To send wedding invitations on WhatsApp in bulk, connect a WhatsApp provider account, submit an invitation template for approval, import your guest list with names and numbers, and schedule a short sequence: save-the-date, invitation with a personal link, RSVP reminder, then travel details. Sociana sends through your provider and shows each message’s status.
Who this guide is for
You are the couple, a parent or the planner holding a guest list of 200 to 1,500 people across several cities. A PDF forwarded in family groups reaches some guests and gets buried for others; RSVPs never quite close. You want one invitation that reaches each person by name and leads them somewhere useful.
Why a forwarded PDF is not an invitation
A PDF in a family group is seen by whoever scrolls. It has no name on it, no way to reply and no record of who has received it. Guests respond in three places: the group, a private message and a phone call. The planner then reconciles three inboxes by hand.
A template message sent from a business sender addresses each guest by name, can carry a link and a reply route, and leaves a record. It also moves the conversation to where guests will find the next ten messages, which matters because the invitation is only the first of several.
The invitation sequence
| When | Message | Purpose | Contains |
|---|---|---|---|
| 90 to 75 days out | Save the date | Hold the dates | Names, dates, city |
| 75 days | Invitation | Formal invite and app link | Card image, guest’s name, link to the guest app |
| 60 days | RSVP reminder | Close the list | Link or reply options, deadline |
| 45 days | Travel details request | Collect arrival and ID | Link to the hospitality task |
| 14 days | Programme and dress code | Planning | Link to the agenda |
| 2 days | Logistics | Day-of clarity | Pickup, venue, helpdesk number |
Treat the intervals as a pattern. Spread them out for a destination wedding and compress them for a city wedding.
Step by step
Step 1: Clean the guest list and capture consent
One row per guest or per household: name, WhatsApp number, side of the family, city. WhatsApp business messaging works on opt-in, so use numbers guests have shared with the family for this purpose. Remove numbers you are unsure of. A clean list reduces bounces and complaints.
Step 2: Connect the provider account
Messages go out through your organisation’s own WhatsApp provider account and sender configuration. The planning documents discuss AISensy, Brevo and Twilio as options. The provider, its charges and its delivery terms are set in your contract with it, not by Sociana. See WhatsApp campaigns.
Step 3: Write the invitation template
A template is a fixed message with variables, such as the guest’s name. Keep the wording factual and warm: who is inviting, what, when, where and what to do next. Put one clear action in the message, usually the link. Use the wedding WhatsApp templates as a starting point, and read getting a WhatsApp template approved before you submit.
Step 4: Submit early, then wait
WhatsApp reviews utility and marketing templates before use, so write and submit them early and keep a spare wording ready in case one is returned. Do not announce a send date until the template is approved.
Step 5: Prepare the link guests will tap
The invitation should lead to the guest app, where the guest signs in with the number you invited. If the app is still in build, link to a single page, for example “From the couple”, and replace the link in the later messages. See how to make a wedding guest app.
Step 6: Schedule by group
Send the invitation to everyone, but vary later messages: bride’s side and groom’s side, local guests and travelling guests. Use the guest groups you set up in the app so the segments match.
Step 7: Watch delivery, then follow up by phone
Delivery and read status come from your provider’s own records, and no delivery rate is promised. Export the list of guests whose messages failed and call them. Numbers that failed are often old numbers, not unwilling guests.
Step 8: Keep RSVPs in one place
Decide where RSVPs live before the first message: replies to the business number, a link or the app. Close the others. A planner reading three inboxes will miss someone.
Wording for a family audience
Wedding invitations carry more formality than a corporate notice and more affection. Open with the family’s name or the elder’s, not with the app. Give the couple’s names, the dates and the city in the first two lines. Put the single action, the link, in the third line: “Please tell us how you will travel and see the programme here.” Close with a line that invites a reply to the family helper’s number, so older guests have a human to call.
Do not pack the message with every function and every time; the programme belongs in the app. Do not use more than one emoji, and do not use any in the first message to elders. Write the message in the language the family uses with that guest; a separate template per language is cleaner than a mixed one.
Pitfalls
- Using a personal number for 600 guests. Use the business sender through a provider.
- A template that reads like an advertisement. Keep it an invitation.
- Sending everything at once. Spread the messages across weeks.
- No fallback for guests without WhatsApp. Keep an email or SMS route; the provider configuration includes a fallback setting.
- Sending the same message to the same household four times. De-duplicate households.
India and SAARC notes
WhatsApp is where Indian guests already are. It reached 3 billion monthly active users worldwide in May 2025 (Wikipedia, 2025), and India had 1.03 billion internet users in October 2025 (DataReportal, Digital 2026). Weddings add their own norms: the first invitation is often sent by an elder, so sign it from the family; add the family’s regional script alongside English; and send an invitation to the head of household with a line inviting the household. For guests abroad, add the time zone to the programme message. Time the invitation for the right muhurat season: Drik Panchang lists 59 dates for 2026, with the winter window opening on 21 November (Drik Panchang, 2026).
How Sociana handles this
Sociana connects to WhatsApp rather than competing with it. The platform supports organisation-level WhatsApp provider accounts, approved templates, configurable OTP, ticket and invoice messages, sender configuration and a fallback setting. In wedding work the guest app is paired with WhatsApp invitations, and reminders follow in the same channel. In the Tanvi & Rutwik wedding app (a three-day Pune wedding, in preparation), the guest app is set up alongside WhatsApp invites, and scheduled alerts and reminders reach guests inside the app as well. Walk through the WhatsApp template preview and delivery log demo, and estimate the cost with the WhatsApp campaign cost calculator.
FAQ
Can we send images or a PDF card?
Templates can carry media where your provider and the template category allow it. Confirm the format with your provider when you write the template.
Will guests see our personal number?
No, if you send through a business sender. They see the sender name and number that your provider configuration sets.
How do we track RSVPs?
Pick one place for RSVPs, a link, replies to the business number or the app, and export it from there. Sociana records the delivery status from the provider; RSVPs are tracked where you decide.
Do we need approval for every message?
Template messages need approval before use. Replies inside an open conversation follow WhatsApp’s own rules. Ask your provider which applies.
