Delegations: manage a company or country team under its own admin
· Rolling out
Delegations are built and being rolled out: a delegation, such as a company or country team, is managed under its own delegation admin, with seat counts, access rights set by Sociana, Excel upload and a log of every change.
A delegation is a company or country team inside an occasion. A supplier meet, a trade mission or a government workshop often arrives as several delegations, each with a lead who needs to manage their own people without seeing anyone else's.
Each delegation has its own delegation admin. The admin works within a seat count, uploads members from an Excel sheet and sees a log of every change made to the delegation. Access rights for the delegation admin are set by the Sociana team, not by the delegation itself, so an organiser decides what a delegation lead can and cannot do.
Delegations sit beside the existing group tools. A group scopes content, polls, chat and notifications to a cohort. A delegation adds a managed roster with its own admin and its own change log.
What it means for organisers
If your occasion is organised by company, country or chapter, ask the team whether delegations are enabled for your occasion and what access rights the delegation admins would have.
Limits and status
Delegations are built and being rolled out. Availability is per occasion; ask for the date that applies to yours.
Features: Groups & cohorts (group-scoped content), Member imports & profile fields, Admin panel, roles & feature switches.
Faster direct media uploads and automatic thumbnails
· Rolling out
Faster gallery uploads are rolling out: photos and videos go straight to storage and thumbnails are made automatically, so large albums upload and load faster.
Today, gallery albums hold photos and videos uploaded by organisers, and by guests where the organiser allows it. Downloads can be switched on or off, and timeline photos can be copied into an album automatically.
The change is about speed for large albums. Photos and videos would be sent straight to storage rather than through the application server, and thumbnails would be produced automatically, so an album with hundreds of items opens faster for the people browsing it.
Nothing about who can upload, who can download or what is published changes. The same controls apply; the route the files take is what changes.
What it means for organisers
If you plan a photo-heavy occasion, such as a destination wedding or a multi-day partner meet, plan the gallery workflow on the current route and ask us whether the faster route is available for your dates.
Limits and status
This is rolling out and is not yet on every app. Availability is per occasion; ask for the date that applies to yours.
Features: Gallery albums, moderation & download controls, Social timeline & feed, Reels & photobooth.
Public post sharing: revocable web links with a rich preview
· Live
Any timeline post can become a public web link that people paste into WhatsApp, LinkedIn or anywhere else. The link shows a rich preview, opens a public page with an Open in app button, and can be turned off at any time.
Nothing is public until someone chooses to share that particular post. The post's author, or an occasion Owner or Manager, taps Share and picks a destination: WhatsApp, LinkedIn, Facebook, X, Telegram, iMessage or Instagram. A unique, hard-to-guess link is created for that one post. Sociana admins can also create a link on someone's behalf from the admin panel.
The preview in the chat or feed shows the photo, the caption and the author. The public page opens for anyone with no login and shows the photo or video, caption and hashtag, the author's name, photo and designation, the occasion's name and image, like and comment counts and app download links. Contact details, QR codes, the people tagged in the post, the text of comments and who wrote them, and anything else about the occasion's members stay private.
Control stays with the organiser. The author or an organiser can revoke a link at any time, and the page stops showing the post. Sharing again brings back the same link. Deleting the post removes its link too. In the admin panel the team sees every share link in the occasion, live and revoked, filtered by person and post, and can force-revoke any link for moderation. Every share and revoke is recorded in the Activity Logs, and each link counts how many times its public page was opened.
A rule switches sharing on or off per occasion. New occasions start with sharing on; for older occasions a Sociana admin turns it on.
What it means for organisers
Decide before launch whether public sharing suits your audience. For a closed, sensitive or regulated occasion you can leave it off, and for a public festival or a wedding you can leave it on with moderation in place.
Limits and status
Instagram does not show link previews, so the app hands Instagram the image itself and copies the caption, ready to paste. A video post previews as a still image, and the video plays on the public page. Sharing is a per-occasion setting, so confirm it is on for your occasion.
Features: Social timeline & feed, Public web flows, Reports & exports.
Ask for the date that applies to your occasion
