Sociana + Google Sheets
Sociana connects an occasion to Google Sheets so registrations, scans, scores or hospitality rows can flow out, and rooming or participant lists can come in. It is configured with the Sociana team per occasion, not self-serve. Credentials and sheet access stay in the client's own Google account.

What it does inside Sociana
Many teams already run their event on a spreadsheet, so Sociana meets them there. Integration tools in the admin panel connect an occasion to Sheets, which is also the route for importing rooming lists and for exporting leads to a CRM without a native connector. Partner data sharing offers a scoped alternative for an outside team such as a hotel or transport vendor.
What the organiser configures
- Which sheet and tab receives which records
- Field mapping between Sociana columns and sheet columns
- Direction: export, import or both
- Who in your organisation owns the Google account and sheet access
- Refresh rhythm agreed with the team
Data that flows, and where it is stored
| Data | From | To | Stored |
|---|---|---|---|
| Registrations, scans, scores, hospitality rows | Sociana database | Your Google Sheet | Your Google account; Sociana keeps its own copy |
| Rooming or participant lists | Your Google Sheet | Sociana member and hospitality records | Sociana database (hosting region on request) |
Data protection (DPDP)
The organiser is the Data Fiduciary and Sociana acts as processor. Ask us for the hosting region and retention period that apply to your occasion; the sub-processor list is on the Sub-processors and integrations page. We do not state a region or retention period on this page.
Security notes

Questions people ask
Is this a live two-way sync?
Not by default. Direction and refresh rhythm are agreed per occasion, so confirm what you need, such as nightly export or a one-off import before the event.
Can I import a rooming list?
Yes, rooming and participant lists can come in by CSV or Sheets. Sociana is not a hotel PMS and does not do travel booking, so the list comes from your own source.
Do I need to be technical?
No. The Sociana delivery team sets up the connection with you; you own the Google account and decide who has access.
