Short answer. Keep the WhatsApp group for the family’s chatter and last-minute nudges. Add a guest app when the plan changes often, guests need different information, and you are tired of re-posting the same schedule. The two work together: invitations and reminders go out on WhatsApp, the plan lives in the app.
Disclosure. Sociana publishes this page and sells an event app, so we have an interest in approach two. We say where the other approach wins, use no statistic without a dated source, and last reviewed it on 19 Oct 2026.
What each approach is
Wedding WhatsApp group
One or more WhatsApp groups for the family, friends, bride’s side and groom’s side, with the schedule typed or pasted into the chat and photos flowing in.
Wedding guest app
A guest app where the schedule, travel details and photos are structured and per person, with reminders sent at set times and WhatsApp used for reach.
Decision table: cost, effort, data, risk and scale
| Dimension | Wedding WhatsApp group | Wedding guest app |
|---|---|---|
| Cost. Cost as guests grow from 100 to 500 to 2,000 | Free, but the family or planner spends more time as groups multiply | A package by scope; time saved grows with the guest list |
| Effort. Effort to set up and run | Create groups in minutes; pin messages and answer questions endlessly | Configure once; most questions are answered by the app |
| Data. Data you keep | Chat history; RSVPs counted by hand | Structured RSVP, travel and document status; exports for the planner |
| Risk. Risk | Schedule buried under good-morning forwards; guests see each other’s numbers; photos leave the group | Install friction; moderation of memories; reliance on a vendor |
| Scale. Scale | Needs several groups; each is a separate chat | One app with groups scoped inside |
When a wedding WhatsApp group is enough
- A close family or a small guest list.
- Information rarely changes.
- Everyone is happy in one chat.
When a wedding guest app wins
- Guests arrive from many cities and need their own details.
- Two families need different itineraries.
- Schedules change and must reach only the affected guests.
- Photos should be collected and shared with guest consent.
How Sociana fits
Sociana sends WhatsApp invitations and reminders through the family’s or planner’s provider account, while the app holds the itinerary and documents. Scheduled announcements go to selected groups, so a change to the groom’s side baraat time does not buzz everyone.
Features involved: Groups & cohorts (group-scoped content), Push & scheduled announcements by group, Gallery albums, moderation & download controls, Phone, email & WhatsApp OTP login.
Worked example: the Tanvi & Rutwik wedding app (planned)
In the Tanvi & Rutwik wedding app (a three-day Pune wedding, in preparation), the app handles what a family group cannot: structured travel and ID collection, each guest’s own flights, hotel and transport, bride’s and groom’s team boards, and a wishes wall and albums. Its build notes say moderation, group visibility and retention must be settled before publishing, and that the build-up should begin months before travel.
What to keep when you switch
Keep the WhatsApp group but ask the admin to stop pasting the schedule; pin the app link instead. Export the group’s participant list and import the numbers as guests.
FAQ
Will guests really use another app?
Many do when it holds something they need, such as their own pickup time. Make the first screen their personal plan and send the link on WhatsApp.
Can we keep the WhatsApp group?
Yes. It is good for chatter; the app is better for facts.
How do we protect guest privacy?
Avoid sharing the guest list in chat, restrict who sees travel and documents, and agree retention.
What does it cost?
Free for the group; the guest app is a package by scope on Sociana’s pricing page.
