How to run check-in at your event with Sociana
Issue passes
Every guest or ticket holder gets a personal QR in the app, by email or on WhatsApp.
Set gate rules
Which pass opens which gate, session or dinner, and in which time window.
Brief volunteers
They sign in to the staff app with a role; scanning needs no training.
Watch arrivals
The dashboard shows each gate; move people where the queue is.
By industry
How it looks at your kind of event
Every event uses its own industry kit: weddings never show sponsors, and only the organiser’s approved names and logos appear.
Conferences and expos
Gate lanes per pass type, VIP lane, and session scans that count CPD or attendance.
Corporate events
Bus and dinner check-ins, an arrival wall in the company look with team reveals.
Weddings
Discreet function entry for the family’s guest list; the arrival wall shows the couple’s monogram and welcome lines, never a sponsor.
What it does not do
- Face check-in is not available yet and will never be the only way in.
- We do not use faces for anything except entry at that event.
- Scanning needs a phone camera; printed badges with the same QR work too.
What it costs
QR check-in is included. The face lane will carry a partner fee per event, quoted in writing before you choose it.
How we handle faces and consent
Facial recognition is off unless the organiser enables it and the guest opts in. Read how consent, storage and deletion work.

FAQ
Sociana Check-in: common questions
What is Sociana Check-in?
Sociana Check-in is QR entry and attendance for events: every guest carries a personal QR, scanned at gates, sessions, dinners and buses with time windows and repeat-scan rules, and arrivals show live by gate and group.
Does Sociana offer face check-in?
Not yet. Face check-in is coming soon as an optional lane run with a certified partner. Guests must opt in, the QR lane always works, and faces are deleted after the event.
What happens if the venue has no signal?
The offline mode, with a queue that syncs later, is being built. Today scanning needs a data connection or the venue Wi-Fi; we check the venue's network before the event.
Can one pass open some doors and not others?
Yes. Each ticket or group can open different gates, sessions or dinners, each with its own time window and a rule for repeat scans.
Is face data used for anything else?
No. If the face lane ships for your event, faces are used only to let that guest in at that event and are deleted afterwards. Read the consent page in the trust centre.
