To send OTP on WhatsApp instead of SMS, connect your organisation’s WhatsApp provider account, get an authentication template approved and switch on WhatsApp OTP for the occasion. Keep phone OTP or email OTP as a fallback for guests without WhatsApp. Sociana lets you choose the method per occasion.
Who this guide is for
You are the owner of login for a conference, partner meet or corporate programme. Guests must log in with a code, and you have heard that SMS codes arrive late, cost more at scale or get filtered. You want to know whether WhatsApp is a better route, and what you must set up to use it.
Why the login code is the first thing that can break
A code that does not arrive is the commonest first-hour problem at an event. The guest cannot log in, the helpdesk queue grows and the first impression of the app is a spinning wheel. The code travels through an operator, a provider and a handset, and each hop can add delay. Choosing the right channel for your audience removes the most avoidable failure.
The three channels compared
| Factor | SMS OTP | WhatsApp OTP | Email OTP |
|---|---|---|---|
| Who needs it | A registered mobile number | A registered number on WhatsApp | A registered email address |
| Setup | SMS provider and sender registration | Provider account and an approved authentication template | Email sender |
| Fits best | Mixed audiences, older handsets | Indian audiences who live on WhatsApp | International guests, members without a shared number |
| Typical risks | Delay, filtering | Template not approved, guest not on WhatsApp | Inbox filtering, spam folder |
| Costs | Per message, set by the provider | Per message, set by the provider | Usually lowest |
| Event example | Mobile OTP at an executive conclave | Dealer meets with WhatsApp-first guests | Email OTP at Lakshya 26 and for overseas HCCB guests |
Cost differences depend on your provider contracts, which Sociana does not set. Use the OTP cost calculator with your own quotes.
Step by step
Step 1: Decide the identifier first
The code is only as good as the identifier you hold. If your list has mobile numbers, SMS and WhatsApp are available. If it has work emails, email is your route. At Lakshya 26, the Zydus Wellness annual conference, the list held emails, so login was email OTP against an imported whitelist, and unknown emails could not log in. At the GCOO Conclave, mobile numbers only were allowed and an email returned “This email address is not permitted”.
Step 2: Pick the method per occasion
Methods are set per occasion: phone, email or WhatsApp where the organisation’s WhatsApp provider account is connected. You can run more than one method, for example mobile for domestic delegates and email for overseas guests, as HCCB Partners Meet 2026 did.
Step 3: Connect and approve for WhatsApp
WhatsApp OTP needs a connected provider account and an approved template. Choose the authentication category, which carries the code only. Read getting a WhatsApp template approved before you submit, and do it a week or more before launch.
Step 4: Set the fallback
The provider configuration includes a fallback behaviour for messages that cannot go over WhatsApp. Decide what it is: SMS, email or a help-desk route. Test it by logging in from a number that is not on WhatsApp.
Step 5: Tune the timer and the code length
The app shows a resend timer of 30 or 60 seconds and takes a code of 5 or 6 digits, depending on the app. Tell guests to wait the timer before requesting again; repeated requests make the problem worse.
Step 6: Allow only people you invited
The identifier must be on the guest list, domain or code rule before the code is sent. Who is allowed through is a separate decision from how the code is delivered. See guest lists and approvals.
Step 7: Run a login rehearsal
Ask 20 people on different networks and handsets to log in at the same hour, including some on poor signal. Record failures and which channel each used. Fix the pattern before launch.
Step 8: Staff the first hour
Put the helpdesk number on the Enter screen and a person behind it for the first hour of launch.
A decision rule you can write down
If the guest list holds mobile numbers and your audience is on WhatsApp, use WhatsApp OTP as the primary route and keep a fallback. If the list holds mobile numbers and the audience is mixed, older or less connected, use SMS OTP as the primary route and offer WhatsApp as a second. If the list holds emails only, use email OTP and say so in the invitation. If the audience should not be asked for personal numbers at all, use delegate ID and PIN or an employee code.
Whichever you choose, test the whole route twice: once on a quiet day and once at the same hour as the launch, with a group of people on different networks. Write the rule in the run sheet, so the helpdesk knows which channel to suggest when a code does not arrive.
Pitfalls
- Choosing WhatsApp because it is fashionable. Check that your audience uses it.
- No fallback. A guest without WhatsApp is locked out.
- An unapproved template on launch day. Submit early.
- Repeated resend taps. Brief guests to wait the timer.
- Mixing identifiers. If a guest is on the list by email and logs in by phone, the match fails.
India and SAARC notes
India had 1.06 billion cellular mobile connections at the end of 2025 (DataReportal, Digital 2026), and WhatsApp reached 3 billion monthly users worldwide in May 2025 (Wikipedia, 2025). For most Indian corporate and association audiences, WhatsApp is a natural channel for a code. SMS in India generally needs registered sender IDs and templates; ask your SMS provider what is required and how long it takes. Dealers and older members may prefer a code by SMS or an ID and PIN; see Delegate ID and PIN login. For Bangladesh, Pakistan, Sri Lanka and Nepal, test local number delivery on both channels before the event.
How Sociana handles this
OTP login is the front door of most Sociana apps. A guest taps Enter to Login, types a registered phone number or email, taps Send OTP and enters the code on the Verify OTP screen, with a Resend OTP timer. Methods are chosen per occasion: phone, email, or WhatsApp where the provider account is connected. First-time guests add a few profile details after the code, and an occasion can put a privacy policy before the code step. The activation rate, meaning members logged in divided by members invited, is the metric that comes out.
Lakshya 26 shows email OTP against a whitelist, with a 30-second resend. See OTP login for the switches and rules, and WhatsApp campaigns for the provider side.
FAQ
Can we run SMS and WhatsApp OTP together?
You choose methods per occasion, and the provider configuration includes a fallback for messages that cannot go over WhatsApp. Test the exact combination you plan to use.
Is WhatsApp OTP always cheaper?
Not necessarily. Charges are set in your provider contract. Compare real quotes with the OTP cost calculator.
What if a guest does not have WhatsApp?
Use the fallback, email OTP or a helpdesk route. Never rely on a single channel for the whole list.
Do guests need to be on the list before the code is sent?
Yes. The guest list, domain or code rule decides who is allowed through; the OTP only proves control of the number or inbox.
