How to schedule announcements by group across a 3-day partner meet

Plan and schedule push announcements for each day of a three-day meet, targeted by group, with a cadence table and checks on timing and wording.

To schedule announcements by group across a three-day meet, write the whole run of messages in a table first, then enter each one in Sociana’s Trigger Notifications screen with a title, message, date and time and an audience of Send To All or Select Group. Each appears under Upcoming until it sends.

Who this guide is for

You run communications for a multi-day partner, dealer or conference programme. The programme has several audiences and a lot of moving parts: buses, session changes, dress codes, awards. You want people to get the right message at the right moment without a WhatsApp group of 800 members and a producer typing into it at 6 am.

What fails with ad hoc broadcasts

Last-minute changes reach only the organisers’ WhatsApp group, never the delegates. Or they reach everyone, including people they do not concern: the pickup instruction for the partners’ coach buzzes the staff too. After two such messages people mute the app. Buyer interviews and public reviews of event apps raise the same complaint: too many notifications, and no way to tell a personal message from a general one.

Scheduling solves part of this by letting you write messages calmly the week before. Group targeting solves the rest, by letting you send the bus message to the people on the bus.

The three-day cadence

Draft this table before opening the panel. The times are examples of structure, not recommended times.

Day Slot Audience Message purpose Example wording
Day 0 Evening All Arrival and where to start “Welcome. Your pickup and room are under Profile.”
Day 1 07:30 All Day plan “Plenary starts at 9:30 in Hall A.”
Day 1 08:45 Partners Session-specific “Product session for partners in Hall B.”
Day 1 18:30 All Evening dress and transport “Buses to dinner leave at 7:15.”
Day 2 07:30 All Day plan “Awards session today; seats open from 5 pm.”
Day 2 15:00 Employees Staff briefing “Staff briefing in the green room.”
Day 2 21:30 All Feedback prompt “Tell us what worked. Two minutes.”
Day 3 07:00 All Departure “Checkout and airport coach times are on your travel card.”
Day 3 12:00 All Thank you “Photos and highlights will appear in the gallery.”

Note how only three of the nine messages go to everyone. That is the point of scoping.

Step by step

Step 1: Decide what is a notification and what is a banner

Not every update needs a buzz. Use a pinned notice or a priority card on Home for information people look up, such as the dress code; use a push for time-critical changes. The notices, banners and countdown feature covers the Home surface.

Step 2: Build the group list before you schedule

Notifications can only be targeted at groups that exist. At the HCCB Partners Meet 2026 the Partners and Employees groups were mapped from the registered list before launch. Make sure the groups you need exist, including Managers if you will send operational notices. See the companion guide on scoping a feed by group.

Step 3: Give Owners and Managers the trigger rights

In the app, Owners and Managers see Trigger Notifications on their Profile. The screen has an Upcoming tab and a Triggered tab. Assign two people, not ten, so there is a clear sender and a backup.

Step 4: Write each message once, in the right tone

Keep the title under five words and the message under twenty. Lead with the time or place. Write in the language your audience reads; a message to a regional dealer group may be better in Hindi or the regional script. Use the event push notification templates as a starting bank.

Step 5: Enter and schedule

For each message, enter the title, the message under “What should recipients see?”, the date and time and the audience. Pick Send To All or Select Group. Repeat for the table.

Do it in Sociana: scheduled announcements.

Step 6: Review Upcoming as a timeline

Open the Upcoming tab the night before each day and read it as the delegate would. Edit anything that is now wrong with Update; remove anything obsolete with Yes, Delete. Anything already sent moves to Triggered, so treat it as final and check before the clock does.

Step 7: Keep one slot free for the surprise

Leave a gap in each day for an unplanned message. A manager can still trigger a notification on the spot from their phone.

Wording that works on a lock screen

A notification is read in a glance, so the first six words must carry the point. Put the time or the place first, the instruction second and the reason last. “Buses to dinner leave 7:15 from the main lobby” does the job; “Please note that transport arrangements for this evening’s dinner have been finalised” does not. Use the same name for a place every time: if the hall is “Hall A” in the agenda, it is “Hall A” in every message.

Avoid stacking two instructions in one message. If the dress code and the bus time both matter, send two messages ten minutes apart, or put the dress code on the Home banner and keep the push for the bus. Finally, read every scheduled message aloud once; a line that is awkward to say is usually awkward to read.

Pitfalls

  1. Everything to everyone. If every message goes to all, scoping has not happened.
  2. Time zone confusion for international guests. Write times with the place, such as “9:30 am Goa time”.
  3. A message that duplicates the banner. Choose one surface per instruction.
  4. A late change after the send. Plan a corrective message template.
  5. Over-messaging in the evening. Cap the evenings at two or three and keep the rest for the Updates inbox.

India and SAARC notes

WhatsApp is the default channel for Indian professionals; it reached 3 billion monthly active users globally in May 2025 (Wikipedia, 2025). Many organisers therefore ask whether to send meet notices on WhatsApp too. A sound split: in-app push for time-critical day-of changes, which also land in the Updates inbox; WhatsApp for invitations, reminders and pre-event logistics where templates apply. Keep in mind that WhatsApp message templates need approval before sending, and that delivery status is the provider’s record. The WhatsApp template approval guide covers this. For meets abroad, show times in both the local time and IST.

How Sociana handles this

The Trigger Notifications screen takes a title, a message, a date and time and an audience. Scheduled items can be edited or removed before they send. Delivery is a phone push and a message in the bell, or Updates, tab, so a delegate who missed the buzz can read it later; in multi-occasion apps, Updates gathers every occasion’s messages, newest first. At HCCB, notices were scoped by group in Goa; at Unstoppable NAMI 2026 they went to selected groups defined by zone and city. See the HCCB case study and the announcement scheduler demo. The announcement schedule template is the table above, ready to fill, and the push notification cadence calculator checks you are not over-messaging.

FAQ

Can we edit a scheduled announcement?

Yes, until it sends. Items under Upcoming can be edited with Update or removed with Yes, Delete. Once sent, an item moves to the Triggered tab.

Do announcements work for people who did not allow notifications?

The message is still stored in the bell, or Updates, tab, so the person can read it when they open the app. A push needs the phone’s notification permission.

Can managers send an announcement on the day without the panel?

Yes. Owners and Managers have Trigger Notifications on their phones, which suits last-minute changes.

Should we also send these on WhatsApp?

For pre-event logistics, usually yes, using approved templates. For day-of changes, keep to in-app push so the message sits in the Updates inbox beside everything else.

Glossary: group, run of show, plenary session. Occasion hubs: dealer and partner meets, conferences, incentive travel.
