How we would run a 5,000-ticket city music festival with QR gates

This is a plan, not an event we have run. There is no client and there are no results here. It shows how we would run this occasion with modules that work today. Screens are real screens from other Sociana apps, captioned with the app they come from, or marked as concepts.

An illustrative plan, not a festival we have run: how Sociana would sell 5,000 tickets for a two-day city music festival and run the gates on QR. Buyers pay in the browser, get a pass with their own QR, and staff phones scan it at three gates with rules for zones, re-entry and time windows. Money settles to the organiser's own gateway account, and the gate team sees a live count of who is inside.

The brief

A promoter plans two evenings of indie and Bollywood acts on an open ground: 5,000 tickets split into General, Fan Pit and a small Lounge allocation, with a few hundred free passes for sponsors and press. Last year they sold through a marketplace that took a cut of every ticket and gave them a CSV the night before. Entry ran on printed lists and a rubber stamp, and the Fan Pit filled with people who had paid for General.

The plan moves the sale to their own checkout and the gates to QR. Buyers do not need the app to buy or to enter; the pass works from the browser. Those who install it get the line-up, the map, set-time changes and the food counters. Each gate scans with rules, so a General pass simply does not open the Fan Pit, and a pass that left the ground can come back only if re-entry is on for that ticket type.

Modules

What we would switch on, and why

Each module exists in the platform today. Where a public screen exists, it comes from another Sociana app and is captioned with that app's name.

Tickets

Three ticket types with prices, caps and sale windows, paid through Razorpay into the promoter's own account, with a GST invoice for every buyer who wants one.

Web flows

Checkout runs in the browser from an Instagram link, so a buyer who never installs anything still gets a pass and still counts.

  • General · 2 days
  • Fan Pit · 2 days
  • Pay with UPI, card or netbanking

Entry pass

One QR per ticket that zooms to full screen at the gate. A group booking holds one pass per person, so friends can arrive separately.

QR attendance

Each gate is a scan point with rules: zone, time window, re-entry on or off, and a block on any ticket whose payment has not cleared.

Set times per stage, with Live and Up Next, and a poster version for people who just want to screenshot it.

Run plan

Day by day

  1. Eight to one weeks before

    Sell on your own checkout

    • Early-bird General opens eight weeks out; Fan Pit opens after the line-up post.
    • Sponsor and press passes issued free from the admin panel, each tied to a name.
    • A daily sales export goes to the promoter; settlement lands in their gateway account.
  2. Day before

    Gate rehearsal

    • Twelve staff phones signed in as scanners, two per lane, with a spare charged at each gate.
    • Test scans on every ticket type, including a refused Fan Pit scan on a General pass.
  3. Evenings 1 and 2

    Gates from 4 pm

    • Scans show green or red with the reason; the lane lead handles every red by hand.
    • Inside count by zone visible to the promoter and the security lead.
    • Set-time changes pushed to app users and pinned on Home.
  4. The week after

    Close the books

    • Final settlement report, scan logs by gate and a buyer list the promoter owns.

For the organiser

What your team would see

Sales by ticket type

Sold and free passes per type and per day, with the money settling to your own account.

Inside right now

Entries and exits by gate and zone, so security knows when the Fan Pit is full.

Who bought

A buyer list you own and export from the admin panel, not a marketplace's CSV.

Risks

What could go wrong, and how we would handle it

Screenshots of one QR passed around.

A pass scans once per entry; a second scan of the same pass shows red with the time of the first.

Mobile data drops at the gate when 2,000 people arrive at once.

We test signal on the ground the day before and set up a dedicated router for the scanner phones at each gate.

Long queues at 7 pm before the headliner.

Two lanes per gate, staggered gate-open pushes, and a separate lane for Fan Pit and Lounge.

A payment is still processing when the buyer reaches the gate.

The scan is blocked with a clear reason and the lane lead checks the payment in the admin panel.

Not in this plan

  • Sociana is not a ticket marketplace and does not list your festival to the public; you sell from your own link.

  • No seat maps; zones are handled by ticket type.

Questions

About this scenario

Has Sociana run a 5,000-ticket festival?

No. This page is an illustrative plan. The checkout, passes and scan rules it uses are modules in the platform today, and the screens shown come from other Sociana apps such as enGen X and the APMI conference.

Does Sociana take a cut of each ticket?

No. Sociana charges a per-ticket fee or a flat fee from the price list and no percentage of ticket value. Payments settle to your own gateway account, and gateway charges are on actuals.

Do buyers have to install the app to get in?

No. Checkout and the pass work in the browser. The app adds the line-up, the map and set-time updates for people who want them.
