To manage guest flights and hotels for an event, keep booking where it already happens and use Sociana for the desk around it: collect each guest’s travel details, hold one live sheet of rooms and pickups, publish personal cards (My Stay, My Flights, My Journey) back to each guest and push changes only to the people they affect.
Who this guide is for
You run the travel desk for an incentive trip, a destination conclave or a multi-city offsite. Flights and rooms are booked through your travel agent, DMC or hotel. You need to know who is arriving when, who is in which room and who is on which pickup, and you need each guest to know it too, without a phone call.
What this guide does not cover
Sociana is a hospitality desk and delegate self-service layer. It does not book flights, hold hotel inventory or connect to a hotel’s property system. Rooming lists can come into the app by CSV or Sheets. If you are looking for a travel-booking tool, use your agent’s; if you are looking for the layer that tells 300 people where to be, read on.
Where the work actually sits
| Task | Who does it | Where it lives |
|---|---|---|
| Book flights and trains | Guest or travel agent | Airline or agent |
| Block rooms | Organiser with hotel | Hotel contract |
| Collect declared travel and ID | Desk | Hospitality requests |
| Assign rooms and pickups | Desk with hotel and DMC | Operations workspace |
| Tell each guest their plan | Desk | My Stay, My Flights, My Journey |
| Handle changes and exceptions | Desk and liaison team | Workspace and notifications |
| Reconcile arrivals | Desk | Arrival list against PNRs |
Step by step
Step 1: Decide the unit: person, household or delegation
A rooming sheet by person is the safest for conclaves. For incentive trips with couples, group rows by household. For dealer meets with companions, treat the companion as part of the guest’s record. The operations workspace supports companion or plus-one hospitality.
Step 2: Open requests for what you need
Ask for arrival and departure dates and times, flight or train, ID type, dietary note and room preferences. Keep it short and put the deadline in the first line. See collect travel and ID documents for the 72-hour plan.
Step 3: Import the room blocks
Bring your hotel block and the rooming list into the workspace by CSV or Sheets, so the desk sees room types and counts beside guest requests. At the GCOO Conclave, delegates were split across two hotels, and the app made each delegate’s own hotel and room visible, so nobody queued to ask. Use the rooming list template and room allocation calculator.
Step 4: Assign rooms and pickups
Match declared arrivals to pickup waves. A pickup wave is a set of guests landing within a window whose flights share a terminal and a vehicle. The airport pickup schedule template and the airport transfer scheduler help size the vehicles.
Step 5: Publish each guest’s cards
Publish My Stay, My Flights and My Journey per guest, with a liaison officer and cab contact where you use them. Each guest sees only their own details. Items show as pending until the desk confirms them; HCCB Partners Meet 2026 marked flights and accommodation Pending until confirmed, with an Update option.
Do it in Sociana: hospitality requests and My Stay.
Step 6: Brief the liaison team on the shared sheet
Hotel desk, transport lead and liaison officers open the sheet with their own slice. Assign each exception an owner and a deadline. The operations workspace holds the log.
Step 7: Handle changes as they come
When a hotel changes at night, update the record and send a notification to the affected group only. A scheduled announcement to a selected group beats a message to 300 people. When a flight is cancelled, the delegate’s card updates and a notification can follow.
Step 8: Run arrival and departure days from one screen
On arrival day, keep a view of who has landed, who is delayed and who has no pickup. On departure day, publish coach and airport times to the cards. After the trip, export completeness and exceptions for the report.
Pre-flight checklist
- Every guest has a record with a name that matches their travel document.
- Every guest has one owner on the desk.
- Pickup windows are published in 24-hour format with the terminal.
- A helpdesk number sits on Home and on each card.
- A fallback plan exists for guests with no data connection: a printed list at the hotel desk.
Roles on the travel desk
Divide the desk so each person owns a slice. One owner for flights and arrivals, who reconciles PNRs and watches the arrival day. One for hotel and rooms, who holds the rooming list and the hotel contact. One for ground transport, who owns pickup waves and drivers. One for exceptions and companions, who handles the late change, the missing document and the plus-one. A lead above them decides priorities when two exceptions collide.
Give each person access to their slice of the workspace and the notification rights they need. Hold a fifteen-minute stand-up each morning of the trip and a five-minute hand-over at each shift change. A written hand-over note is the cheapest insurance against a lost request at two in the morning.
Pitfalls
- Treating the app as a booking engine. It is not; keep bookings with your agent.
- Publishing before confirming. Use pending states honestly.
- A single desk number at 2 am. Plan a night shift.
- Forgetting companions and drivers. They need arrangements too.
- Changing the sheet in two places. One live sheet, one owner per field.
India and SAARC notes
India’s outbound MICE market is described by the Ministry of Tourism as one of the fastest-growing in the world (PIB explainer, 2019 study), which is why incentive trips to Bangkok, Phuket, Dubai, Sri Lanka, Nepal and the Maldives are common. At home, 103 branded hotels with about 8,990 keys opened in India in 2025, 64% of them in tier-two and tier-three cities (IBEF citing JLL, 2025), which is why offsites and dealer meets are moving beyond metros. For trips abroad, add passport validity and visa status to the requests and tell guests which documents to carry. For SAARC destinations check local payment rails if the programme collects fees.
How Sociana handles this
Hospitality is a two-way loop. Organisers create requests: text, choices, dates or documents. Participants answer. The operations team works in a live workspace with team sheet access, reconciles arrivals against PNRs, handles exceptions and companions and publishes individual arrangements back. States move from pending to provided to verified, which gives the hospitality-completeness metric by group. The GCOO Conclave 2026 in Jaipur is the worked example, with My Stay, View My Journey and PNR and arrival reconciliation. Try the hospitality request to My Stay demo. For the arrival-day detail read PNR arrival reconciliation.
