When a guest’s QR code does not scan, reopen the pass from Profile, raise the screen brightness, try again, then fall back to a name or mobile lookup and mark the guest in by hand. Keep the line moving, keep the record complete and write down why it failed.
First, stay calm and keep the line moving
A failed scan feels bigger than it is. The guest is embarrassed, the steward is worried, and the queue behind them is growing. Most failures have a simple cause and a thirty-second fix. The aim is to resolve it without a scene, and to make sure that the person is recorded as attending, so that your numbers are right at the end of the night.
This matters especially at weddings and family functions, where the person at the gate may be a cousin or a hired steward who does not know every guest. Nobody wants to turn away an elderly relative because their phone is dim. Agree the fallbacks beforehand, so that nobody has to improvise.
Fallback 1: reopen the pass from Profile
If the scanner says the code is invalid, the first fix is to reopen the QR from the guest’s Profile and scan it again. A stale screen or a pass opened in a different view is the most common cause. Ask the guest to close the pass, open it again and hold the phone steady. This resolves most failures.
Fallback 2: raise the brightness and remove glare
Dim screens fail in dark baraat lanes and candle-lit entrances. Ask the guest to raise the brightness to maximum and tilt the phone away from the light behind them. Android holds 93.89% of India’s mobile OS market (StatCounter, 2026), and many handsets have an auto-brightness setting that dims in a dark space. Tell stewards to hold the scanner a hand’s width away, not at arm’s length.
Fallback 3: change the angle and the distance
A cracked screen, a screen protector or a case with a ring can interfere. Try a different distance, then a different angle. If the guest uses a pinch to zoom on the pass, make sure the entire code is visible and has a clear margin around it.
Fallback 4: check the person is on the list and the rule is open
A scan can fail because of a rule, not a code. Check whether the guest is on the list, whether the function is open for their group and whether the time window has started. A guest invited to the reception who arrives at the haldi will be rejected correctly. Explain kindly, and direct them to the right function.
Fallback 5: look up by name or mobile number
If the code will not read, search the guest list by name or mobile number and mark them in. The lookup should be quick and at a separate lane, away from the main queue. Keep your guest list searchable on the steward’s phone, and know the spellings: guests are often listed under a nickname or the name used by the family.
If the venue has weak signal, test the lookup in the corners of the venue the day before, and keep a printed short list for the most sensitive function, such as the pheras enclosure.
Fallback 6: check identity with the family desk
For a guest who is not on the list, or whose number has changed, send them to the family or planner’s desk. A named person decides, adds them to the list with a note and, if appropriate, updates their number so that the pass works afterwards. Brief everyone that the family decides, not the steward.
Fallback 7: record the exception and move on
Whichever route you use, record that the guest entered, how, and why. A short note such as “pass would not scan, looked up by mobile” is enough. At the end of the night, the exceptions list shows you whether the problem was one handset or the whole venue.
A one-page fallback card for stewards
| Symptom | Try this | Then |
|---|---|---|
| “Invalid code” | Reopen the pass from Profile | Scan again |
| Nothing happens | Brightness up, steady hand | Change distance and angle |
| Rejected outside window | Check function and time | Redirect or wait |
| Not on the list | Family desk | Add with a note |
| Phone dead or no pass | Name or mobile lookup | Mark in by hand |
| Already scanned | Check identity quietly | Decide at the desk |
Print it, laminate it and tape it to the scanner stand.
Prevention beats a fallback
Reduce failures before the day. Ask guests to open the pass once at the hotel, so they know where it is. Tell them in the invitation to charge their phone. Test the scanner on the venue’s weakest network. Place a light so that the scanning area is neither dark nor dazzling. Brief stewards on three phrases: how to scan, how to search and whom to call.
When many scans fail at once
If failures spike, stop treating them as individual problems. Check the scanner phone’s connection and battery, whether the activity is open and whether a group was left out of the eligibility. Switch to the lookup route for everyone while you fix it, and tell the queue what is happening. A calm voice from the person in charge changes the mood.
How Sociana handles this
The entry pass and personal QR documents the recovery: a rejected scan is fixed by reopening the QR from Profile. Organisers read the code with the scanner on their Profile screen, which shows name, mobile, email, designation and city, with Scan Again or Go Back. QR attendance and activities applies windows, eligibility and repeat limits and records each attempt. Guest lists and approvals hold the list you search, and the help desk gives guests a number to call. Sociana provides a QR pass, organiser scan and self check-in; it does not supply scanners or kiosk hardware, so the family or planner arranges steward devices.
The Tanvi & Rutwik wedding app (a three-day Pune wedding) is in its pre-event build, with document status visible to organisers at attendance and bride’s side and groom’s side groups. Read the earlier guide on wedding guest entry management.
Frequently asked questions
What is the most common reason a QR code does not scan?
A dim or glare-affected screen, or a pass that needs to be reopened. Fix those first.
Can we let someone in without scanning?
Yes, through a name or mobile lookup, so that the record stays complete. Note the reason.
Should we accept screenshots?
Decide in advance and tell guests. If you do not accept them, say that the live pass refreshes in the app.
What if the whole gate scanner fails?
Switch to a printed list and manual lookup, and mark guests in when the scanner returns. Keep calm and tell the queue.
