Event app ROI calculator

Event app ROI is the value the app creates in one event, minus its price, divided by its price. For 500 participants the value comes from four places: printing you stop, organiser hours returned, broadcasts sent as free push and more engaged participants. Change the defaults to your numbers.

How we calculate

Printing saved
participants × print cost per person × 0.7

About 30% of printing stays (badges, a few signs); the rest moves into the app.

Team hours returned
team × query hours per day × days × 0.5 × hourly cost

Half of the time spent answering “where, when, which room” moves to the agenda, My Stay and the help desk.

Messaging saved
messages × participants × cost per message today

Push notifications inside the app are free. WhatsApp credits, if you still want them, are priced separately.

Engagement value
participants × adoption × 0.6 × value per engaged participant

60% of people who install the app take part (vote, give feedback, play). You set what one of them is worth to you.

ROI
(total value − Sociana cost) ÷ Sociana cost

Payback in events = Sociana cost ÷ value per event.

Assumptions

  • Sociana cost is the package floor plus participant scaling, ex-GST, from the price list dated 23 Oct 2026.
  • Adoption of 55–65% is a common range for invited audiences; branded apps with WhatsApp invites tend to sit higher.
  • Today’s channel costs: SMS ₹0.25, WhatsApp ₹1.10, agency bulk email ₹0.10 per message.
  • The value of an engaged participant is your number. ₹500 is a starting point, not a benchmark.

Prices as of 23 Oct 2026.

Questions about this calculator

How do you calculate the ROI of an event app?

Add up what the app saves or creates in one event (printing, organiser hours, messaging and engaged participants), subtract the app’s price, and divide by the price. This calculator shows each part so you can challenge it.

What is a good adoption rate for an event app?

For invited audiences, 55–65% of people installing and logging in is a good range. WhatsApp invites, a few days of pre-event messages and a branded app on the stores push it higher.

Does the ROI include GST?

No. The Sociana cost is ex-GST because most corporate buyers claim input credit. Add 18% if you cannot.

What if the ROI is negative for one event?

Then look at payback across events. A recurring meet, or an annual programme on one app, spreads the cost; the calculator shows how many events it takes.
