How much does an event app cost in India? What drives the price

What drives event app pricing in India: pricing model, audience size, modules, messaging and managed operations, plus a way to build your own estimate.

What an event app costs in India depends on five things: the pricing model, the number of participants, the modules switched on, messaging and payment pass-throughs, and how much managed operations you want. Sociana publishes package ranges by occasion type on its pricing page rather than a single price; use the estimator to build your own range.

Who this guide is for

You hold the budget for an occasion, or you are the agency preparing a quote, and you want to know why prices for “an event app” differ so much between vendors. You need a way to compare like with like and to find the lines that move. This guide quotes no rupee figures; it explains what drives them, so you can read any quotation, including ours.

Why prices are hard to compare

Vendors price in different units. Some charge per event, some per attendee, some annually, some per module. Some include on-site staff; others sell software only. Some quote messaging at actuals; others fold it into a bundle. An app priced per attendee looks cheap at 100 people and expensive at 5,000, while an annual licence looks costly for one meet and sensible for six. A comparison table that ignores these differences will mislead.

Demand is not the issue. Organised live events were the fastest-growing segment of India’s media and entertainment industry in 2025, growing 44% year on year (FICCI-EY via Storyboard18, 2026). More organisers are shopping, and the quotes they receive differ in structure as much as in size.

The pricing models

Model You pay for Suits Watch for
Per event One occasion, flat Single large meets Extra fees for add-ons
Per attendee Number of participants Variable audiences Rising cost at scale
Annual or subscription A year of occasions Associations, recurring programmes Unused capacity
Per module Features switched on Narrow needs Module creep
Agency white-label A multi-client app Agencies with many clients Per-occasion fees on top

Sociana’s pricing page groups packages by occasion type, for example launch, event and hospitality, participation and rewards, recurring programmes, ticketed public events, weddings and social and agency platform. See pricing.

What moves the price

Step 1: Participant count

More people means more messaging, more support and more infrastructure. Not every line scales: configuration is largely fixed, while support and messaging scale with headcount. Ask the vendor which lines are fixed and which are per participant.

Step 2: Modules switched on

Polls and an agenda are light. Hospitality with a live operations workspace, paid ticketing with invoices and meeting-room booking with payments involve more setup and more risk. Premium scope, such as AI activations, custom branded games and streaming on request, is quoted separately. Match modules to the jobs in the brief; see how to choose an event app.

Step 3: Messaging

WhatsApp, SMS and email messages are charged by the provider you contract with. Sociana connects your organisation’s WhatsApp provider account; charges and delivery terms are set in that contract, and the platform does not promise a delivery rate. Use the WhatsApp campaign cost calculator and the OTP cost calculator with real quotes.

Step 4: Payments

Where tickets or room slots are paid through the app, gateway fees apply and are passed through at actuals. Sociana does not quote a commission on this guide; confirm payment terms in your proposal. India’s payment rails are strong: UPI processed about 208.8 billion transactions in 2025 and accounts for 84% of India’s digital payments (NPCI data via Wikipedia, 2025), which is why checkout friction is a design issue rather than a reason to avoid paid access.

Step 5: Managed operations

On-site staff for scanning, moderation, help requests and last-minute changes are part of the service around the app. Ask whether they are included, optional or billed per day. A software-only price and a managed price are different products.

Step 6: Store submission and branding

A branded app is a branded installation for iOS and Android, so store submission belongs in the timeline and the plan. A multi-occasion app avoids a fresh submission for each occasion. Brand assets, themes and custom animations may add design effort.

Step 7: Timeline

A compressed timeline needs more people at once. A ten-day delivery is possible; see launching an app in ten days.

Build your own estimate

Use the event app cost estimator: enter participants, modules, messaging volume and managed support and read a range, not a point. Then ask each vendor for the same inputs in writing, with GST shown separately. The event app ROI calculator helps to put the cost against what the occasion is meant to achieve.

Questions to ask every vendor about price

Ask the same seven questions of each quotation. What is fixed and what scales with participants? Which modules are included and which are add-ons? Who pays the WhatsApp, SMS and email provider, and at what rate? How are payment gateway fees treated? Is on-site support included, and for how many days? What is the cost of a second occasion in the same app? What is not included that I would expect to be?

Put the answers in a table side by side. The comparison often changes the ranking: the lowest headline figure may exclude support and messaging, and the highest may include both. Insist that every figure is shown before and after GST.

A worked structure for your own estimate

Build the estimate in five blocks. Block one is the platform and configuration for the occasion type. Block two is the participant-linked items, if the vendor prices that way. Block three is messaging: the number of OTPs, invitations and reminders you expect, multiplied by your provider’s rates. Block four is payment gateway fees, if you take payments. Block five is managed support: the days on site and the team size.

Fill each block with ranges from written quotations, add them and show GST separately. The total will be a range, and the width of the range tells you how much you still need to pin down. Narrow it by fixing scope, not by negotiating a headline number.

Pitfalls

  1. Comparing a per-attendee price with a per-event price. Convert both to your attendee count.
  2. Forgetting pass-throughs. Messaging and payment fees come on top.
  3. Buying unused modules. Cut to the three jobs.
  4. Assuming software-only means no support cost. You will staff it.
  5. Taking an unapproved price from a website. Ask for a written quotation.

India and SAARC notes

Indian commercial norms include a proforma invoice or quotation, GST charged on invoices, advance payments on confirmation and vendor onboarding paperwork before a purchase order. For agencies, the client’s procurement may require the app vendor as a named sub-vendor. For events in Bangladesh, Pakistan, Sri Lanka, Nepal, Bhutan, the Maldives or Afghanistan, payment collection needs a local rail or an invoicing path, because Razorpay does not settle in those countries; ask for the route in the quotation.

How Sociana handles this

Sociana prices by occasion type, publishes ranges on its pricing page and gives a written quotation after a short scoping call. The estimate depends on audience, modules, messaging and managed support, which is the list above. For worked examples of scope, see Unstoppable NAMI 2026, a corporate annual strategy meet with a broad module set, and Lakshya 26, a deliberately simple conference app. See the admin feature switch board demo to understand how modules map to scope.

FAQ

Do you publish exact prices?

Sociana publishes package ranges per occasion type on its pricing page and gives written quotations. This guide intentionally contains no figures.

Is WhatsApp messaging included?

Messages go through your provider account, and charges are set in that contract. The platform connects and schedules them.

Does a ticketing flow add a commission?

Payment gateway fees are passed through at actuals. Confirm the commercial terms in your quotation.

Can we reduce cost by switching off modules?

Yes. Scope is driven by what you switch on and how much managed support you want. Start from the three jobs.

Glossary: branded app, occasion template, feature switch. Occasion hubs: corporate annual meets, dealer and partner meets, conferences.

Want us to run this for you?
