is exactly what a single WhatsApp group cannot do.

What to keep when you switch
Keep the WhatsApp group for informal chatter and last-mile reminders. Move the agenda, personal arrangements and polls into the app, and send the app link once from the group. Do not try to migrate message history; start the app with a clean welcome card.
FAQ
Can WhatsApp groups replace an event app?
For a small event they can, as long as nobody needs personal information or a record. Once guests ask where their room is, or you need attendance by session, a group becomes an inbox for repeated questions.
Do guests resist installing an app?
Some do. Offer WhatsApp for reach, a QR to open the app, and no-login web pages for polls so guests who skip the install still take part.
What about guest privacy in a WhatsApp group?
Members of a group can generally see each other’s numbers. If your guests do not know each other, or include VIPs, scope information inside an app and do not publish lists in a group.
Is the event app more expensive than WhatsApp?
Yes on software, since WhatsApp is free. The comparison that matters is organiser hours and errors at your headcount. Start with the cost drivers on Sociana’s pricing page.
