To choose an event app, start with the occasion rather than the feature list: who attends, how they will log in and where the guest list comes from. Then check the modules it needs, who runs the app on the day and what you can export afterwards. Score two or three vendors on those points, not on demo polish.
Who this guide is for
You have been asked to find an app for a conference, partner meet, annual meet or programme, and you have a handful of vendor websites open in tabs. They all promise engagement, networking and analytics. You want a way to decide that survives a procurement review and a Monday-morning question from the CMO.
Why feature lists mislead
Every event app looks complete on a pricing grid. The difference appears in the third week of preparation when the guest list changes, the sales head wants separate content for dealers and employees, the venue’s Wi-Fi fails and nobody is answering the vendor’s support line. What matters is whether the app fits your occasion, your people and your team, not how many tiles it has.
The five decisions
| Decision | The question to ask | Why it matters |
|---|---|---|
| Occasion | What are we running, and for whom? | Different occasions need different modules |
| Login and list | How will guests prove who they are, and where does the list live? | Controls access and reporting |
| Modules | Which three jobs must the app do? | Prevents over-buying |
| Operations | Who runs it on the day, and who answers at 2 am? | The app is only as good as its support |
| Data and exit | What can we export and what happens afterwards? | Protects you after the event |
Step by step
Step 1: Name the occasion and its audiences
Write one paragraph: the type of occasion, the number of people, the audiences and the dates. A dealer meet with partners and staff has different needs from a three-hundred-person association conference or a wedding. Use the closest occasion hub to see typical modules.
Step 2: Decide the login model
Options include SMS or email OTP (WhatsApp OTP where enabled), employee code with password, delegate ID and PIN, and company email domain. Choose what your audience already has. India had 1.03 billion internet users in October 2025 (DataReportal, Digital 2026), and Android held 93.89% of the mobile OS market in September 2026 (StatCounter), so any serious vendor should run well on mid-range Android and have a web route for people who will not install. Ask whether login supports your identifiers, such as employee codes.
Step 3: Name the three jobs
For a corporate annual meet: agenda, attendance and feedback. For a partner meet: travel, awards and polls. For a conference: agenda, networking and room booking. Rank modules into must-have, nice-to-have and out of scope. The feature selection matrix is a template for this.
Step 4: Look at operations, not only software
Ask who configures the app, who is on site, how last-minute changes are handled and what response time you can expect during the event. Sociana is a managed delivery with a service around the app: configuration before, live operations during, reconciliation after. If a vendor sells a self-serve tool, you take on that work; if it sells a managed service, you should expect a named team.
Step 5: Ask about groups and scoping
If you have more than one audience, ask how content, polls, notifications and chat are scoped by group, and ask to see it with two test accounts. See groups and cohorts.
Step 6: Check data, privacy and exit
Ask what is stored, where, for how long and how deletion works. Ask what you can export, in what formats and whether there are webhooks or Sheets connections. India’s data protection law is being brought into force in phases through 13 May 2027 (Wikipedia summary, 2025), so expect your InfoSec team to ask. For security reviews, see the Sociana trust centre.
Step 7: See it on your own phone
Ask for a demo app you can install, and use it with your colleagues for a day. Sociana offers a sandbox demo rather than a free self-serve sign-up. See the admin feature switch board demo.
Step 8: Score and decide
Use a simple scorecard: five criteria above, scored 1 to 5, weighted by what matters to you. Compare no more than three vendors. Ask each the same questions in writing. The event app RFP template gives a structure, and the guide on writing an RFP for an event app explains each section.
What to check about Sociana, candidly
Sociana can do a lot, and some things it does not do. It offers login by OTP, employee code, delegate ID and PIN or company email domain; it does not offer SAML single sign-on or SCIM. It exports data through Sheets and webhooks; it does not publish a public API today. It provides a QR entry pass, scanning and self check-in; it does not print badges. It syncs steps through Health Connect and Apple Health; it does not sync directly with Fitbit, Garmin or Strava. It is a hospitality desk, not a travel-booking tool. It is a managed delivery rather than a self-serve builder, and the app is a branded installation submitted to the stores per app unless you use a multi-occasion app. If one of those is a deal-breaker, better to know now.
Pitfalls
- Buying on the demo’s polish. Test with your own guest list.
- Ignoring support hours. Check the on-site model for your dates.
- Choosing for one audience. Test the unassigned and the late addition.
- Skipping the exit questions. Ask about exports and deletion.
- Comparing more than three vendors. Evaluation costs add up.
India and SAARC notes
Indian buyers move through discovery, shortlist, scoping, commercials, vendor onboarding, security review, purchase order and delivery. Plan for proforma invoices with GST, vendor onboarding paperwork and, for multinational or financial clients, a security questionnaire; the security review is often the longest step. Government and PSU buyers may need tender or GeM routes. If the occasion is in Bangladesh, Pakistan, Sri Lanka or Nepal, check local payment rails, since Razorpay does not settle there.
How Sociana handles this
Sociana separates what is on, how it behaves and how it looks: features, rules, look and layout, set per occasion in the admin panel. Roles run from panel admins to in-app Owners and Managers, so the team on the day has the buttons they need on their phones. Unstoppable NAMI 2026, the NAM India annual strategy meet at Aamby Valley, shows the pattern: OTP login after a privacy policy, employee code, city and zone at registration, quizzes and polls prepared with visibility off, a hospitality profile and attendance with document status. See the Unstoppable NAMI case study and the more modest Lakshya 26 app. For the commercial side, see how much an event app costs in India.
FAQ
How many vendors should we shortlist?
Two or three. More adds meetings, not insight. Send each the same written questions and compare answers.
Do we need a custom app?
Usually not. A configured, branded app covers most corporate and association occasions; custom builds suit unusual games or integrations. Sociana builds custom games per occasion where needed.
What matters more, features or support?
For a one-off occasion, support. A missing feature can be worked around; a missing person at 2 am cannot.
Should we ask for references?
Yes. Ask for occasions like yours and, where permitted, speak to the organiser. Sociana’s case studies cover 18 apps from its latest 20 to 25 events.
