A typical Indian partner meet or conference runs on about eight separate tools: an invitation sender, a registration sheet, a check-in scanner, an agenda PDF, a polling tool, a game or quiz tool, a photo drive and a travel spreadsheet. One branded app can replace most of them because they share one thing, the participant list. It should not replace ticketing marketplaces, badge printers or live-streaming production, which stay separate.
Disclosure. Sociana sells the kind of app this post describes. We have tried to say plainly where a separate tool is still the right choice.
Why eight tools happen
Nobody plans a stack of eight. It grows one problem at a time. The registration form is made in week one. Someone adds a WhatsApp broadcast list in week three because email is not read. The agenda goes out as a PDF because the venue team asked. A polling link is pasted into the run of show a day before. Travel details sit in the sheet the travel desk already keeps. By event week, the same 600 people exist in six different places and no two lists agree.
The cost is not the subscriptions. It is the reconciliation. Every change, such as a delegate swapping a flight, a dealer adding a plus-one or an award winner being corrected, has to be repeated in each tool by someone who may be asleep. Most event-day errors we hear about are list-sync errors, not technology failures.
The eight, and what replaces each
| # | The usual tool | The job it does | What a consolidated app does instead |
|---|---|---|---|
| 1 | Bulk email or WhatsApp sender | Invitations and reminders | WhatsApp campaigns with templates and delivery logs, plus push and in-app notices from the same list |
| 2 | Registration form and RSVP sheet | Who is coming | Member import, guest lists and approvals, with one profile per person |
| 3 | QR scanner or paper list | Entry and sessions | Entry pass and personal QR, scanned by the organiser |
| 4 | Agenda PDF | What happens when | Agenda scoped by group, with changes pushed when they happen |
| 5 | Polling tool | Live votes, word clouds | Live polls and voting, including no-login voting on a venue screen |
| 6 | Quiz or game tool | Energy between sessions | Games library and a unified leaderboard |
| 7 | Photo drive link | Memories | Photo finder and gallery inside the app |
| 8 | Travel and hotel spreadsheet | Flights, rooms, pickups | Hospitality requests and My Stay, published per guest |
Feedback forms sit in row 5 or row 4 depending on your team; they run from the same app as feedback forms.
What actually improves when it is one list
Changes arrive once. If a hotel changes at 11:40 pm, you edit one record and the affected guests see it. In the HCCB Partners Meet in Goa in July 2026, content was scoped separately for partners and employees, so one app served two audiences without two lists (HCCB case study).
Hospitality stops being a side spreadsheet. At the GCOO Conclave in Jaipur on 9 to 11 October 2026, each delegate saw their own My Stay and My Journey cards while the team reconciled PNRs and arrivals behind the scenes (GCOO case study). The spreadsheet did not disappear, it became the source behind the card.
One identity across activities. At Tiger15, a Tiger Analytics company occasion, one QR pass served booth visits, game points and a rewards desk, and booth owners scanned visitors into leads (Tiger15 case study). When the pass, the points and the lead scan share an identity, you can answer “who did what” without joining three exports.
Reports come from one place. Participation, attendance and hospitality completeness can be computed against one denominator, the invited list, because there is one invited list.
What should stay separate
Consolidation has limits, and the honest ones matter more than the pitch.
- Ticket marketplaces and consumer discovery. If you sell public tickets and want a listing audience, use a ticketing marketplace. Sociana does ticket types, checkout and ticket-linked entry for your own audience, not a discovery platform.
- Badge printing and kiosks. Sociana provides a QR entry pass, organiser scanning and self check-in. It does not print badges on site; bring a print partner if your venue needs one.
- Streaming and webinar production. Available on request, not a core module. A virtual-first platform is the better fit for broadcasts.
- Travel booking. Sociana does not hold hotel inventory or book travel. It collects details and publishes arrangements. Your DMC, travel desk or booking tool still does the booking.
- Enterprise single sign-on and a public API. Login is by OTP, employee code, delegate PIN or allowed email domain. Integration is through webhooks and Sheets or Airtable connectors. If your IT team requires SAML or a public API, check before you commit.
- Your CRM. Leads and notes export to a spreadsheet or webhook; they do not sync natively into Salesforce or HubSpot.
Choosing consolidation means choosing which of these edges you can live with.
A test for your own stack
Count the places a single delegate’s name is typed or pasted. If it is more than three, you are paying the reconciliation cost. Then ask four questions about each tool:
- Does it need its own copy of the guest list?
- Does a change in another tool force a manual edit here?
- Does it give you data you cannot get from the main list?
- Would the event run without it?
Keep tools that answer yes to question 3 and no to question 1, such as a specialist streaming service. Retire those that answer yes to questions 1 and 2 and no to question 3.
India-specific considerations
Two things push Indian organisers towards consolidation. First, WhatsApp is the channel people read, and the same list that sends invitations should confirm attendance. GSMA Intelligence data reported by DataReportal counted 1.06 billion cellular mobile connections in India at the end of 2025 (DataReportal, 2026); the phone in the delegate’s pocket is the common denominator, not a laptop. Second, venue connectivity varies. The more of your stack lives in one app with cached reading and offline-capable games, the fewer links need to load in a ballroom with a crowded network.
Delivery matters too. Sociana runs this as a managed service: configuration on days 1 to 3, content and launch on days 4 to 10 in the illustrative pattern, with exports for every module. You are not asked to learn eight admin panels, and you are not locked in because every record can be exported.
FAQ
How many tools does a typical event really use?
For a partner meet or conference, six to ten is common in the stacks we are shown at scoping: invitations, registration, check-in, agenda, polls, games, photos, travel and feedback. The number varies; the pattern of one guest list copied across them does not.
Is one platform always cheaper than eight tools?
Not automatically. The saving is mostly in staff time and error cost, not licences. Compare your real year, including the hours spent reconciling lists, before deciding. Sociana quotes per occasion by scope.
What if one of our eight tools is mandatory, such as an enterprise survey tool?
Keep it and link to it from the app. A consolidated app does not need to absorb every tool; it needs to be the one place participants go, and to export cleanly to the tools that remain.
Does Sociana replace Slido or Mentimeter in a slide deck?
No. Sociana runs polls on venue screens and in the app, with no login needed. It does not offer a PowerPoint or Google Slides add-in, so if your presenters want polls inside their slides, keep that tool.
