How it runs

How a Sociana conclave runs

  1. Before

    • Leaders sign in with a code to their phone; documents and needs are collected privately.
    • Flights, hotels and transfers go to each leader as they are confirmed.
    • A safety briefing and the programme are published.

  2. On the day

    • Leaders open their journey and the hotel map first.
    • Travel updates reach only the people affected.
    • The help desk and control room answer from the app.

  3. After

    • Feedback is collected while it is fresh.
    • You get attendance by day and feedback as exports.
    • Photos and follow-ups stay in the app.

Questions conclave hosts ask

Our guests are senior. Will they use an app?

They open it for their own travel. The first screen is their journey and hotel, so the app answers the question they would otherwise call about.

Who sees health notes and passports?

Only the organisers you name. Leaders share them privately; other delegates never see them.

Can it handle two hotels?

Yes. GCOO Conclave 2026 ran across two Jaipur hotels, each with its own map in the app.

Can it work abroad?

Yes. HSBC’s YEC carried the Dubai itinerary, weather, landmarks and help numbers on every traveller’s phone.
